##VIDEO ID:d7pOu3mLS8w## Curtis lwood present John Wesley Nash Sam lurry Chris rle King Ted lawell present Ed scoon over all right that was the roll call we did that a little bit before the uh Pledge of Allegiance and just joining us is is vice mayor Jim aderholt um shall we all rise for the Pledge of Allegiance I to the flag of United States of America to the it stands nation under God indivisible with liy and justice for all excellent uh public comment I don't see anybody available for public comments so we will move on to the approval of the minutes I believe we did discuss the minutes from November 25th at our December meeting but because I wasn't present to sign them just want to make sure everybody's good with the minutes from from November okay and what about the minutes from December 30th has everybody had a chance to read them Sam I move we accept the minutes from December all right do I have a second second L all right all in favor I I any opposed all right the minutes are accepted so Curtis I think you have some things on the agenda that you're going to update us on the canal and the dingy Dock and the balls five through nine or a few of those things are those on your list correct yes ma'am they are all right um so right now with the uh debris removal project we have going on they're at the South End of the island by Buccaneer Bay right now um they are um they're going to continue down there um we are going to be moving into the deeper water items coming up soon um um mainly probably next week we will be getting into that maybe into of this week so um everything is going well with that getting a lot of feedback from the residents and everything um happy um to see them back there getting everything that they were there this morning and they've been there several times in the last few days correct correct yes thank you so um well as well any questions on that um on that project or anything what's what's remind us of the scope of this project what all is being done there's some identification being done and then what what happens next so the focus right now is right now it's strictly uh canals um we also have some deeper objects right now they're getting everything that they can pull out of the mangroves or anything that they can get um just being waste steep up in up into the water um now um once that's complete then we're going to move into the deeper water stuff with uh divers and and floating objects like we have a car we have to they have to float up and everything like that so we'll be getting into the bigger stuff I should say coming up um so we have them to um um to the mid of February and um and then um we'll have to see where we're at if we're going to um extend the contractor they'll be finished and this is being paid for with dollars we've gotten from FEMA FEMA okay Madam chair yes just wondered if I could get just some additional clarification Curtis with respect to what's actually been done and what's left to do so what has been done is every single we have done all the all the canals now I know that there's some things that some of the canals they have to go back into at the low tide so they can grab more because ever since we had this full moon this past or two weeks ago with the we've had extreme negative Tides here so there's been more stuff exposed that they hadn't seen before so they're going back to make sure that they um get all that so we are towards the end of the canal cleanup right now and what's next is going into getting the deeper water deeper water items that that um that have been marked I had a uh a constituent who was concerned during low tide that there was a bunch of debris Exposed on on delmare and I believe you and Chad were kind enough to alert your team and they came over and cleaned it up which got that done next morning that was much appreciated was excellent thank you uh what sort of things are being brought up are there more you know um areas that needed like Canal areas that needed more attention and what sort of things are being brought up um it just varies of how much how how big the canal is um and um you know some some have more debris in there than others you know that's um there hasn't been I don't have a specific C Canal that they've said that's way worse than any others right now it's all about you know relatively the same what's being brought up is any and all kind of debris uh deck chairs Porta poies um um bunch of wood pieces of dock that kind of thing um those those type of items you know um um um I know that they have taken up some doors and walls and stuff like that sheetrock and stuff so um it's really assortment of items you know um so I mean we we picked up I'd say um duck work and everything that's sun in the mud and stuff and houses and everything so you find when you're pulling up paint or Oils and stuff is there ever an occasion to Boom the boat or anything because would you getting that kind of no not at all that's a a really can of paint blows up we haven't R into that issue at all or anything like but if that happens um the the contractors would notify me that we would have an oil spill issue going on um we would have to call the Coast Guard it would be kind of a case yes correct we don't want to get into that though no definitely not however I live on a street that has an a a a dog not a dog but a ramp and it's considered a public um boat ramp okay yes and um I'm just curious I've been seeing a lot of things floating more things floating up into it garbage wise do you think it's stirring when you guys go in and you're doing cleaning does it stir up more uh debris that comes to the surface that could potentially float into areas I don't believe so um I mean obviously yes that is a possibility but how these how our contractors are working I don't see that being a case um a lot of the stuff they're getting at low tide so that is what they're getting up is it there's not and if anything they wouldn't be if they are bringing anything up out of the mud or getting loosened up they would be able to grab it is it netted like when you're actually going in and pulling up debris big pieces of debris is the area netted to prevent more debris from coming up or not being able to be not I'm not really understanding what what you mean by netted but no they're not doing that okay so is it like cordoned off so that it won't if you're turning some stuff up it just won't get away from you exactly yeah that's really not an issue with I think you're really thinking a little too far deep into this thing I I don't think it's that I don't we're not running into those type of issues you know it's kind of stuck there just let me be be clear like we're getting as much debris as we possibly can from ever since Ian until the storms as as of recent right we can clean it up as best as possible there are still going to be remaining items there are still going to be debris without storms that are still going to float up and float up into these boat ramps so it's as long um with my team we're going to do our due diligence the canal cleanups is never going to end it's going to be part it's part of our job to make sure that that's done no matter what you know what I mean that's part of our daily checking the canals as long along with the moing field so it's going to take my team you know we're we're still going to be once the contractors leave we're still going to be we seen debris we're still going to go get it we get calls we're still going to go clean up and all that but also I need the residents in the town to kind of do their part also and clean up their area or what's theirs as well as best as they can now there's bigger items that's when we get a call we'll come in and do what we can to remove move it um kind of like the stuff I pick up on the beach every morning correct there's always going to be something yes um did you did the town ever find uh employees that are dive certified um to help with the clean up I know we spoke about that in last meeting about how uh we were trying to get uh experienced divers to come and help with correct so last meeting what was discussed is um we were the town and upper management is been in discussions and contemplating whether we're just going to stick strictly with the contractors and do the maintenance with them or we're eventually going to um get get my team dive certified and slowly roll into into doing and taking over the maintenance ourselves so and where are you at on that where is it at are you guys gonna get dive certified or that answer has not been made clear to me yet okay um so just to update you since we've gotten here now um so this week I am bringing on another person um tomorrow um and then hopefully we will be having another start the following week um so we have offered two people the d The Dive certified that was more for maintenance on the on the moing rather than the trash wasn't it corre you know correct correct yes yes anything else about debris anyone okay um should we is now the time to ask about ball number 45 sunken boat that's debris right yeah um I I talked to lcso it's a long process he told me to hold on they are working on it it is going to get removed I don't have a time they don't give me a timeline for that did they did they get it marked or anything with the light um you still that's I apologize I'll have that done right away we that slip my mind I I will get that done this week yeah as as there becomes more traffic back there thanks correct it's 47 40 it's near b ball 45 I forget which they it's 47 47 47 47 in your hearts all right um Curtis did you find any sort of like one to two pager about the historic Canal project and anything no I have I have not I'm still I apologize this past month has been you've been everything has been hit me at once here and we've been just me and Bobby right now we're extremely behind and um I do apologize okay yeah it'll be just helpful I know Ed you're very interested in that but it'll be helpful for us to have that as background as context understanding what has happened since the town was formed and you know where the obligations were and the expectations okay can you elaborate uh Madam chair on that information yeah I think you know uh a lot of there's been a lot of discussion about ongoing Canal maintenance and whose responsibility it is and I understand that you know Ed maybe you can talk a little bit better about it but in your neighborhood uh and yours Sam lagona Shores there had been some sort of a a joint Arrangement proposed and money was taken by the town but had to be given back because it Jim maybe you can explain it better it was for dredging but yeah that foring Ed and Sam know about it they lived it but but yeah it was a it was effort made to sort of uh partner with the residents to jointly D do some dredging there and and they took from the water bill and uh and and then hurricane Ian hit and and it just it it was not communicated very well with the residents and and then of course Ian hit and so they just ended up refunding those dollars and so we're back to square one right and and because we didn't have some sort of a plan before hurricane Ian we were not able to get dollars from FEMA to complete drudging so what we're trying to do now is Have A Better Way Forward so that we're not caught in that same position in a nutshell Jennifer we did not adequately document the status of those canals and how they were maintained and cleaned and so when Ian hit we couldn't go to FEMA and said hey here's where we were and here's where we are now metric-wise post Ian and therefore FEMA basically said we we can't help you so we're trying to prevent that going forward does that help yes question a l of those lines do we have some record of which canals are private and which canals are State question I I I would think so Ted but I would yield to Curtis on that although he's still pretty new yeah it's a good question that's something I can get the um uh get the answer on for you um I've been here many years and we've never gotten it so I'm not sure I'm not sure if we have maintenance records for the canals in the past maintenance there different rules for different canals right it seems like it be nice to have a picture and say this canal has this Rule and this has this rule uh because the state has responsible for some I mean you can't do anything without the state the others are private property private Le so it would be nice to kind of have that laid out as you move forward not this week but I mean as you move forward to get it into the plan because that may uh make some impact on how you plan to do individual canals such a great question we ran into that before especially with the the Bay Oaks Canal where our where our kayak launch was and we were looking into Bay Oaks and it's pretty easily easily identifiable because um you can just go to the property appraiser and we go to the gis map and everything that's public is just tied into the you know tied into the system the Back Bay system however like that Canal behind tops shows clearly on the property appraiser that those owners um that is