get to be here in herstead um Sarah if you're watching then we hope you're healing well and we'll see you next month um Elise can you start with the roll call M Hanan here commissioner hubard here commissioner wibert here commissioner GTI here commissioner lur here commissioner Sanderson commissioner me commissioner Hamza CH Carlson okay um everyone has an agenda in front of them and do I have a motion to adopt the agenda I move to adopt the agenda second okay commissioner um lwer and commissioner hubber thank you for that um it looks like we don't have anyone for our guest presentation tonight so we'll just move on and take a look at our minutes that are from October 24th meeting um has everyone had a chance to review those Elise I notice that commissioner alidar is listed as present on that and she was I will get that change okay if there's no changes then um do I have a motion to approve minutes Mo I'll second thank you motion carries and next can we please have a treasurer's report from you relas sure so um you'll see quite a number of expenses um in November the first one was um the Latino voices which um that was the request made at the October meeting which you approved that was paid out in November and then um since our meeting uh there was the celebrate India event and so what you have there is the expenses associated with that um there was $2,000 originally allocated at the August meeting for this event and about $1,500 was spent so the remaining $437 has been put back into the balance so and I believe we now have all of those expenses accounted for so that's why that remaining balance um was put back so happy to entertain any questions M might have no any questions all right thank you uh we will move on and um I don't think anyone's here from the human rights or from the from the MLK um celebration committee chair I can um give a quick update on uh the the subcommittee has been meeting regularly we do have a meeting schedule just after Thanksgiving but um here's kind of um what we have uh the speaker has been secured this year will be um Shayla Reeves she is um Channel 4 WCCO um reporter there and she's also a a book author as well so um we're excited to have her joining us the music will be provided by District 112 um choir um so we will have music this year last year um we we did not have any music so they'll be exciting to have them join us um we're going to try something new this year we're going to have an essay contest as well as a coloring contest um and so uh we will be looking at you know potentially awarding prizes want to do on the finance side to make sure we're okay with the a warning prizes but we will figure that out whether it's a book or whatever it might be with those um and then one thing that we'd invite if you have um to look we've typically um centered um at least the invitations and sometimes the speakers comments around a quote um by Martin Luther King Jr and um we have not selected one yet this year and so if there are any thoughts by this commission we would um certainly take that um so that's really the update at this point in time things are moving quickly um I would say within the next month we will start sending out invitations and we'll make sure you get a copy of the invitation that you can email we'll start publicizing things as well UPC coming but this year um it is Monday January 20th and it'll be at 8: a.m. over at the Event Center thank you does anyone have any questions for Elise that's great okay I do um I know we had talked before about the prize and you're still working on that um if there cannot be a cash prize from the commission would it do you know if it would be allowed if um the subcommittee like sought outside sources to donate money for that prize that's a good question can you ask that on that question yeah okay and the other question was about the when you're um sending things out about the award um could that be like a a little summary of it and and also the nomination form sent out to the city departments um Community organizations churches that kind of thing okay thanks okay we'll move on is there anything for women's appreciation I don't think at this time of year we're working on that one um aapi has been passed to and then Pride Celebration do you know have you received anything Elise about the Carver County Pride yet no okay we're still waiting on that then okay I guess separately we should probably schedule our fall yeah just kind of a regroup kind of a thing yeah no okay we'll do that before yeah before the holidays getting way probably I would also just suggest and we can talk about it as a subcommittee choosing a date and location for next year that was primarily what I was hoping we would kind of you know so that we can um get the reservations made for the facility before it opens the general public okay so when does it open uh typically they open reservations for like picnic shelters in mid to late January okay so we a little time we get something done before the end of the year we can try to schedule a quick meeting at least to get that done and they're always really quick too yeah yeah all right um River City days do we have um any discussion about that besides the swag because I think we're talking about Swag later in the agenda business okay um cultural heritage month um Jui do you want to talk about anything with celebrate India since we didn't have a chance to hear from you about that sure I wish Sarah was here to help me debrief but it went way better than we expected I ful in all honesty I fully expected 20 people to show up we had I think 150 it was so packed and it was such a wonderful experience and we had such positive feedback from everybody that was there and we had vendors we had food and games and things like that so that went really really well and the lodge actually ended up being too small for the number of people that showed up so then in our debrief meeting we talked about next year just probably has to be at the event center and we get that date as soon as possible and we decide on that because last time we had some issues with choice of dates but overall it went really well we're excited to do the same thing next year we had so much positive feedback and so many of the vendors wanted to return and so many people in the community wanted to help us plan for next year as well so overall a great experience it went way better than we expected and we're excited to do it again next year um were