right hands okay it's it is an honor that you were elected to guide the education of our community's children as you recite the oath of office you assume a tremendous responsibility as director of our school district with the duties empowered by the Minnesota leg leg legislator this power puts you and the other members of our school board in the position of being both morally and legally responsible for Equitable quality um education for every student in The District in carrying out this responsibility you will be asked to fulfill the roles of vision structure accountability and advocacy in providing Vision the board with the extensive participation of the community envisions the community educational future then formulates the goals defines the outcomes and sets the course for the public schools to achieve the vision the board establishes the structure and creates an environment designed to ensure all students the opportunity to attain their maximum potential through a sound organizational framework because as a board we must be accountable to the community we must ensure a continuous assessment of student achievement and all um conditions affecting education of the our community members not only for their participation in our career presentations day that took place on December 20th but also for all the the people that showed up on our career conversation day on January 9th last week um it was part of our community schools group uh without those people being here we would not be able to do the things that we did I think they both were very very successful uh the one in December we had all of you know basically GSL grads except for maybe a couple Bron grads that came and spoke to to our high school kids uh and then we had close to 50 adults that were talking to our class of 2025 on January 9th about different careers and different career paths and um it was very very successful so I wanted to say thank you to all of them and then I just want to say thank you to Alicia and then to the rest of the board for your work for your last uh uh four years with with your um uh officers and things like that so congratulations and and uh here's to a great next four years I want to piggy back off what you said Chris I was attendance on January 9th for Community Schools and that is my favorite probably one of my favorite meetings because um you get to sit with the seniors and of course I have ability to know most of them um but um it it's just a neat way to I don't know that the best way to say it but communicate with each other and to interact with each other and have a good understanding with the kids what you do you know they ask you a lot of interesting questions you know what how did you decide if you were going to do this the rest of your life um I said no but um it was um it was a good time I really enjoyed enjoyed it and I think the my my son actually was in attendance comes full circle with senica yeah so um he had a good time too and he really enjoyed it so might be one of our first former students sitting in the chair of career well Hannah stiffer sat next to me too and she was she's former there's been a few that have been doing that now yeah it was pretty cool any other acknowledgements at the same hearing none uh any public input relating to the agenda first call second call for public in input relating to the agenda and third call hearing none reports and presentations we have trco here tonight to uh talk about our little roof project we've got going on you guys can probably jump up and grab a mic perfect I was just G to wrap all right good evening everyone uh I'm Brandon kuo with trco and we have Jake Atkins here with trco as well um just here tonight to give an update on the the roofing mechanical project um so ahead of the referendum we preemptively assembled our design team of all the engineers that we would need to properly um design each phase of the project out um as the referendum passed we immediately um started our design team meetings with all of our our members uh with essentially the the goal is that we wanted to make sure we could do a 2025 project in the summer um mainly the mechanical end of it and then Roofing will be phased over two summers um and what we decided during those meetings um is that we needed to ensure we could secure labor in a timely fashion so our goal was to have all of our project documents prepped by the end of this month um in order to secure bids by early February um and based on our feedback from various contractors we've talked to um over the last month or two um that that would be feasible and that we would be able to secure labor for a summer project um update is that everything's going really well we've completed our our pre-bid meeting last week um we we had two contractors that were able to walk the project with us um everything on the inside of the building with mechanical and then on the roof as well looking at all the mechanical we're touching up there as along with uh the roofing and the facade um so from that aspect everything's well underway um we should have no issues um getting the the bid results back by early February um which would allow us to complete permitting and um equipment selection in February early March um toensure sure that we have all the equipment we need from a mechanical standpoint to hit that summer um project schedule um and then ultimately our plan will be to complete a preconstruction meeting in the March April time frame so that we can get um as rolling and started as soon as we can in the spring to to make sure that we can complete everything we need to within our lotted uh schedule for the scope of work we have which is a substantial scope of work that you know we obviously need to get get done uh without interrupting school too much so all in all everything is well underway and I think we're in a good position so I don't know if there's any questions on kind of where we're at and what we're looking at what are we looking for lead time for um the materials I know that it this it with this last year with the economy and everything kind of slowing down and um my wife being in the in the construction