an individual owner and we can probably find that out and if you want me to help you find that on the computer I could probably help you you know find out you know how to how to locate those when you when you need to know which ones are private and public I mean would there be a better way than having to look individually at each property that's on the canal there's not that many canals you know I think I don't think there's that many private I know that one behind tops was because it came up before but for instance like tropical stores isn't and I can't really think of any but if you want me to to research that a little bit before the next meeting I can kind of give you a maybe a summary I think there's another piece to that puzzle too Sam and that some folks have some of them more defares than others have bought repairi and rights in those canals which create all kinds of challenges for those homeowners and and uh boat owners of the of the docks and so forth so I don't I don't know if that's ever been do uh documented or delineated either because and that could be on Deeds that go way that go way back how does that the sorry no no go ahead how does that affect the cleaning of the canals that's a great question I'm guessing Curtis is just pretending that those don't exist and just going forward and cleaning them there there there's there's there's a there's I'll use tropical Shores for for an example some entity somehow figured out a way to find a way to purchase the reparan rights to that particular Canal uh on the south side of of of of of a tropical Shores ways and anytime anyone tried to impr improve their dock or whatever they would threaten litigation against them and then they would ask for a nice payoff before they could do anything to their Dock and it was really sketchy and a number of the homeowners finally went to court some have won some have just succumb and paid to move on it creates a real nightmare and and uh and I'm not sure how prevalent that is I don't think it's that prevalent but it's a very unique situation in that area but it's but each Canal has its own story its own set of characteristics and best I can tell I'm no expert okay so Mr councilman would um we be the town be subject to any lawsuits if the town were to go onto certain areas of canals and either clean up or you know do dredge or do anything it's a great question and and it's probably one best suited for our town attorney I'm guessing since the owner it's in their owner's interest to have it clean that they're not causing any problems plus they can't extract any money well they probably could try to extract money from the town to clean their their own Canal but this particular character has not been Cooperative in working with the homeowners uh unfortunately and the dock owner so it's uh I I think that's an exception rather than rule with these canals but how he how he got in there to acquire these rights in the first place is all very sketchy and the whole thing has just been a nightmare for those folks who live on tropical Shores way so is there anything that the Town Council can do to move forward to protect the town's interest so it's a it's a it's a great question Jennifer the challenge with that one was some of the homeowners were asking us to join with them legally to Sue this person and of course the fire department at that time time own the tops property and they had a financial interest in it as well as well as an interest in potentially using that Canal at one point for a for a fireboat that's obviously all been changed with their whole their whole new paradigm uh so the fire department was encouraged to come in on this litigation and uh uh and it's just because the fire department has changed their plan of attack and the town's changed their plan of attack um I that's all kind of gotten a lot quieter the last year or two thank you but definitely things to keep in mind so we'll we can you know keep those on our list of questions to ask it's good history for Curtis to become aware of yes absolutely app it seems like it's going to be similar to what when when you need people to sign off on the beach when you're but I do know that that for this dredging and stuff like that permits are going to have to get pulled um and and I feel like the plan needs to be kind of pushed by by by Council you know um um for this thing and I know that there are going to be money issues for this how is it going to get paid for that kind of thing because I don't think we have like you said the maintenance records and stuff to get FEMA approved for this project so just have that I I thought I heard uh when we were talking about our legislative agenda this last meeting I I thought I heard some discussion of going to the legislature for some help on that as well correct so I I think that that when you that creates a a a a some uncertainty as to where and how that money is coming but there's a way to there there seems to be a very strong will on the council to help these get these canals back to where we need to get them to be and absolutely document it so I I don't know where the pot of money will come from but I know a lot of people are looking in different pots and assuming I'm assuming there might be need to be some prioritization put you know which canals are in the worst shape correct to be dredged first yes to allow for you know the best Transit okay um what about balls five through nine you going hate me for this but it's still work in progress so it's something that it's it's going to be it's um it's been a hassle um and but also um with things coming ahead with um me having a full team coming up I'll have a lot more time to devote to these items as well and dingy dock dingy dock so the dingy dock had approved for the um Town Council um meeting on January 21st I believe so we're moving for forward with that getting all of our signatures and then Kelly Brothers will be notified and then they will put together their plans to conduct the de dock will we get a rendering of that before or it's finalized to look at is that what we're when you go home and check your email you're going to have an email in the box with the entire construction plan in it thank you and this is the rough jaw you can pass that around started with youe so can you just explain what's different or better about this dingy dock from what we had so the dock itself is going to be together and how it's pieced together how it's put together is right now what I'm fighting with is the dingy dock we have plac in place right now is a put together dock from hurrian after after Hurricane Ian okay so we got floating docks from snook bite that were donated to us and that's what we put together the dock that we have in place now um that dock right now we have we have done a lot of repairs to it to keep it together um to try doing best for the dock to operate as all one piece and not and not three pieces so there's some stability issues there but it's fine it's holding up it's being used everything's operational so with this Doc is everything's going to fit together professionally and better it's going to be able to float all as one unit um is that's where I had problem so we won't have the gaps that are dangerous you talking correct correct exactly um we are going to get I believe it's a six foot extension on all three of the pilings so when our that should prevent so God forbid if we get a storm again like Ian we should not have that dock go over that's 15 foot so that should be more than enough um because the last storm we had the dock float over the pilings um hurricane Milton Milton yes so is it can you take it out of the water correct okay so this is removable in case we just want to say hey we're not even going to take our chances correct correct yes that's why I went with the um aluminum aluminum over over the concrete and it was also cheaper wasn't it yes it was quite a bit what's there current appears to be well used from times I've been down here see what currently have appears to be well used a lot of people are using it for my recent it's used day a lot of people there you should see these past few weekends ever since the holidays go down to the dingy dock on a Saturday like around three or four I mean it is packed and even though we don't advertise it it is open to the general public correct four boats less than 10 ft yes yes hey well I'm thinking of it starting interrupt on the welcome uh billboard or welcome down there yeah we need to change uh put your name on there instead of ustin just upd yeah I know what you're talking about that sign yeah yeah I know you're where it opens up so Curtis with the temporary dock that'll be removed now with this with the new uh dock we were going to save those parts yes correct correct I plan on not disposing them I want I want to I want to save them um for maybe some few futuristic things down the road um saying if we can put in um second we can maybe use those at the mountain house there's options but that's um you know nothing's Arisen from that that's just me thinking um and kind of my game plan in my head of what I want to do further further down the road but um um but I want to get y all's advice on that um but but yes I I plan I would like to reuse them and yeah and use them for for another purpose absolutely do we have a place to to store them once we take it out of the water yes I I'll I'll with that okay Curtis is this made uh public on okay so I believe we need to probably because it's something we're discussing it needs to be posted um on the town website and also probably during this meeting I'm not sure uh if they can do that right now just so the public can be aware is there any issue with that Mr Vice again without the town attorney here I think to Jennifer's point it has to be it's now made available to the public whether we have to post it right away it certainly would be a nice gesture but I don't think legally we have certainly anybody watching could could ask for it and obtain it and it's now become a public document absolutely and but again to your point Jennifer at some point if we could get it on the website that that' be great yeah thank you what else is on your list Curtis the the how's the hiring going you you touched on it so I have hired a full team of hire I've hired two new people um one like I said we'll start uh tomorrow um the second will probably be next week any captains or divers um Captain Captain I have to say I was concerned at the last meeting I've been diving for over 25 years and um to just get certified and then go into our Back Bay um in murky water and very dangerous situations I would really hope that we could get um somebody who has got diving um credentials that knows how to do that sort of um clean up what uh what endorsements would you I'm not sure of the different designate there's different endorsements what endorsements would you suggest well I believe there are credential or uh credited people who do this for a living and probably right here in Florida I'm sure that do uh diving to uh you know clean up I think Patty has endorsements for certain talking about certain things I'm I'm talking about uh going in and uh cleaning up our Back Bay when you're diving to go down there to see what needs to be uplifted or cleaned up they should definitely be certified know what they're doing and um well the contract I have are all certified to do that okay so it's not going to be Town employees going down and Diving if we do diving it's going to be diving on the maintenance walls and doing the maintenance to the maintenance walls yeah that's it okay but the Back Bay is that our jurisdiction to clean up anyway I mean in general I need give confirmation on that from my knowledge I'm not 100% sure I think past like big carless pass is kind of out of our jurisdiction okay you know um and if that's what you're talking about back Bay anywhere canals anywhere I believe that you should probably have uh people that are you know uh certified and well trained to do any that's why we have these contractors in and that's why we I don't think that's a that's a task for what Curtis is talking about that's a task for commercial divers under contract that are certified commercial divers that have experience to do what you're talking about that's not the task that courtes people other than issue an oversee contracts correct correct Curtis anything else on your list um let me see I know I've gone a little bit out of so I apologize just so we did the dingy dock we talked um did I discuss the maintenance that we had done to the morning balls you did not okay so all all 89 morning balls got our um our um annual um uh um uh inspection and maintenance done um so I was very happy about that we replaced three systems I think we did 8 to n pinets and we um switched out some uh swivels and shackles So So currently everything's a green light everything's a green everything's a green light even even the ones that don't have pennet that are out of service the Coast Guard are sitting on go and now we'll get on our systematic maintenance correct correct so I'm