you there you were there for a little bit Martin you no not that one oh not that one you were at the end okay um I was at the India celebrate India event too and I agree with everything you said um one of my favorite Parts was the Storyteller who um there was a woman woman who came and read children's books to the kids and like one of the books was um what is a Bindy and so then there was this picture book that she read to them and explained the meaning behind it and everything and then um all of the little kids got to have a little vindy and put them on and even um baby ingred who's hanah's little one she had one on and it was pretty fun um but I was yeah I walked out of there with such a sense of Joy I mean it was just a great time good job thank you thank you for your help too we really appreciate that s and it was Lot fun okay um and then we can also talk about though the um the Event Center there was that what was that called that event Katrina parade oh yeah Katrina parade so we um helped sponsor that as a commission and so before that Sarah and I had gone down the week before to the event center and helped with um setting up an a in a frienda um there was also one up at the community center that was the one that's been there in the last couple years um this newer one I think was a little bit bigger and um so we had two different arendas in town and they were just really beautiful we had a lot of fun just talking about the um the people that we had pictures of that were put up on the arrenda and everything and it was very well received throughout the community um but then we kind of kept off the the celebration with the Day of the Dead Katrina parade and um that was another fantastic event at the Event Center um there were lots of vendors lots of different um music and dancing and just families um from all over the city came in I don't know how many people were there I heard over 400 I don't know if that's uh like an official number but it felt like at least that many um but it was so much fun just you know getting together and learning about people's cultures there was some Aztec Dancers and drummers that were there and then some other traditional dancers that came and um we just had a lot of fun with different Community organizations having different booths there as well as vendors so you have anything to add for that one since you were there can't only add to that I mean you it was a great event um everything she said was spot on I will say this about both events um I had some people come up to me and tell me if we could advertise a little earlier and put more advertisement out there so people know that it's happening instead of after it's done and they're watching looking at pictures on Facebook um that's just my two I I think they're great well I didn't go to that one but the pictures I did see on Facebook were it looked like everyone was having fun um but I think they're two great events so did the people you talk to give any indication of what type of advertisements would have reached them what their Facebook would have been like if it was earlier on Facebook or those people who approached me saw pictures on Facebook so maybe Facebook would be way maybe not just through the city's page but maybe like um do it like chasa underground or the CH the different chasa groups that are out there maybe we can drop Flyers there um I don't know any other groups um but you know we could also send um a notice to that digital newspaper and start advertising there I don't know if they charge for that or that question okay I know previous years we've talked about and I don't know if we still do it or not but the city when they send out your electricity bill sometimes there's advertisements in there we talked about use utilizing that I know it costs money but it might be an option the other thing don't we have that neighbors of chasa magazine that goes out I think it's every month yeah um I know it does go out I don't know the frequency but yeah that could also be an option I don't know how much they charge but I know that yes on that same note I don't know if I've brought this up before but I was talking with Sarah and Kevin about this at one of our cultural heritage meetings I think that our commission for the nature of the work that we do and the type of events that we put on I think we should have an Instagram account I know we already up a Facebook account because we use that a lot but an Instagram account reaches a different demographic and I think that's especially useful with the type of events we do and the advertising that's needed to promote attendance at these things so I think I don't know the formalized process for this and whether or not something we can do but I think it's something we should consider because it would really help with marketing and reaching another demographic which always helps I think that is a great idea and I think um the demographic of Facebook which I am in is not the expert on how to set up all that Instagram stuff but I know someone who's in that demographic and I would think it would be great if you had some input into how it turns out why don't we why I talk with our Communications staff and we'll talk about a little bit more and what it might entail and that sort of thing and ining back to the commission on that that might be a good topic for the work session that we have in December yeah we could add that to that um anything else about cultural cultural heritage month okay um next we'll talk about indigenous people's recognition I know there was something that went out on Facebook that was a statement acknowledging that um so there was um what had come before the Human Rights Commission um and that recommendation went to the city council and that was um that Proclamation was read at the city council meeting first one in October that we had and so um then usually if there's that sort of thing then we'll we'll push it out on our social media accounts didn't they pass that or accept it or I thought I read that they that that was successful yep they did read it as a proclamation in October will that automatically happen every year or is that something that we need to bring to their attention each year we'd have to bring it each year I think I'll have to read the way it was formatted I think I think we said this we said whatever day this year and then the second Monday in October moving forward we'll have to kind of look at that and see what might