looking to do this shoot for this every every six months there's about I think I saw three so at least three moring balls that are by your trailer there are those one was number 10 I think one was 43 were those replaced so 10 was was uh replaced um we had one of the them that was replaced a while while ago we we did that in house um um and um the other ones I think I just gave the contractors those balls and we replaced uh some of them but those are just Textra that they had that they didn't need that I have have in storage here so they're just sitting there okay right now they're locked up I know this is a silly question but how much are morning field BS um or maybe it's not silly I don't know I'll have to get the number for you on that I don't know did you want to collect them Jennifer have a little collection at your house you never know I was just curious how much the town is paying for these Falls and just curious yeah yeah I'll was there anything unexpected that you found during the maintenance everything was this was we in pretty good shape yes which I was super happy for kind of relias from stress off of me a little bit because going through you know the tropical storm and the two hurricanes we had this year I was very I was like oh man what's you know because we have boats on the balls too but they held up good awesome I mean the systems we have are are very good and the contractors that we have working on them the the the contractor that I had um do this job are the is the same contractors that installed the morning balls originally great does the current ball configurations have zincs sacrificial zincs correct the bigger systems are the ones that have our big zincs that we need the zincs on the regular systems the smallers they do not everything is fine once we clean thems John can you elaborate on what you're talking about I'm sorry I don't speak moing ball whenever you have no I know I'm just trying to whenever you have um metal in a corrosive situation under waterer um you put what's called a sacrificial device can you that sacrificial oh okay um to basically divert the corrosion to that unit as opposed to having it on the metal part and zinc is a common one used others um but they do dissolve over time and need to be replaced it's common on on boats all boats really have slows down like the rust and the growth and stuff especially when there's electrical current nearby yeah with all the boats around you can expect some electrical current in the water oh thank you you have a fascinating uh we did they had a Cay for many years say your boat would have zincs on the bottom of it okay even outboard motors and in the Eng have zincs yeah I guess that's the best way toting thank you it's kind of like a a sack sack fly right you know you give up something so that you get something else you give up something to protect something it deteriorates first so it it attracts all that electric before it gets to the important parts important parts cool but they do have to be periodically changed I'm sure they're inspected and change correct they get below certain level how do you inspect them look at them you just look at them and you can tell if they're rking out or they yeah they melt away yeah this is think of this as a they disappear as as a zinc yeah and of course it' be thicker over time it just gets smaller and smaller to the point that you can't do its job and that's when it gets replaced cool um but um for the morning balls I mean that's all I have for the inspections I was very I was very happy call that and uh the contractors were um they were awesome they trained Bobby and I um you know they taught us some knowledge and stuff that we needed to know so um I was very I was very grateful for that so um I'm feeling a lot better with that being done so are you pumping out now at pink shell or or where where are we pumping out the pump out boat at nothing's changed at P shell anything else Curtis I think I think that's it for my updates okay do we want to move on to talk about Cruisers appreciation day everybody ready okay all right well I I thank John Wesley Nash for making me a much more readable version of the thing that I sent out when you send it from your phone notes it makes it monstrously big but then you can take off your readers and everybody can see it so what I tried to do is based on the conversation that we had in December try to summarize the key points and the the key tactics and things that we need to accomplish to make this happen so this is not set in stone this is really just hey my thoughts on a page based on what we all talked about so that we can we can walk through this and see where it works and where we need to make changes and all that good stuff so uh I'll just walk through it and we can have a conversation about each of the parts and if there's something missing please let me know so purpose the things that I heard were we want to thank and recognize the boers who patronized the moring field and support the viability of Fort Meers Beach we want to educate voters about what fort Meers beach has to offer and we want to educate the public about the moing field and the voters it brings to Fort Meers Beach any of that sound off base it sounds perfect okay is there anything else I mean I didn't really I mean I know we're we're going to talk about vendors and things so maybe educate the public more about just boating in general and the environment in general well my idea was to invite the um the Coast Guard auxilary to come and and speak their amazing people I've been working with them for years with the murf popup and and they're always willing to be a part of our community and so I'm happy to organize that okay if needed that's a great idea thank you okay all we'll leave that I might add in more about you know General boating boating safety whatever we can work in there so they when they come to murf uh popup they bring all kinds of children's activ books they bring stickers they bring uh voting information uh they have a wealth of information and handouts uh to the Ming field um friends and the community so CH I think you have it um very well outlined under potential vendors okay yep yeah well why don't we okay let's just go through this and then we'll get to the potential vendors um so success measures I don't know how in the past Sam you have measured success rather than we got it done and that's a good thing um so the things that I thought about are the number of boers or vessels participating positive sentiment that we receive from the voters and the public the number of sponsors and vendors we get involved and the monetary support they give us I don't know if that works or there's some other things you can think about well I can tell you that compared to Prior years this is going to be quite the bash because it was It was kind of small it's been kind of small and limited although everybody from the morning field showed up but with with these extra popups and the other you know more people attending will probably get a lot more from the public and just by the location alone and uh you know having Nicole put something out we're probably going to have a real good turnout the last time you did it how many how many boter and how many boats were I think you know what I kind of lost all my records um I want to say between 50 and 70 people from the Anchorage and probably 50 to 70 people from the public probably probably over 100 people total during the day but between 100 120 Maybe yeah something like that okay well that's still pretty good and um and the last year you did that was 212 22 22 we did it before the storm and that's what and I've got that that hand out when we get to the the event or the donators okay so location Bayside Park we're still good with that that would be awesome and we like our dates we just need to make sure that nobody else is using the park in those days right sure and I think was a concer yeah I think we were trying to sync it with the chamber to make sure we had a concert that night okay music concert too to see if they had a band planned at what time and then kind of work try to find some kind of a symbiotic relationship with the chamber and their band and so right after we're formally done everyone could just go right to the band correct okay well I can I can contact the chamber and find out assuming that we have a four to7 concert um I'd suggest that we did a two to four o'clock in the past we've done like a 4our thing and it's it's been too long I think you're right and people get frustrated because we have all these great raffle prizes and everybody want wanted the Key West trip every year and we they had to wait all day long so I also would suggest that if we're going to do a two to four that we do one very long drawing at 3:30 and that way anybody that gets there they'll have a chance to buy tck even if they get there late they'll still have a chance to buy tickets people that got there early won't have to wait more than an hour and a half to to get the raffle items that timing sound good for everybody two to four I think that's enough hours or Jennifer what are you thinking one to four well you're the ones that have to set up yeah I mean do you think that's too long or Too Short no actually I think it's too short um the reason being if we're only selling raffle tickets and we're trying to get people to come in I think a 2our an hour and a half before drawing is too short I would suggest personally a one to four a one to four yes sir I'm very concerned with with what you mentioned that uh um you got people coming in off of moing balls staying there for for three hours is a challenge well Ted and I will vouch the minute we say free food 1:00 they are there how long do you have to be present to win stay they stay long enough to eat and you do have to be present to win because we're calling numbers well but they walk around and they go for lunch and if we have a designated time that we're going to be announcing I think that 3:30 is perfect I think as long as everyone knows it doesn't mean that I think we started at 1 we ended at 4 and uh we do the announcement at 3:30 but that gives them people time to come and socialize and and their tickets and then uh go and have lunch and do what they want to do and then come back at 3:30 but we've never had the opportunity to have something afterwards before like we have now so that's why I'm thinking if we can if we did the two to4 there'd probably be more people you know they'll be setting up by the time 3:30 rolls around they'll be setting up the stage for the for the music and well you know the last time you did it uh Sam if I remember correctly I mean you had a meal that was served and what we had talked about is doing some sort of a meal voucher so that gives people a lot more freedom to not necessarily come at one but you come you signed up you get your meal voucher you can use it at any of the restaurants does that we did a meal voucher before but did you but yeah and I guess that's part of the organizing we we always had just one last time we had one food truck and that did not work out at all before that matanzas was cooking outside and everything and it looks like this here maybe if we want to get to the food part we have three restaurants right there actually we have three restaurants within a block owned by the same people right that maybe we want to do something with uh Nick and Mary with um with Snug Harbor Wahoo Willies uh and however and um nervous and nervous Nellies however it's I thought about it it seems like it might be better if they could actually set up something something yes um because I think snug Harbor's property goes almost to the to Bayside there they could actually set up something on their property um rather than people having to go into the restaurant that it could be a separate thing that it would be more of a you know not Gourmet dining but more of you know picnicky well I think of what they did at the Sand Castle the past fun of this was that people came they got into groups okay and they were scattered around they got up and went and got their food and brought it back and then the groups would interchange if we spread them all out right we're going to lose that okay I like that so it seems like to me the food ought to be available to be brought to the location I mean even if you go to the restaurant Harbor it's only 10t away from yeah from the venue itself but not to have them go into the restaurants the other thing that we've always had in the past was Bob Beasley was a member of the committee and he would have his guys drop off a dozen of those big tables with you know a 100 chairs and that's something that we're going to if we're going to have people and be serving food we're probably going to have to and and like Ted says everybody sits down and they talk and they switch tables um we're probably going to have to try to get tables and chairs snug has all of those you know tables under their Tiki and they have a lot of tables in their area so and it's kind of a new addition for snug but I think they could accommodate your vision there Sam I think we would just need to figure out with snug we can do the same yeah we can do that we can do with nervous Nellies also if they wanted to do some food there um you know they could they have their property is 10t away from Bayside also either way lot outdoor tables there m well the outdoor tables need to make their way to Bayside no I mean for food yeah yeah so or do they need to make their way to Bayside because if we're having the event at Bayside it depends who's catering it if if if nervous Nellies is catering it then they've got a place outside next to the park as Snug Harbor has the same thing and and you could sit in that area and still enjoy baysite Park but you wouldn't have to put the tables over there because the and then just mingling bide and have the popups and B still close we don't have a um a budget right to give vouchers out so we would have to ask to I believe we we have well we're going to get some sponsors so Ed uh Ed Ryan from pck radio has already volunteered $1,000 as a sponsorship and if we get vendor fees from some of the people that you know were talking about the popups that will help and I believe we do have a line item in the town budget it's not a huge amount but it's a couple thousand dollars maybe I believe so yeah and don't don't we also and I I hate to do this to these people but it is life in the real world but we have have a we the the the the the Ming field has a number of longtime contractors Consultants that we've used could they be approached to be a sponsor as well yes sir I believe so like you are you are talking about like give me an example of contractors like you're talking about the people around that we've hired a number of contractors to clean up the the Pier C but also just advise on uh grants and so forth for the marine field I think there's one consultant that's been with us for years that's got a lot of technical advice to the to the again we'd have to talk to the town attorney how to do that but make sure it's everything's appropriate but that's kind of what we're doing with the with the Coast Guard auxiliary correct well I think we're asking them to come and be a vendor and maybe they would maybe we would charge them a vendor fee maybe not oh I see what you're saying you're saying to reach out to them see if they would sponsor this thing for us you're saying be one of the sponsors not give credit in all of our Publications and we will thank you uh I'm assuming we'll have some sort of a microphone and we can you know say thank you to our sponsors have some signage so if people could give a if we could get like three sponsors for a, dollar or something that might absolutely I don't believe that it's appropriate to ask the Coast Guard auxiliary I got confused there dis I had another thought to what I was getting into but um these would be priv I think that if we're going to do this I think we need to reach out to the restaurants and the people that we want to sponsor us we should probably start giving on that oh yeah in the past ASAP in the past we have not had any paid sponsors what we have done and we even when even the the year that it rained we managed to break even or make a slight profit the raffle is very popular the key is getting a bunch of and we should be able to there's a lot of things that are open and a lot of people that are on the water um what we did we Ed the raffle money to pay the only expenses we really are going to have are paying for the meals that we're going to give for free we'll get into that later of who we're giving them to but the meals we're going to give to for free um which means we're going to need two sets of tickets we need one set of single tickets you know regular ticket one set of single tickets for food and then we need one set of double tickets for the raffle for the raffle we always had the they always had them at Town Hall we might have to get them I'm not sure they had anything um and we always sold at least $300 worth of raffle tickets I mean it's it's pretty easy especially with this group I think we're going to be able to sell a lot of raffle tickets if we get a lot of good gifts but you're so for a dollar a piece we're soing for a dollar a piece still disagree with well the thing about a dollar a piece is anybody can get in for a dollar but I said we stood there tearing tickets I want 20 I want 10 I want 20 they they buy a lot of them and it it makes a lot more excitement that somebody that has one could win the same as somebody that bought $50 worth Madam chair can I back up the bus a little bit with the timing yeah um it's my belief Maybe I'm Wrong does the band start at 4 at B they typically do 4 to 7 okay so if they start at 4 and we have vendors and we have popup tents and that we should maybe end at 3:30 so have time to break down before this band starts yes so I I would suggest 1 to 3:30 with the drawing at 3 with the ra really being so there's time for us to and because people just bring their chairs for the concert I'm pretty sure right yeah and we'll be in the way I was kind of thinking the same thing you're right and that way the 1 to 3:30 it will be 2 and a half hours but it will still give you know yeah because if you guys are going to go to the to the time and effort to set up popups you want to the least half part of it you know good part of the day yes sir all right so um I don't want to interrupt but I see our clerk here uh Amy Baker I'd love to put people on the spot and walk through but we have a we have a a wonderful lady who's been an absent member did you have any luck in reaching out just while you're happen to be in our building no's going to walk by again you're on okay uh for the record Amy Baker town clerk I did Reach Out by email to her and I have not heard anything back okay do we have the right email address I have the one that she supplied in her application is there a phone number on her application by any there is I just didn't get a chance to actually call her so Amy if you uh Miss uh if you have three unexcused AB absence does that mean that you're no longer not not knowing the the ordinance verbatim I believe it then goes to council because I think council is the one that can remove somebody from the committee but i' have to look at that and I I'd want to make sure we we she that we've had a good email and that if you get a chance to call at some point that might be helpful too just to I will because if if she has if she just doesn't know that she's been appointed and I'll double check the ordinance too because I I believe it goes because Council appoints I think Council would remove too but and it would make a difference if there's somebody else on the waiting list for the committee yeah I just ran into somebody who had an interest and I I assume this this group would have a no folks be interested as well assuming this person does not want to participate yeah I'd want to give her the opportunity to say no that's great thank you Amy never wander through that'll be that' be a lesson am going back to our rain day just real quick because I had a note here um we're probably going to have to decide at our next meeting we're going to decide a lot of stuff at our next meeting about this we'll have every all our ducks in a row whether we want to do a rain day if we get totally washed out or whether we do a cancellation and I don't know when or when we would decide that we never had that come up before but it's it's a possibility so I think that'll that'll probably depend on your conversation with the chamber as to what what their concert series is like yeah yeah and whether there is any I mean if we could still hold it but is there anything under a building that we could hold it I mean Bayside Park itself is somewhat enclosed but probably not enough the band would probably cancel for sure I think so when we get our conversation going with um with Beach talk radio and and Ed and Kim over there um I'm assuming that they're probably going to want to set up their pop up with their PA system which would be awesome because we use the PA system to do the raffle and uh and he is interested in actually broadcasting from and he'll MC and he'll play music he'll whatever he'll he'll be so you know Jennifer part of what we could offer to some of our popup vendors is the opportunity to go on and talk you know on the air if they would want to you know the Coast Guard auxiliary or the other organizations if that's something they want to do I mean to be honest with you I have no comment okay well there pretty flexible if they're there they will anybody that wants to be interviewed they they generally will have them up there so are they committed to uh broadcast this uh in real time live okay excellent that's what he offered up yeah if everybody's okay with that oh yeah I mean I think it's uh sure it definitely gets us out in front of the public and it gets it a little bit more immediacy and I think that's great um so talk to me a little bit about overall budget say that you guys even what what do you think for a budget the only expense we're going to have is the meals Fe is the meals and what about the giveaway you've done a giveaway in the past you still planning to do that the giveaways for the Raffles no no you had like the floating key chains you said there was some sort of promotional item do you feel strongly about that well I brought them along just in case this is what we did in the past I can pass them around this is It's it doesn't they normally pop open but this one's been through a hurricane and here's a different design but they're only they're about a dollar a piece I found them online you can buy 250 of them um for $310 so they're a little over a dollar a piece and I want to ask does everyone check in at the office with Patty or anybody no because what we used to do was the leftover ones we give we give them to people to check in but everyone's on Doc one now so no one's checking in so I'm not sure we need 250 of anything that's the glory about daa and the thing is because they can a lot of the people that come in um they come in at night in the in the evening times or it's or it's early mornings but um you know we're talking like 5 six o'clock at night we're already closed you know you know so they just get their codes to the bathroom they don't need I set everything up through daa um once they confirm it I send them out a welcome message with all the information and codes that they need to access all of our all of our facilities so this is an option as a gift we don't have to give a gift can can I just say I think that is a spectacular idea I love the green and white model I had one all my keys were on it money in there they were lost during Ian I love that thing it's it's inexpensive it's cool it's different and it's very cool and and to have a few extras for Curtis to use around if he's got guests coming in or he's meeting with people and to hand him out at a meeting just a nice gesture to have things to out and and maybe have um Nicole I'm not sure how you could do it but if she could put a little QR code on there because it's really there might not be enough room for our website but at least either the website or a QR code so when they have this they'll they'll have all the information with the use of their phone to go on there I like that U Madam chair can I just add another thing I'm sure can these uh floating keychains are quite popular Nationwide and every time I've ever gotten one it's had a business's name yeah on the side of it so get somebody to sponsor so I think that side we could get someone to to spend $300 they'd be more than happy to put their their name on so that's not going to have our name on it then well yeah if we can do a double side both you can't do double side so well in that certain instance I'm guessing that there are other or there must be other ones but the ones I I found a couple different ones they're all one in by one and a qu or they're all but we can look around and see if we can find yeah we've got time to do that but that is a great that's a great thing and people will put them on their keychains because they'll put them on something okay so let me um Panther printing do that yeah we can ask Panther definitely have the townhouse in account I I I worked extensively with Panther printing during this last campaign cycle don't want to bring up uh uh memories of that but but I they were they were wonderful to work with but and I looked at all the things they did thinking of something like that and they just don't do that kind of a 3D item that's not in their inventory but it's a great thought because they're wonderful to work with but that they just I looked actually for that specific thing just because it was fun and different and I can ask the chamber I mean because they do chies and there other people who do chy so they may be able to give us a a person that can print them and then we can try to find a correct sponsor to help underwrite the cost what exactly does it say on there about as far as promoting theor field it just has the address in and just