make the most sense okay we should remember to mark our calendars um veteran acknowledgement um ren do you have any updates well this one was not as successful um sadly uh we reached out to several organizations three uh and followed up and got one name but only an a physical address and so I sent a letter and never heard back from the gentleman who they recommended that you know potentially so we are still without somebody to recognize I don't know if there you know there was a thought of maybe we could just put out a statement but it feels a little anticlimactic so I I don't know if there's other recommendations from the group but it was I think uh so we the organizations I would have thought had some people but maybe there's different as we move forward next year different organizations to work with so okay two cents toad sure please yeah next so this was actually my first celebrating my first Veterans Day right um and is it the Middle School up here um I don't know the name of the Middle School West Middle School West um they put on a Veterans Day celebration every year and maybe we should just kind of tag on to that that and so they put on this they they raise the flag they um um have a gun salute they go inside the kids put on this presentation for all the veterans and there are quite a few people there um I'd say a couple hundred people after the presentation they then take um the veterans are allowed to go into um I don't know what it's called I'm going to give it a name the silver room or something I don't know um like a media center and there's coffee and donuts and so maybe we sponsor the coffee or Donuts or something I don't know or which middle school is which middle school is it uh Middle School okay right across from SE I should know that huh I should know um but it might be easier for us to get our foot in I mean there were a lot of veterans there um yeah quite a few I didn't realize there yeah I say years long tradition there I think that it's a great that would be interesting okay yeah yeah I I'll reach out and maybe we can get it kind of set ahead of time so that we know so I met the person who puts it on I think it's been going on for 20 plus years um so I'm sure they would be yeah do you have a have a name or maybe you can send me later okay yeah if you could send me later that'd be great I'd be happy to reach out this contact I can make I can do it that's great okay sh if I may just add just so the commission knows um on Veterans Day um Creek Road was given an honorary um designation of Veterans Park Drive and so there was a small ceremony done um a proclamation was read by the mayor just this past week and so um just so you're aware of some of the other things that you know happen locally for to celebrate Veterans and then some of the kind of more permanent stuff that went on so Creek Road is still Creek Road but it's also honorary name and if you drive it will see some signage that's gone up looking at that as well so I just wanted to share that knowing that we're on that subject um I think as we're going through this list of all these subcommittees the main theme that I've been hearing is that it'd be great if we start planning some of these a little bit earlier so that we you know are are able I mean and I'm not picking on one or the other but like when you said we need to pick a place for next year's Pride Celebration or something I mean if we're thinking ahead it's going to help us in the future and then we don't have to scramble for these things I agree um I don't know if there's any new things to talk about Community Partnerships did you have anything on your radar anyone else okay um well then I guess we can move on to new business and we will start with talking about the um display options which think that the examples are all in the packet that was I'm g to p up is here just put in presentation mode here all right uh so uh chair and Commissioners this was something that was um a request back to staff to look at one some of what we have is old and has the old logo on it so what else can be done um you know when we go out and have boosts at different events to make sure folks know who we are and you know that initial visibility so there are several op options here we can kind of talk through you know each one and they're all different in different ways so the first one is um I'm sure you've seen these um these retractable banners you just kind of set it on the ground and you pull it up um this one's 83 in tall um you know you can design it how you want so you know the Human Rights Commission logo um and any other you know additional you know items that you'd want to you know talk about photos that sort of thing um again this one's intended for indoor use so um probably wouldn't work well at some of the outdoor events like River City days or Pride as well um yeah so that's one option I'll just kind of go through them all um just so you kind of this one um is also retractable um this one's a little taller um and again very similar it says intended for indoor use I think we'll have to look a little bit more because I um and see if there's any ones made for outdoor use or if this is one that we just keep inside um the third one is just a retractable um excuse me a tabletop size retractable banner it's a little smaller um see at about 15 in um and so you're able to just you know put it on on the tabletop there which is similar to kind of what what you have now you have just kind of a mat that overlays on that tablecloth there um the next one is looking at table so we can do um that fitted table cover so it's not sliding around round I always know that it ends up in different positions throughout the day um so this one would would fit um you would be able to put your logo on there um this one you know you have different colors but you could do black or whatever color you wish um and the use would be for six foot table so as we think about the the typical size of table that we have a different EV the next one is just a just kind of a clo again um for use on a 6 foot table um and again you can put your logo on uh another kind of similar uh tablecloth again I don't know what to say it looks very s much one it has open it has the open back it has the open back yes thank you I think someone in the last meeting thought yeah I think that's because it feels like we're yeah you're like yeah and then these are just some I buack on construction go if you don't want