some Waring field that was before probably even before the town had a website maybe address right now awesome either so which is anything that changes if you got the qo or the Q or the website different Vice chair a QR code that goes right to the Anchorage and and sign up right that way anything we ever change right this is just a SLE this is one for an actual let me ask let me clarify here so when we're talking about who we're providing meals for it is just the voters and their guests or here we go all right nope are you ready I am so ready Sam I can hardly wait first and mostly importantly the members of this committee and uh do not need to include our Lia on because we invite all the members of council okay uh these are people that are going to get a free meal just like the voters so that would be the members of this committee the members of council Curtis Andy Our Town manager Patty who is running the office still so pretty much any Town Representatives no just these these particular ones just my crew and yeah I thinker yeah they your crew your crew yeah curses crew curses crew sorry I did that I did that too um I'm thinking Chad and Nicole and I don't know if anybody has anything to add to that these are going to be people that are going to be helping Chad you know is a little on the FR he's the person that we want there if we want to invite him and generally we get one or two members of of council they they all didn't come no none of them always come but I'm assuming Jen will probably come um you know Dan will probably come you hopefully they all come John will come you know so we want them there because that's the people that everybody wants to talk to and mingle with I have a recommendation only because of my uh the past one that I set up that um I was told by one person that my volunteers would have a free lunch we sat up U previous and we were there all day and U then I was told no and so I went to the previous um Town manager and he did allow us to have a free lunch once all the lunches were served to everyone but I really think we're going to have volunteers there setting up to give they should be included as well so the people who are setting up the pop-up Booth yeah or just yeah that yeah I absolutely agree with that because this is an out this is we're trying to promote an Outreach right yeah thank you for coming in and supporting well if with these with these sponsors we're going to have a lot more flexibility to do more lunches and do more things and I I think you know the the raffle is great and but I think with these if we have formal sponsors in addition to that we're going to and again if there's people Curtis works with who you want to bring in to promote the the the moing field and they we want to give them a lunch I think we ought to give Curtis a a number of lunches that he can just work with and Market you know whatever you know should we get a list together and and anybody else and maybe vote on it next meeting y do that and that way we'll have a little time to figure out what the money's what the money situation is going to be how do we explain to the public do we say Hey you know you could purchase a meal for this much but the meal we're giving free meals to voters I have a recommendation for this entire like game plan for this thing so what I think that what I recommend um is I think that we should maybe like put together a small a small little agenda or a flyer stating how much are meals or what or you know what what you were talking about but also stating like okay one o' is come you know hang out and mingle we're gonna have Coast Guard auxillery will they be willing to do like a 30 minute talk on on boating for us right and then you have kind of like a timeline to punch out the people so they know all right this is going on and then rles are at three and we're done you see what I'm saying talking about an itiner an itinerary is what you're talking corre correct part of the promotion stuff so definitely yeah did you think the the chair was going to go without an itinerary I mean she's I'm just we can put together that we can give to Nicole so she can promote this absolutely on social media for us as well and what else we do generally is once we get all our raffle items together we make a list of those so that when everybody's is coming up to buy a raffle ticket um they'll know exactly what's what's involved it's not just one item it's going to be 20 or third last time it was like 30 items and some of them were were pretty large yeah Curtis I I was thinking and I maybe confused but is it Coastal Engineering who's our consultant yeah I was thinking that they would want to sponsor that too certainly we've done a lot got off the phone with them so them we call back and see and talk just talk to the attorney about how best to handle that we want to be everything above board yeah I agree so what we've done in the past is we've done $10 I think and what that would buy that would buy a basic meal and a soft drink I just want a picture we wanted to make sure everybody's um that everybody that came was going to be able to get a basic meal but there will be beer and you know there will be drinks available also um so anybody that wants to go over that but I'm not sure if $10 going to cover a hamburger and a and a Pepsi but that's it has in the past um and we have always done tickets for all the meals so we can keep track cuz we did did we have a split with it was weird cuz we did a food truck last time it got all screwed up so maybe we can just figure out how to do it the the best way possible that's going to be the simplest which might be just tickets for the people that were comping and the rest just pay cash or credit cards do you require people to sign up ahead of time so we have an anticipated number of people what we're going to need is we in the past we've had a setup like this with three tables underneath our popup which I guess we just find shade under there and we had it to where people would come up to our booth and they'd sign in we had a signin area then we had an area for raffle tickets and then we had it all enclosed back here we had all the prize because there's a lot of gifts and stuff back here was just for members of the of the committee only we had all our gifts back here that was private and we'd have like three sides going at once with raffle tickets and signing in but we have a roster do you have an RSVP list ahead of time no but daa has a list of who's going to be in the in the field at that on that day right when you get a list does it say how many people are on the boat no that's not that's where we're going to run into right um like oh there's five people you know there's five people there's really one or two people so do we want to limit it to the first two people on the boat or do we want to do four people per boat or I would say two people per boat two comp meals per boat I would generally I don't think I don't think there's more than two people on most of the boats they have visitors or something like that but usually it's only two people to and right and and one person can't get for two if two show up they can get it but one person can't get double double so you've got so you've got this list it lists by moing ball it list bying ball number five is Joe Smith he comes in you give him their vouchers and do you show anything to show that he's Joe Smith name okay what's your name what ball are you on and easy pey you just time times out by two and you've got the amount of tickets potential there's no way that we're going to go over 90 balls times two correct correct anything if you want to verify them tell them ask them for their Mor number yeah that's how we usually do it we'll get the list from you you know the couple days before and as they come in we'll just check them off but I'd really like to find a way to avoid having a guy come in with four people off the boat and say you get a meal you get a meal you don't you don't to that's I think that's a good way to do it limit of two per boote and John doesn't like that I want to avoid that I want to avoid being able to say you get a meal you get a meal no you don't you don't I think that would be so negative for the event I got agree with John oh we we know kind what I was thinking it's like we need to hold this event for we don't need to be like keeping track if we're going to do this this is for it's to Pro Goodwill Goodwill so it's not like okay you're coming to our free event but we going to check you in because you only you know what it mean though he comes to our free event if he walks up with four people whoever they walk up with in our promotion do we say limit of four free meals per vessel I don't think you say anything I think when they walk up but then yeah they're not going to bring 10 people cuz they're not 10 people on any vote so you're saying let's plan for the larger number perhaps and I think we take an average I mean we plan on what an average is you you have a pretty good idea on what we have generally in the past you know I personally I've never done this in the past so no I don't I but we know during the that time period how many more personally budget correct I would personally budget four people a boat okay and um and take a reasonable guess of how many boats we're going to have on on that kind of weekend we know generally the average boats that come in over a weekend correct you know so we say well the average is maybe let's just take numbers maybe 40 then say okay we're going to budget for 50 boats at an average of four people a boat all right we're budgeting for 250 meals 200 meals so we use them or we don't use them right but to have somebody come up and participate and say you can't have a meal that's the last thing you want to drink and generally these people that are couples that are cruising on two on a boat they don't they don't have people that they're bringing to this event you know if it is and they're signing in it's like the kids coming to visit or you know what I mean and when they sign in they're not going to bring strangers up unless they're they're going to be honest right that one got us one year yeah okay I know that we're still going to need some uh member items and things so maybe we take another five or seven minutes on this topic and then we then we move on but I is there anything in particular you want to talk about go ahead okay so uh we have a lot to figure out about the budget but I can make some assumptions based on what we've talked about and put better numbers together for this uh to talk about promotion we've talked about Beach talk radio we've talked about using Nicole's resources to put out a press release and put it on all of our social media obviously it'll go on daa and wherever else our voters will see it uh you know maybe there's some other direct communication we need to have with the voters and then certainly the vendors and the popups hopefully they will promote it to their public so that um people will come and visit them and and learn more stuff uh talking about the vendors Jennifer do you want to coordinate some of these things so you've talked about the Coast Guard auxiliary and do we want murf there as well I have to bring that up to Mur yeah but I I wouldn't consider these vendors yes I'm sorry vendors is the wrong term okay displays nonprofit Educators um what would you call it I mean when MF does info boost yeah informational boost Bo resource booths okay I like informational booths that's that's very descriptive okay yeah but we don't want to call them vendors okay um Captain for clean water I have something to talk about that whole thing but so will you bring up murf participating at the meeting okay yes ma'am and then now do you have any sort of popup materials Curtis to represent the moing field or do we need to figure out how we I do not okay we had a tent did we lose those tents we might have a tent I was going to say if not the tent still have their tent the table I don't know what happened after the hurricane Jennifer I don't know we're going to we're going to need a popup and some table for our just to just for the security and the shade if we're going to be there well yeah I mean so there's one thing there's going to be need to have a tent for running the event and then if Curtis and the moing field and his staff want to do some informational stuff and be there to answer questions that's a probably a separate little place the town we we had a cash of these I assume they're all gone the popups the tent and the tables we don't know that was good question we to ask that I'm not I'm not 100% okay I think I'm sorry Jennifer I think we're going to have to look pretty quickly at coming up with a schematic yeah because there it sounds like a lot of room but we're also sounding like putting a lot of stuff there yes so we we need to come up with a schematic of is that something you're good at as I offer up your services it's just when is my problem because I'm I'm not going to make the next meeting okay okay um but do we have I'm assuming we have a a footprint of Bayside Park could