a l good watch so um don't we already have plain ones though we do have plain black ones those are um those are City ones so we can use that for you know Human Rights Commission events if there would happen to be a City Human Rights Commission overlapping the city would take priority on that one um but we do have several of them so they're usually not all so on okay so it could always be bored so those are the options we can look you know if there's something in here that you're like we'd like some more resarch on we could do that I think the idea had been we're getting toward the end of the year we have some let's trably you know that order before so that's and Jen I think I Martin was on we have like a box like a go box and it feels like having a banner and a tablecloth in that go box are kind of would be two things that would be very easy to you know so that we're not constantly trying to track things down but and I know it says it's probably indoor but I don't know what the difference between an indoor banner and an out you know maybe there is a difference but we use those retractable banners um with another organization that I work with and I would say even that option two it says the material is laminated vinyl and I think I mean unless it's really windy or stormy you know I think it would withstand outside just fine um we could just kind of you know take I don't know just kind of take a look at our surroundings yeah use heads and down if we need to put it down yeah because ours ours has been very um durable so far do we have a budget for these and we don't um you know you can remaining balance that we have I think we'll we'll be talking about Swag tonight too and kind of what you're looking to spend and I would say probably a request will come to you um at the December meeting but just the book for the M Day event which we typic yeah but I mean if if we just did the one of the table classes about 200 bus and the the ban 200 bucks so you know that would st700 I think what I would suggest um is when I was looking at it I was thinking the option two of the banner as well as the smaller cable tap Banner because there's different occasions where maybe the big one doesn't fit in the space very well or something so at least we'd still have something could set on the table um that isn't a musthave I don't think because if we get a logo on a tablecloth then I think that would do the same thing but it just wouldn't be as detailed and the other thing I was going to say is I remember Britt had brought up maybe thinking of some words to put on um that would be kind of eye-catching draw people in so beside the logo putting something else yeah and if we did the tabletop as well as the kind of full height one then maybe we could a lot more space on the full height one and put the logo on the tabletop one I mean I don't know if we'd want logos our logo on all three at least not huge on all three I don't know but I also like the idea of doing a tabletop Banner because if it let's say we're outside and the weather is it's really windy or if it's rainy we could maybe still use the tabletop one um if the retractable one is going to operate like a sale and I've been at events where the tables are right on top of each other and so to have a six- foot Banner that you keep tripping over as you're walking around is sometimes quite hard to navigate so even since even having the tabletop one is hard in some areas because there's not enough room so we've been in that situation I would I would suggest that we get option well either option one or option two but the retractable banner the tabletop banner and then um the what's this thing called the table cover table cover um and so even if we don't use all three all the time we have the option to do whatever we need to do when we need to do it and I would say get it this year and then if we push even swag back the beginning of next year then we just pull out of next year's budget instead of trying to peac mail everything every year yeah so we just as we go into next year we don't have to worry about everything does that make sense I do like the idea of the open back table I think that would probably be my vote for for the on that same not I had a question Elise do you know if it has a mechanism to fasten the open back cloth to the back of the table so it doesn't fall I don't believe so it it falls down it hangs maybe you know six or eight inches on the back so that it's not like real short on the back so that it'll forward and it's and it's fitted to to the T so it's not like you're ding STS on there's a fittness yeah it's like a standard 6ot cable at most of these things this one says the fit is draped I'm not sure this one is fitted interesting but we could buy Clips right off Amazon for a couple dollars you yeah oh and this one does look like it's a little shorter in that picture I think there well no I think part of it is just the way this was laid out on my screen I can see there's kind of this overhang kind of a thing the blue I think graphic um the white of the graphic below is covering this so This does go down to the bottom to the to the ground on it this just it was a photo editing thing oh I yeah the photo the blue photo kind of overtook yeah that's my only concern with me open back otherwise I'm all for it because I remember over City days practically retreating to the cave to grab more swag so I'm all for it as well I've used those fitted table classs before that have the um elastic where and they can be cumbersome too there can be issues with those too so well my concern is what happens if we don't have a six- foot table and then like what if the table is bigger and now we can't even use it because it won't I don't know how what the likelihood of something like that it is but if it's for a specific table size and it limits us to that table size whereas the draped one we can fit on any any table right yeah so I think where we kind of R it is two for the banner the tabletop banner and I um from back right yeah and then you can putas Clips as Martin mentioned so it can fit for any table size I would also throw in maybe just getting a black tablecloth to match with nothing on it maybe just in case we have two tables to cover for whatever reason if we don't use it we don't use it but it's there just in case true and then we don't have to T the city every time we can just have one and they're they don't look that expensive look like is there a way Elise for us to find out which is a more durable material for the banner is it option one or two CU it looks like they're made of slightly different things with the polypropylene and then do a little more research if you if your directive is a large Banner a tabletop Banner the table CL cover with the open back and a black tablecloth we can move forward with that we'll just kind of look and understand CU this one is the one that I have up is laminated vinyl and aluminum the first one is polypropylene polyester so I'll have to read a little bit to that I know we ordered we ordered some for elections purposes so I'll have to kind of we'll take a look at that and see kind of how that which one of that was if it was one of these options or because I think we should choose the one that seems more durable um because the one that I have is it seems like it withstands things pretty well but I don't know what the material is so I can't tell you which one I think would work I think what I would also speak feedback on tonight from you is um logo wording that sort of thing we can also I can also draft a few things and just send it out for folks to kind of take a look at as well I think for the tablecloth and the tabletop it's pretty you know simple right it would just be mostly the logo and I think it's the tall one that we'd want to I think so and it was I just I had a lot of people come up to me at River City days and ask what our commission was about and what we did and I think it would have been helpful if the sign had some sort of language that [Music] um got them up to speed pretty quickly you know even if it was vague and not really specific but um if we used I saw one for a different organization at City days that had it was like the logo with a couple pictures and then it had I think just like three words like one two three vertically aligned [Music] and that I thought was clear enough to sort of get start to get an understanding of what the organization was about so I mean people are going to know that we're a city commission that's pretty apparent based on the logo um but human rights can have so many different meanings and so I think it would be useful to come up with a few words maybe that could help well I wonder I was just looking on the website there's the it has the purpose of the commission and then kind of who we partner with I don't they're two par shorter paragraphs I don't know we want to do the paragraphs but I wonder if you could we could kind of pull them out in in more of a bullet point for those things yeah that was that was my initial thought but the you know the purpose of the commission and if there's any other kind of words things that you do yeah because it just says the purpose of the commission is to secure for all citizens through education and prevention equal opportunities for employment housing public information Public Services education for treatment and full participation in Affairs of the community commission practically partners with government business Educators religious service and other organizations to promote a community of Harmony and respect for the rights and dignity of all so maybe there's some things we could just pull out of that yeah I think if we picked out some keywords out of there and then um another thing we can do is put like QR code on it um that could bring them to that website so they can learn more that way depending upon how much room could could we add um different languages so if in Spanish or or whatever whatever yeah that's a really good idea well Elise could you pull together some options and then maybe at our um work session we can vote on what we preper yeah yeah definitely and if if you're good with um at least getting the the tabletop and the table cover and the black tablecloth ordered with just using the current Human Rights Commission logo do you want wording CH ask a Human Rights Commission on those items can you in addition to the I guess it does yeah then I I think if we had that and then if we had like a little QR code in the corner so if this is going on a tablecloth this is going front and center correct there's not going to be this and then I I'm thinking about the previous Banner that we have it's the logo and I think it also said chasa Human Rights Commission next to it I could be wrong but we're just putting the logo on the tablecloth correct that would be my question back to you I think I think the last logo didn't have chasa Human Rights Commission okay on the logo itself this time it's integrated in okay for the for the tablecloth I don't know that we need much more than that at least my opinion yeah I think that the QR code could just go on that um the small Banner yeah well we can certainly work on getting those three things ordered and put together and we can come back in December on the other one do we have to vote on it I would I would recommend voting on this um the I think only recommendation I would outdoor recommended for outdoor use I'm not sure that option two is it's a faux linen but it looks like three both usable Outdoors and number one actually say water resistant to which is always a plus I think water stain resistant wrinkle free I'm okay with number one it's also the least expensive love a Burg okay since you have notes can you reiterate what we decided and then we can make a motion saying what she said all right so we will there are four things for the retractable banners the large ones we will go with either option one or option two we'll take a look at the the material and determine which one is more durable we will also we will not order that one right away but we will come back to you with some language that we would propose putting on that we would propose um ordering option number three the tabletop Banner display which is the chesa Human Rights Commission logo on this one as well as a QR code we go with option number three the table throw with the chasa Human Rights Commission logo on the front I would recommend maybe not putting a QR code on this one I think it' be too hard with the tablecloth along with that we will order some table clubs to hold that in place and finally we with option number one of the table ploth can I throw something out the two expandable the tabletop and then the bigger one should they say exactly the same thing or and I say that because if you're in a smaller spot or place where you can't use a bigger one but you want what's on the bigger one to be on