we great question for that you might ask Jeff about that I'm sure Jeff would have drawings yeah I think okay and I would suggest that we put Beach talk radio on the stage in the center because they're going to have the speakers and the noise coming out if I can get that so I'll talk to Jeff about that yeah and if I can get that then I'll start if I can get a plot um I'm almost positive Jeff's G to he's they've done so much work down there he must have a whole SK there if you can email it to me I can take a a shot at it at least to have something that you guys can discuss at next one um our educational tents they're 10 x 10 that's Ty I'm assuming y that's typical typical setup for them um obviously we got to Define what the committee needs right um Beach talk radio is going to be more than 10 by10 um but again give me uh you give me something to work with I'll I'll be happy to get you something by next uh okay I'd like to make a question what's the relative size of that Park and the large area that we've used in the past which was all a parking lot for panas in I'm thinking that we pretty well filled that area and it looks like we're trying to crowded into an area that's half that size and I'm just I don't know this and slightly smaller so maybe what we need to do is populate the perimeter yeah that's why I was thinking the Boost would go as around the perimeter and people could use that middle for mingling and then if we do meals at snug or at nervous Nellies that takes care of itself speaking of the crowd I know don't throw a monkey wrench and everything but do we need to have any extra security and do we need a permit well I'm sure we do need those things uh we we'll need a permit and I think Tracy does our permits courtis so you may want to get in touch with her and just particularly find out what the process is for the town to request a permit yes I know in the past I had to get the police and the fire to sign off but if you're you know what you've gotten lots of them lately so we'll just follow the format of what that happens that's a good one though okay yeah so the things that I think need to happen before our next meeting is we'll get a a schematic and a John will assist on mapping out some initial things I'm going to contact the chamber find out about the uh the music plan for that evening make sure that there is something planned otherwise we may need to have a plan B um I'll also ask them about chachki vendors to see if they have any other ideas about that if everybody could sort of think of maybe sponsors we can go out to to get some that's I was going to suggest um for the raffle did everybody get what I what I passed out that we'll have to update that but it's got both sides on it it's the donation request okay and the one that was on the fort Meers Beach stationary that was the last one we used I just I don't know why I put this on the other side I was trying to update it but something similar to what we use there um for next meeting if we'd have something like that I would suggest for our homework for next meeting is everybody write a list of who you think every restaurant every shop that you think might contribute and what we've done in the past is we go down that chryst will go down the whole list and everyone will volunteer you know John will say oh I know the guy at Santini at South Beach or whatever I and you know Ed knows so and so at this restaurant and a sign who goes where it's always nice to have a familiar face walk into to you know the lon Kai s head um and there's some stuff that we never did in the past that we can do you know Margaritaville has day passes now for the pool pink shell has day passes for the pool and that's something that maybe in the future we should try to get them to give a discount that comes in our welcome package or something for everybody out there but if we get a list of everybody that you think might contribute including like Key West Express and all the all the waterfront restaurants and then you can out where everybody wants to go and that way everybody only has to go to three or four places is it appropriate to put out things like this on the town stationary VI probably need to check with the town attorney and I think too I think to to Sam's Point I think because some of these businesses are really struggling postan I would look for the ones that have the symbiotic relationship with these boers marinas restaurants on the water yep you know that kind of thing and businesses that are big like like and they don't have to I mean in the past matanzas has given like a weekend there and yeah Matan is a great example yeah yeah um but you know Margaritaville they may not want to give out a room they give out a lot of stuff but they have several restaurants and well and I think they would you they would like these folks at their pool for the day because they you know when you're at the pool you you buy lunch and dinner and you do other things while you're there and Cocktails and having just uh went through the puton pub um event for folks and we had a tremendous gift basket it came from many many vendors let's get that list I will I will that's what I'm offering I will pull that information and basically show examples of what they provided in the end we had a gift basket that was worth $2,100 and that is what really sold graphic yeah and I I would just suggest too if we get three or four substantial sponsors for the event we could take some of those funds and procure things for gift baskets for the raffle as well true now just with my experience over the years doing the popup um I was told I could not uh promote businesses um during um my popup I'm not sure if this is different um but I just wanted to kind of put that yeah I think we need to have a good conversation with the town attorney to see what we can and can't do and how we should do it if we can and that kind of thing during the murf popups over the years only um promoted and been a resource for nonprofits yeah do you want me to put a list together of the questions that we'd like to ask the attorney yeah I I think that's fine that'd be great yeah we maybe we could have n if she's in town maybe we could have Nancy come to our next meeting that's what I was going to recommend I could reach out to her see if I could that'd be great yeah or at least by phone yeah yeah or we could yes absolutely are we gonna permit any Commerce and exchange of money I know Beach talk radio is going to want to have their t-shirts there and some of the other vendors May if they're especially if they're paying for a spot well I don't I think we've kind of poo pooed having people paying for spots I think what we're talking about really is the informational boost now so okay but yeah I mean that is a good question about will they be able to will they be able to sell their merchandise will anybody be able to sell merchandise provided I mean they they'll already have done it once at Margaritaville that morning so different maybe if noing something yeah I don't know if they're selling it on Town property yeah yeah all good Nancy questions okay okay all right should we discourage anyone else selling the thing yeah I because that would just make that the rule yeah that no other sales we're just going to sell the raffle and that's that's it I don't understand why why can't people sell stuff there I mean well well it's not that it's just we don't know if that requires a different permitting just a good question I'm sure the know that when we right go to apply for a permit yeah well I'm thinking one of the things um you know Beach talk radio when they do an event like this one of the things that they're looking for is to recoup is to recoup on some of their yeah on some of their stuff so I I'm assuming that he's probably going to ask us about that I will so we'll be we'll be prepared to take care of that ahead of time um all right I will update all of this and get it out in the next couple of weeks so that you have it far in advance of our next meeting and then we can you know crowdsource anything else that we need to ask the attorney or the permitting process all that sort of stuff so I may just update the outline and then have a list of questions yes and to your question I will be happy to organize the um the informational book thank you very much appreciate that yeah okay anything else we need to and just just for the record uh in case everybody's watching we're this is April tentatively April 27th which is a Sunday from 1:00 to 3:30 just for those who might be watching okay put it on your calendars now April 27 April 27th which is a Sunday y Sunday Jennifer one of the things I I worry about um in the U informational booth we got to make sure we got we don't over commit you know that I I guess what I'm saying is we kind of got to decide at this point or when we get the layout can we handle four can we handle six can we handle eight yeah yes sir I was actually just thinking that so I'm so happy that you brought that up so maybe make a priority I I think it would depend on the amount of space that we have and and whether or not because like you were saying a 10 by 10 tent that you know uh requires a lot of space once you're looking at four or five different I believe the town tent is of 20 by 20 so that's much if we still have it it's much larger it may need to be closer to the area where people are coming in so um I think uh maybe one of us can go get a good layout maybe do some measuring and get an idea and I'll be happy to do that as well so your murf tent that was a 10 by 10 right it was yeah I lost it but a very well I understand but that's a very typical size yes sir for for those type of uh organizations yes sir i' certainly Coast Guard would work out of that yes I I believe probably Coast Guard would be with murf just because yeah but I still well yeah yeah I mean that's another question what what organizations could share a presence yeah right um for example like turtle time I'm sure would work out of MFS um we could just have a m and by other people or we could have um somebody last month had mentioned uh getting in touch with Joanne C Center has anyone and I didn't write it down I believe it was you oh about the her aigo b OO okay she would she would definitely you want me to call her I talk to her pretty frequently well if I'm in charge of organizing this and it's just under I have the website for but do a i her phone number too I talk to her to she would definitely be interested in in probably setting something having something up and then any other U recommendations on informational boo um I I would like to step back a little bit I I I would not like to see this turn into a street fair and we talked about um you know people selling things and I think of what we see in the market on at Santini Plaza and what we see under the bridge and those become the theme is gone you've just got a bunch of people selling stuff and I just wonder as we go having informational booths is one thing but I think we should think about how many people out there selling things uh uh and I don't know how to to say I mean maybe the the one people that are helping but uh I I worry about getting it out there too big I don't think we're recruiting anything like that the only reason I mentioned Beach talk radio on that yeah is makes sense they they kind of set that's how they set up so and and not saying whether we should or shouldn't but we need to let them know ahead of time well maybe they could but not a bunch of others and they need to know ahead of time and the people who are out recruiting them need to know that you put enough popups we haven't got any place for people corre correct exactly I'm in agreement with you yeah I think I think the committee is pretty much in agreement that we don't really want the street fair type of thing it's more informational come and learn have conversations yeah think it's great super so Ted H how do you feel about maybe a total of four informational boosts I haven't thought about it I'd have to think about it me let's let's think about this for a second though so um what we're doing is Cruisers appreciation right so we're bringing in the voters and stuff like that so let's say you know I know we want one kind of informational person there you mentioned Coast Guard aillery I think that should be it and we should keep it to that and murf and and and murf whatever but I think I don't need think we need to bring in that many people I mean I was kind of under the pression of maybe like having the coart auxiliary talk and say stuff about voting just a small little overview short five minutes and and that's it and that's our maybe do it every half hour or something that sort of thing I wouldn't even do that I would just make it just the one time and that's it and then have everybody the food and everybody mingle and that's where we talk to everybody what we've done in the past the obser comes with their Community contacts and their vessel exam uh schedule and they just have a very limited amount of material I these we already got voters that are all voters