the table then you have that but if you just put the logo on the smaller one then you have the logo on the tablecloth you're just repeating it I mean we're rushing to buy two things that are exactly the same does that make sense yeah and but my concern though is there's so much space on the larger one and if we shrink it down it might be too much on one I wonder if we could get a subset even just like the purpose of you know that one sentence or two sentences on that smaller one um and then maybe on the bigger one do more of the languages and things like that yeah I mean the small one could just have like a couple of action words like educate I don't know or there's some other words that I'm not remembering at this point in time but yeah I think you rais a good point Martin is May maybe we order the those two things and then bring ideas of the other of the banners do that um so we need to make a motion yes so we need a motion for um the cable clots and the clips I mean we order two tablecloths and cloes I second okay all in favor okay and um the motion carries and I just realized I hadn't asked you guys all in favor all night I don't think so I'm sorry I'm Rusty my eye counted for all of them okay okay we have to start over you guys um and then we also had on our agenda tonight that we were going to um talk about the swag for Human Rights Commission yep so we did I didn't get this out in your um packet in time so we just put together so we took a look at what the Comm Miss has asked for in the past and just put together some quotes we can go back and we can look at other items as well um so something we had talked about before was hand sanitizer and you can you can see let me make this bigger oh this is not my forte here it doesn't want super well in in word but it gives you an idea just the hand sanitizers that you can clip um if we look at 150 and what I was not smart enough to do was bring how much of what we have left from previous swag but I think we maybe have a total of 50 items total between sunglasses and Frisbees and there's one more thing that we had totes yes so we have about 50 total items left of that stuff so you can put your logo on there it would be one color on that um something that I've been talked about before was lip balm uh you can see the cost there to do that or 100 of them choose your flavor uh water bottles again put your logo on there choose the color top you want fanny packs are now all the rage again of you grew up in my era and had fanny packs growing up I can't remember what my son calls it it's it's something else something else it's definitely bag is that what it is well that's what mine is called I was going to say whether it is or it isn't in Australia they call them bum bags oh bum bags yeah okay so that was something that we just pulled up we thought it would be fun to share something different and we can do a combination last way to a combination there's LED tube bracelets something different this one we thought was kind of interesting I always looking for their charging cables um something new and different on that a different version of that and okay I'm not sure oh there we go and another type of charging cable they all a little different similar in price I think that's it that's kind of what we came back with any interest in any of those you want us to price out anything else I like the hand sanitizer hand sanitizer yeah I do too yeah especially if we're handing them out at public events it feels like useful y the other thing I don't know if we'd want to consider this again how did we feel about frisbe I Frisbee's been over really well those are super popular yeah want to do that again since it seems to be a popular item I don't know if that's redundant for people who visit us twice but you're a call there's like a 90% chance they lost the first one yeah that's true the do got it something when I learned that you could use them as fans that was really theing attribute in the middle of July yeah I like the idea of the water bottle but it just feels like something big like having a small thing that people can put in their pocket seems and so maybe that lip balm or the brisbee and the hand sanitizer I don't know fanny packs are cool but I'm gonna throw something out just be throwing it out and give you something to think about maybe for this time around just to use up the money we have that we buy stuff but next year have each event decide what they need so um I'm trying to think so maybe the pride picnic we have I'm just picking something we give out water bottles I realize we buy T-shirts that's part of it but we we give out water bottles um and you know that's that's what we do here and then maybe for River City days we hand out hand sanitizer so that makes sense this event has just one thing this event has another and then you can take maybe the pride event if you're giving out water bottles that um or maybe we swap it and put water bottles rever C days but we pair with someone who maybe they have um one of those icy uh food carts or whatever and so if they bring it over to them maybe they get a free icy or a discount right so you're helping that vendor out plus we're also putting something in their hands that they're holding all day consuming does that make sense yeah or I don't know I'm throwing things out there just so we because every year we buy a bulk of stuff right and then we hand the same thing out at every event maybe we mix it up a little bit I don't know yeah with the vendor were you thinking like oh we hand out a water bottle and then one vendor fills the water bottle was that what you were possibly oh okay I mean so we would hand it out Y and then maybe they would take it to you know I don't know I'm just trying to in my head pick up some of the vendors that been there but an ice cream cart or whatever where you know they get it filled for 50% off right so that helps that that vendor make a sale so they get a little bit money and they come back to that event again um there's no really return for us other than that person has to carry that cup in their hand the whole time because now they filled it with something it's not like I throw it in the bag and I forget about it it's I'm drinking out of it the whole time or I'm eating out of it or whatever um as for the hand sanitizer okay you're going to a place where you're doing a lot of touching of things so you know that's important to have I'm clipping it and I need to use it and so every time I use it I look to see where I got it from and I don't forget as opposed I take it throw in a bag and then two years from now I oh that's right I need some hand sanitizer it's in the drawer but I don't know what those events are maybe if I'm eating somewhere at one of our events where we have a lot of food hand sanitizer or I don't know I don't know I'm just throwing things out there for us to think about next year I like that clip on the hand sanitizer too because then it will be clipped onto something probably visible rather than stuffed in your purse or your PO pocket I also really like your event specific swag idea and just if we were to do that how early or when do you think we' need to decide what needs to be ordered because I feel like we just want to have a list and then when the time comes to order new things we just go from there it could be part of the events budget I mean it depends on the turnaround and what you do so if it's like doesn't say up there but you've got the time to you they have to develop the logo they've got to print it so if it's to two three four month out and then we could kind of save money at that rate by okay you're going to plan your event in August or whenever or it's going to happen in August and we know in may we can order it and it's ready by August it goes back to picking your date so if you're doing Pride picnic for next year you've got your date you can order it then right it's part of your budget you could we're trying to get it in this year in December when we're planning what we want to do we could we could decide in December hey for Pride we're going to do water bottles and so let's order them now and just not use them to I mean I don't know yeah I think that generally would work um we ask some invoice this right away yeah so we get it spent under this year's budget but I think that's doable how much were the water bottles there's 345 total for 100 it's not too bad if you're if you're budgeting I don't know how much we gave for the pride picnic but it was a 2000 and we spent let's say 1,400 I mean you still had $600 so if we ordered 200 water bottles we had figure out where to store them but you'd have some for the next year and that additional money or whatever saved from the following year can be spent on something else to grow the event plan it had problem M do you know if there would be a slightly smaller size that was available because I'm I'm liking your idea of bringing it to another vendor and they get the business but I don't know if they would want to fill up a 24 ounce bottle for free or you know at a discount um as much as if it was like you know a 12 ounce or a 16 it allows them to oh from a a previous vendor allows me to raise the price to what I need it to be until you it's 50% off so it's all about how you sell it I'm not saying that we I'm not saying that sales sh AR good smaller I'm just throwing that out there it's all about how you you know you're going to sell it you know how because as a as a consumer and someone's saying okay you give me this and I get 50% off of this uh what's the the shaved ice truck that goes around town let's say you know it's like I get 50% off of that oh I'm going over there you know even if it's $12 it's like 50% off it's normally 24 I just saved myself 12 bucks yeah I'm susceptible to that type of marketing yeah I am too apparently yeah I think the other thing we'd have to think about is the subcommittee for like River City days if they were going to partner with a vendor they reach out to that organization and say can we get a list of potential vendors you know would they share that with us um so we could you know find a partner before the actual event you know so we can make like signage or coupons or something yeah because with the water bottles you could just put a little coupon it yeah yeah and they could they could put their lo I mean if we're waiting to you know um order right before event or whatever they could add their logo to it so maybe they cover the cost of the item they're not going to know that but you know whatever that printing fee is it's all about how we sell it and want to do it everything's possible so these are great ideas y I'm just thinking I'm tired of this so don't really think very well when you're tired yeah got to say I wonder what it's like when you're not tired F off so it sounds like maybe we wait till December in the planning meeting in or vote in December you can do that I close what's the first event that we have next year the so if we can get whoever's on the committee to order something for their Advance at least we can vote on that in order that to spend this year's money if we know that something's coming up then what's the next one um we have anything in May usually pride is after that yeah the pride subcommittee just meets before the end of the year yeah we could we could get something you add that to your agenda yeah even if it's not a you know or whatever if it's hand sanitizer whatever I mean still we order something but then when we get closer to the event you can order something else to add to that event because it's going to be part of the budget so something slightly unrelated to consider do I don't know if this violates open meeting laws are we allowed to have a shared Google drive folder amongst all commission members just so everything we can see in one place I think we'll have to I have to explore that okay see if that's viable okay because it' be just nice if for people who aren't present at a meeting for extenuating circumstances it's nice to go see what we looked at what we decided all the meeting minutes and everything that we went over and just subcommittee stuff I think is easy just something to consider just popped up we do that for group projects at school so yeah it's really helpful for subcommittees I think to go back and refer to to the Google gra yes yeah I think at the subcommittee level it's okay because that's not that's three people it's whether how we open it up to the rest of the group um I need to explore that is there some way that maybe we could only um look at this stuff without being an editor or that you explore that too these are good questions then we can discuss it online and true so do we need to make a decision now regarding swag or is that something we're leaving I think that um if we if we maybe have the Martin Luther King Sub committee talk about what kind of Swag they could use at their event