yeah correct in there corre but we do have towns people right and the towns people that come come for a different reason uh I I with you I think we should restrict the number of things that aren't appr Mo uh appreciation okay let's uh stick with uh just town uh maybe committees that might want to set up for example murf might want to set up um and murf can host different people under their went if any other committees with the town want to set up to promote there maybe we can do that along with the town tent well in the past murf has uh gotten with the Coast Guard auxiliary and shared a a tent it was too small to get business from both things it it just didn't work out very well uh but uh the uh it just I don't know I well from EXP experience Coast guarding consy needs 10 by 10 they got a lot and they have it ready to go right and they got a lot of good pamphlets and safety information to hand out is very valid for this this type of attendance um so you want them to be at their own tent besides that's how they usually do it yeah that's how they do it they they go to several events or or you know again depending on what what comes out of the schematical proposal is we look at the space we have and you know sometimes you know maybe we can take one side and have a long tent that's broken into tables or something yeah yeah you know here's murf here's Coast Guard accary here's whoever right but let's think about the purpose so we talked about the purposes for the boers but also for the town to help them understand more about boating more about the moing field and to help the boter understand more about Fort Meers Beach so I come I kind of think maybe we should have the chamber there to talk about everything that's going on at Fort Meers Beach and that's something I can when I call the Chamber Jennifer I can just put that seed in their in their head about whether they want to do that but I mean I'm not trying to prescribe this but if we're going if this is really our purpose then I think we need to serve all and where does murf fit into that purpose I think murf fits into educating the public about you know everything that goes into the environment and voting and AAC is part of that the field is part of that yeah part of what part of educating the public because the public really doesn't know no I think it's kind of murf and AAC but maybe it's under that umbrella that you talk about Jennifer that here are the Committees The Advisory committees murf is one AAC is one here's how we serve the town so that we get that exposure to the public but also you know the voters might find it interesting all of the environmental things that we care about well I looked back on my record and uh the last um uh the last Anchorage committee uh Cruiser appreciation I gave out over 400 um pieces of information that's a lot of information and we tattooed kids and we had a lot of fun so um Murphy I believe has got a lot to offer this um and I'm sure to Coast guardy would be very similar yes whenever I've been to one of their events they hand a lot of P yeah good stuff yeah so we basically got Coast Guard exil Town committees sort of AAC murf anybody else that makes sense maybe the chamber and how does Tigo Bay fit in there or does it I mean I'll ask they're educational aren't we getting too many you know if you want people to have something to look at I don't think that's really too many something for people to walk through and again I think we got to look at space a priority you know I I hate to see Jennifer go out there and make all these offers and then have to go back and say we don't have space for we have a perimeter but we still have to do the food that along that perimeter well no what if we if we're sending them to yeah remember we're not we don't if we're sending them to either snug or nervous Nellies we didn't want to send them away from our meeting no but they're there is they're going to set up on the on the perimeter of I mean they already have tables and chairs so it's not like we're sending them away they're very close to us it's just like there's concerted areas and that means we don't have to set up a whole bunch of so are we probably going to approach snug and um nervous Nellies well I think we need to kind of get our little ducks in a row but we need to approach them prly pretty quickly it's some well we still have some time to do that but we'll have to try to get them to have a some kind of basic menu together so we can decide how much whether we want to do in the past we've done $1 but everything's gone up in price and that got us a sandwich and a and a drink I'm happy to reach out to them to just float the idea if that's okay and just see if they have any interest in participating because if they don't then we'll have to come up with a plan B do you want to pay them a visit um between now and then both those restaurants and ask them about if the date is good it's between lunch and dinner so 1 to 3:30 is a little bit of a slower than trying to do it at lunch or dinner if you want me to okay all right sounds good I think from there standpoint we have to be careful the average table in that time of day probably spends 50 to $60 so it's a lot to ask them to sacrifice tables for $10 meals but if you think about the snug area that's adjacent to Bayside Park that under the tiki during their slow period yeah there's a heck of a lot of tables there think there's ton I think they have probably the most capacity it was during rush hour I agree 100% that yeah I just think them absolutely and and maybe they maybe they say they want to do maybe kind of they may have a better idea yeah they may have a better idea I guess I mean in my mind is that we need to get um sort of a budget down on what we can afford be before we go to those restaurants because they're going to say okay so how many um lunch boxes are you thinking of right and we need to kind of have a number in mind to be able to give that information to them and know you know how much we can afford to put out there yep I will um put together a you know yes proposed budget or hey can we make this work kind of thing in the past we've done hamburgers hot dogs and pizza with a soft drink but Matan always had something nicer to go they had something nicer to go along if somebody wanted to up it and upgrade but that was enough to you know at least get everybody uh slice it yeah and uh you had Burgers chicken and Pizza so vegetarian or non- mediators everybody was kind of happy with just picnic style food okay I think we're pretty we're pretty close to estimating a number right between Sam's list and then coming up with what the average amount of um find out what we have in our pot too town has for us yeah and and you know say okay for these events we we we know that we pretty much expect 40 balls times four times four plus this other I mean yeah well I mean whatever whatever the estimate would so maybe three yeah yeah three okay so maybe 150 to 200 meals is you know 200 high side that's including the other people that we've talked about yeah and if we get even most of those people to show up in the past we've had one or two Council people like go through and we've offered to a lot of people but that's money we're definitely willing to buy those the more people we can get from Council in town there the better okay but you're right um having them there and being able to interact is a big plus it is big it's a big quest for the town you so 897 that would be 267 we add three people and that's with all 89 balls so that's the number's going to be less so say right now I would say 200 I'm thinking 200 is a pretty I got an Aver of 65 vessels in so roughly around what's so 200 would probably be a safe or 250 adding in the other people yeah okay I mean I've seen reason but once we get closer I can tell you exactly what number I have in the field like right now I'm like in the 60s high 60s boats I have in right now right now I'm have 20 balls to fill that's great what how many people leave in April from the morning field like that's basically the end of season and I'm just curious many people leave in well um considering this is my first year I'm not I'm not 100% sure but I can give you kind of a ballpark number I say that we have roughly about a little less than half half the fields stay okay so half and would it be possible to go to daaka and look at what their past reservations have been for certain months we didn't have them we didn't have them back then I your records for the last 10 years far back oh yeah yeah yeah see when I had how many so I just did that at the beginning of this year yeah for this time frame right now in January going back before Ian we are and this is with them this is without the 19 balls in the front Ming field we're pretty much the same where we're at right now maybe a little bit more with the 19 extra this is high the season I think we need to look at what April is well well yes I'm just telling you right now where I'm at I haven't lost any if anything we've gain number that was one of the reasons we always picked the week after Easter Because by the time um you know a month before this they're going to know about it and a lot of these people stick around you'd be surprised how many people stick around for a free burger and a Pepsi it's it's amazing and they you know they stand in line they get there on time and it's and you know it's a nice social event because a lot of them don't know anybody here you know they're on their own and it's a it's a good Gathering and that's what Cruisers do they they gather people in town come for the raffle yeah I feel like um the last one that we had we had a DJ did we have a DJ what did we have I feel like we did I know that Sheena Brook showed up at the last minute and played a couple songs she did but I feel like also had a DJ that kind of helped I think we did and then before that we always had a Jimmy Buffett guitar kind of guy are we going to have meic because we're going to roll this into the band afterwards yeah I'm thinking I'm thinking want some sort of background music I think I'm thinking that radio is going to set up a ba and they're going to set up he's going to he's going to set up music yeah I me we can definitely ask that yeah well if he's broadcasting uh live he he will not be playing music yeah well I mean do we want would we rather have I'm not sure he's going to be broadcasting live for the entire thing and whether he can he can play music while he's broadcasting also I'm not sure remind you that nervous Nell's plays music out time okay they might have a band as well that's something we need to keep in mind too yeah and that may serve Point good point yeah underneath the bridge you weren't really inct any other okay that's something we can so um the last time we set this up was underneath the mananas fridge so we weren't really correct we in our own and we took up the whole spot Ted but we had tables and now this time we're going to have people standing and so we're going to have a lot more room for feel like it's smaller people standing it is smaller but we had those tables we had all those tables set up that took up all the room when people are standing going to take a lot less room I mean can you put the booths on the astro turf sure is there any that's a another good Jeff question I'll ask I'll ask I mean I don't see there being an issue with that able to do that ask I mean that takes that takes us off the whole perimeter issue whatever whatever je question are those sidewalks part of the Town property that's they often they often become part of the town when a band is there have people kind of spill into that but and and the bars don't care because they that everybody wins we certainly want to make room for people to walk around it's going to need to be passage traffic PN for far reasons and I mean you can't just block right access so I would h a suggestion is to have the Boo in the back not I mean um by the stage you mean not by the stage the other side toward the the walkway yeah going this way yeah whatever street that is yeah I would suggest doing that so we're not in anyone's way and I'll go and measure and see how many in that perimeter see how much space we have and that will probably then tell me how many boots we then you're doing the schematic yes okay so I'm not doing the schematic okay all right um just make sure there's walking you know there's paths so I so I'm talking about on the turf grass in the back up against the um where people every everybody can walk down the sides and then come in correct where where is the likely entry point for boers are they going to be coming up off the dingy dock so we might want to set up the more check-in Booth closer to that area so closer to the stage but have the informational booths closer to where the public will come I think having it so I mean most people we don't have a we don't have for them we don't have a dingy dog for the fter to come in in that area right yeah we do that where oury do okay so um and that is underneath the bridge correct okay so I would make the um the nervous