and then they could tell us at the December meeting we can vote on that and order it right away and then move forward kind of with the plan that you were talking about by event each subcommittee bring ideas to the group well it could be a motivation for for like Pride even if they voted now they could get extra money because it's this year's budget instead of next year's budget so how much do we usually spend on the books for the Martin Luther King celebration uh typically in the past the requests has been about $500 um this year we'll be getting our books from the speaker the guest speaker has waved her fee but we have in return for us purchasing her books to put on the tables okay rather than usually we get a list of book titles and we buy kind of one of every book and put it um this was kind of what we came up with she wa or speaker fee we will purchase her books and okay how many books do we typically um I think a good question and we talked about you know depending if there's some that some of it some maybe donated or whatever to schools is I think it's more like children both the librar that sort of thing so that's something that we need to come back with typically it's been about $500 over the last few years that we've spent on that I have a question when do they vote on next year's budget when has it developed the uh the budget has been developed they vote on it on December 16th is the final vote how much should we asked for uh there's 6,500 in there the didn't raise it and I will say that Sarah and Alise and I had met earlier this month at the very beginning of the month um to talk about the Strategic plan for next year and um kind of went over some ideas for that and then we're planning Sarah said we can talk about it at the at the December meeting um we'll have you know everyone can take a look at it not for their feedback and things like that I don't know if there were any edits that we needed to come back to you with before you can have that ready for next month yeah we'll have it ready for next month I don't think there was get some quick math if we have 500 for the books and then we get the four items for the birth displays those four items come out to about 500 that's pre-tax but that would leave us without about $1,000 doll left for swag this year unless yep that's that's kind of about what I had in my mind as well okay and last year we spent about $900 on swag okay so that's what roughly three is items that we would decide on with the average cost being around 300 for each one so then we' pick three I mean is it outrageous to just pick three arbitrarily I I really like your idea of for the event specific swag but we could also just have General items I think you can put a frisbee anywhere or hand sanitizer anywhere I feel like those are pretty generic yeah and the water bottle on exactly those would be the three I think I would pick voting um and we can assign the swag to specific events so you know it's not that we'd necessarily be using all of it at every event we could still assign it to the specific so why is everybody looking my way I didn't because it started as your idea so everyone what everyone decides it say I was looking at this like okay well hand sanitizer if you have an event with kids that's not going to go well might go over well the parents but not so the kids that's why I was kind of getting to the yeah the event specific type deal I mean we can spend whatever and then just next year when you have your event you're going to make part of your budget buying more of what you need so that's good just plan out better yeah we could yeah so yes and I think we could to but I think your point we could let's say we get the water bottles we just assign the water bottles to you know we just don't use them until you know X event as well so so do you think we should just decide tonight on three res swag items so that we can just get it ordered my only concern is if we don't for some reason have Quorum in December and then we can't vote on it and now all of a sudden we can't buy anything yeah we have a quorum tonight so we could definitely quum tonight yeah what three items I think the hand sanitizer what was that priced at and what we can do too is you you tell us which three you want give us a um this is a sale price so we're going to have to go back in and reverifying izer the Frisbees and the water bottles yeah and the frisbees you won't have the setup fee because we've already set it up in the past so you'll save up 50 bucks there exciting or invested all in frisbees so hand sanitizer frisbee water bottles what is your what sort of budget would you like to set on it I guess how comfortable are we with I I don't my only concern is I don't know what kind of taxes or shipping there will be we don't pay taxes oh there will be some shipping costs more than likely we do it to $900 just to have that $100 in case just little cushion that sounds good so is there a motion to purchase the spr the swag I move we spend $900 on water bottles hand sanitizer and frisbees for swag for next year is there a go bag if you I don't remember how much these cost at Costco but there's the I think they're like the soccer ball wagons that fold and they roll really nicely they're really tall Wheels you can drag them pretty much anywhere we own one it's wonderful just as a potential carrying option for that something to consider I don't know when they come into Costco but I just figured I'd float the idea unrelated unnecessary and I know that I know that they're available other places than Costco so um and I would agree with you on how easy it is to bring stuff around I've brought stuff on those carts we have here and I've tripped on them quite a few times or you know struggled with getting them over a curb or things um I would love that if someday we can get a wagon that would be great and that one folds too so it's nice and this one I just saw one on Amazon bucks 70 bucks on for collapsable folding utility wagon still have $10000 to spend that's right buyag December buy a wagon on December 27th if we have budget remaining yeah there all there's several that are all under 100 bucks so so we'll be listening carefully to the finance report then we'll be making some quick purchases that's what I call an adrenaline rush I think that's a great idea though oh ren do you have anything no thank you all right so I think that's it for tonight um our next meeting will be a work session at 5:30