Nelly sidewalk the entrance okay to it and have the very first booth in the back the check in and then however many other boo and then that you know opens it up for the for people to grab a chairs or have tables or whatever yeah and that just kind of squ out of the way so I walked at re recently um I couldn't remember if that was a safe clear path from the Dy dock to Bayside Park so you're they're going to have to walk through the parking lot on the sidewalk go down Crescent Street and enter into Bayside Park that way they're not going on the water side through nervous Nelly's dock or anything like that same way they go to get the trolley correct in front of nervous Nellies correct between nervous Nellies and yeah so that needs to be taken so just so you know they're not going down the water side it's going to be on the sidewalk okay entering in Bayside Park that way in front of nervous no that's what I'm talking about nous for example here's here's nervous Nellies and here's snug yeah so the back we have um you know trees or flowers or whatever this here's the sidewalk this would be this is the water right here right no this is the stage this is the water yeah okay okay so back along the back side of bide part that's where they walk in this is where they walk in we'll have the entrance uh sorry for my no that's all rightful that's lovely so this is the street yeah this is the entrance this is our booth right here and then however many um other booths can fit in there and that way both sidewalks are free and the area for people to sit is free and the stage is free and this is where um the social media can set up and and then this is people come off because it was just there this morning people come off and come into the the underneath the bridge and they'll walk right in front of nervousing and yeah I make a note that you don't want them along the waterm from from Den dock to bide you don't you don't want them on on the waterline okay I am going to re Wrangle all of this and send out information about the things that we agreed to do I will I will send that to you Curtis so that you can send it to everybody and then we can work on our assignments and come back together next time so much closer to where we need to go ready to go yeah so I will um reach out to the nonprofits and um and the Coast Guard and I will send the information to you and then you can send it off if you don't mind okay that's no problem thank you okay but to be clear you're now doing the proposed schematic yes okay not that okay it's not rocking science no it's just yeah okay and Jeff from public works could probably get you a nice measured I can go do it okay all right je got a lot on his PL it's probably already done though he probably has but I this way I I know all good for myself all good all right member items reports Ed anything I was just wanting to Curtis and not that Mr Joe actually comes to the meeting but if we could get a a financial report at least quarterly so we can find out uh how the morfield is is doing good idea do we know how much money um we got a report uh shortly before when you joined so yes we have an idea may I ask it was the numbers were a bit distorted because we were still recovering from Ian and Milton so we don't we haven't had a really good normal normal year to to measure up against the uses our Baseline so but I think it'd be nice to to keep hearing that yeah because we're having a little bit more of a normal year and I think would be good for us to to compare from year to year set a baseline yes and the public yeah for various reasons the last time it was kind of was kind of a surprise it was mixed in with other right things see a map the goal has always been for the moing field to break even not make a profit not not lose money and uh and that that's a that that was sent that a message was sent not only by this committee but by the council that that is a strong goal right and uh and we'll get there yeah and that's all I have okay Ted no no comments okay um I will just throw in that I have had a conversation with Dave nusan we've been talking about doing a joint session with murf and AAC inviting captains for clean water Kusa water Keepers because their meeting schedule has been a little bit off-kilter because of holidays we're thinking like late February early March that would sort of be in between our Cycles are there days of the week or times that don't work for anybody I just got a question just just so we're clear here um is this G to be an additional meeting for us and L because we can't have that meeting we need to be able to meet next month for this oh absolutely this no this is an additional additional meeting you know I think we both agreed we wanted it to be an additional meeting because we have plenty on our so this would be a bonus meeting so if you all can think about you know days of the week that do or don't work for you kind of in that time period Mondays and Fridays are typically better for me I don't know me too as well Tuesdays are the only bad day for me but Mondays and Fridays are good for me usually Mondays and Fridays usually John depending on the the days right yes exactly I I I would say i' do everything I could to make that work okay good yeah it depends on what part of the month that's said I have a couple of trips planned but okay it shouldn't be I'm I'm leaning for I'm pushing hard for Friday because Mondays is usually rough for the okay all right well I got I got a meeting I got meetings on Thursdays a lot we can avoid Thursdays all right so Friday seems pretty good so I will mention that to Dave and at the next murf meeting he'll bring that up to your committee as well all right I think it'll be really informative and you know it's a great way to get some answers and that's that's what I was going to ask Jennifer for all of you guys to be thinking what questions would you like them to answer what information should we ask them to provide so this is a very fruitful uh amount of time for all of us so I will put that out in kind of the next steps as well all right Mr Sam uh nothing now all right John yes um I'm sorry I lost my place I showed the next committee meeting on the 24th of February correct correct at 9:00 am. that's what I have and unfortunately I will be out of the country okay so sorry you don't want to zoom in are you sure uh I I'd love to but I'll be on a plane to Africa and room and your suitcase yes you know what where I'm going they only allow a 35 lb buff B oh wow I can't go bags for me two pairs of underwear you you you probably don't need much EX just got to pack that loin cloth then right so I will try and send out as much information before that meeting and so if you have thoughts that you want to share you can send them to Curtis you can send it to all of us I'm good through to 21st okay are there any particular buiness is John that you wanted to personally approach about this when she assigns uh when we go through some of these people is there's any any particular ones that you have a real close association with or something well I think and I'll certainly do this before the next meeting um when I go through the successes we had with the folk Pub and craw putting together um when when I come up with those list of vendors um and and share it I I will certainly indicate ones on there I I would like to approach or feel good about approaching and even if you miss next meeting from the march to the April meeting there will be time yeah yeah yeah I I return need to have some subcommittees wow I return on 21st of March okay two days before before our next meeting M Jennifer so uh I have no I have nothing I just wanted to to see if any of you all were interested in doing some sort of skit during the um well here's the event Ted will vouch for the he's smiling already you know the chair is a recovering thespie and so she'll she'll be all over there I mean is there a song is there a song we could sing or something I know it's silly but something for you know just to be fun and and you know the only caveat I have on that is is like when you said a half hour talk like like the coast guard for five minutes a skit for five minutes the attention span after they start serving the beer but but that sounds like no that sounds like a fun idea come up with something yeah but but but we won't be able to do anything super long the attention span but when you get everybody's attention you know we can go you get you get about five or six minutes or at least all of us getting up and thinking person yeah and we'll be doing that during the during the raffle so we can you put that on sort of the I plan on saying thank you words yeah introduce your staff celebrate your oneye anniversary yeah pretty much oh my goodness to it not to give Chris any more work though but generally the chairman the uh Town council meeting before the event usually goes and it's at the beginning of the meeting during the during committee things yeah tells tells everybody and that way anybody that's watching will know okay uh any more member items I'm not a member but I have one thing I'd like to add just for the sake of the for the good of the order we had an extensive uh briefing at our last council meeting on these new impact impact fees for all these new developments uh our impact fees have not been looked at in a long long time and and one of the things that came up during the discussion that I think it's germine to this particular group is the uh impact fees and the Consultants were there and gave a full full presentation a very interesting concept and it's it's it's it's very complex but nonetheless they uh they believe that there is a space and a path for impact fees to be utilized for the infrastructure to to uh to bring forth a water fery for Fort Meers Beach and uh and how we would partner with the private entity and who would pay for what more infrastructure oriented but I thinking in particular the mount house we've all talked about the mount house being a stop and there may be some other areas that would need to be need some help from the town to create the the facility for the the boat to dock um but I just wanted to get people just because I know we talked a little John talked a little bit about a Synergy between a water Ferry and a water taxi that serves the moing field but as we get more involved with the canals and so forth I think the water fairy piece for this committee will be very important given the the the expertise of this committee so again we're ways off but I just want people to continue to chew on the water Ferry concept and the potential for a private a public private partnership and just just that I'm just that's still out there there was great interest from the council and just just just wanted to wet everybody's whistle on that that's all I've got okay I've got something for Jim real quick as long as we're on um since you guys are discussing uh Pink Shell was there any any chatter about any Upland services or anything going up there we haven't gotten that far with with that the the extent of the conversations with pink shell as it relates to their Boutique Hotel proposal was just their uh continued willingness to offer uh pumpout services in perpetuity and as long as we'll we will need them and uh and so that that offer was sort of made and formally codified in their proposal but no discussion of Upland facilities I don't think they are I don't think they have that no but that but but keeping that in the conversation the P but that was that was definitively offered in perpetuity as long as we need it and you know that may not that may change is as we have different strategies and plans but at least we don't have to worry about the pump house uh pump out facility in the not in the in the certainly in the near future I also have a question um do you know when uh the new uh Town Hall will be um the estimates are vague Jennifer but what what what we're hearing is the second and third floor which will house most of the staff we're looking at March and then the first floor which will be the council chambers will be end of marchish all very fluid but a lot of activity going on over there so we'll be meeting here next month yes but potentially March hopefully for sure April we'll we'll be in the new facility all right any other me member items public comment I see none set next meeting's agenda here the things that I have for next meeting we'll have staff report from Curtis uh we'll talk about appreciation and if Nicole could perhaps come to talk a little bit about communication and uh we can work with that get it WR and then I would put on sort of our parking lot to talk about 2025 priorities more holistically uh to talk about the idea Curtis that you had about having a community presentation with some of these other groups that we're going to have come to murf and AAC and other things to really continue to educate the public and then the canal plan that's what I've got for upcoming okay all right sounds good all right it is 3 o' and I call to well do I have a I guess I need a motion to all right I second that all right