business I know that they're you know they're looking construction contractors are looking kind of for work um is the lead time a little better situ than it was um a year ago so to speak yeah so for for from a roofing standpoint the lead times are I mean essentially a month at most for pretty much any roofing material we would need so we're not worried about that at all the main thing would be mechanical there's certain things that if we can do all of our pre- Selections in February we'll have zero issue with lead times okay um from a mechanical standpoint um that's essentially why we wanted to try to expedite the design phase to get that those selection done so there's no um issue with that okay thank you y who were the contractors that did the roof walk walk you said there was two of them yep so McDow company out of essentially the St Cloud area and then John a Dawson and Son which would be out of Minneapolis um those are the two that were on site for that meeting Brandon with regard to the mechanical is there mechanical happening at both sites meaning the gleno site and the Silver Lake site site or is it primarily just here at the Glenco site so what we're doing right now is we're focusing the first project just at the Glenco site so there's been no developments on the Silver Lake site that'll be essentially next year the year after probably in 27 that we'll do the Silver Lake the assessment of need for it or the actual oh like the actual document prep would be phased in in the third year so okay to answer your question we've got some some alternates for the HVAC equipment on the Silver Lake site okay just as we have a list of alternates for the Glen site okay y y that that combination answer answered the question all right any more questions for tremco thank you guys I guess another another quick question I don't know if it's for you guys or for just the board or admin ation but if we do continue a conversation with regard to solar and and chicken or egg and in coordination and and even like it kind of involves maybe aers too as far as the cost of the project and if some solar were pursued I know that there was some information that we've kind of already been receiving that there would possibly be some and maybe it's part of the incentive and or just a solar project that some some of it could pay for parts of the roofing project either here or maybe at Lakeside whatever a determination would be made in in in regard to a calendar or a like I said chicken or egg how would that conversation with regard to anything that we may or may not want to do solar impact and or look with regard to you guys on a calendar and or even just an impact of if we would go with something an inst an installation of it do we know that I don't think so I don't think I know any of that okay so so in order to find the answer to that we as a board would have to have a discussion on whether we would want to do the pursuit of gathering more information on solar options we've had that one group that has reached out to us that has said hey here's some opportunities I've sent that out to the board and at this point um if we want to schedule a meeting with that person to learn more information that would be the next step but that hasn't been scheduled yet I have his information um it would just be that would be the next step but right other than that I don't know anything more on how it would all work I've asked some of those preliminary questions to to the gentleman that that is dealing that and his answer was that we could make that work I think was his quote I don't know what that means well and and I understand that he could say that from his perspective and his side and and that's probably very true but we would want to make sure that we would have you guys involved with that as well to make sure that obviously if a decision were to be made to pursue anything with regard to Soler it did not stall out or change the ultimate plan which is obviously Roes I mean that's that's ultimately where we're going this is something that could impact it positively and or negatively with regard to a calendar or a project so something for us as a board to be thinking about if we want to gather more information on a pursuit of that and that was something that four of us were a part of a little bit an earlier discussion but now with two members um joining us um and a full new board once again just kind of be thinking about it everybody um and once again timing of it uh benefit and or not and then of course you guys too yeah from a roofing standpoint we would just need to coordinate the the layout of the solar arrays and if they have any hard attachment points where they'd have to get roofed in um which is something we can do once that information is available um in in your past experiences and stuff have you ever had anything with regard to a timing of that type of a discussion by a district meaning um that you either had a had a board or had a district make a decision either before a project started during a project starting or after a project start uh completion uh I mean it's happened every which way okay and then and then is it true also maybe with some of your experience that there's a fixed panel option as well as a ballasted or or a I don't know if that is that the term that's used for the if it's not a fix that it's a anchor so typically we'll see it kind of both ways where it's mostly balanced but then certain times depending on how their Engineers look at it they they could have some fixed points okay um so each one's a little different okay depending on how they look at wind uplift and and the way their arrays are laid out okay thank you y all right thanks gentlemen yeah thank you we'll move on to administrator and committee reports business manager sander yep thanks Brandon and Jake for being here yeah abely thanks guys take care guys I just thank maybe we could put the solar panels on the Lakeside roof and it would take care of the seagull I think there's that possibility I I think they really they' see their reflection and run right or maybe be attracting more all right I just have a couple things most of my stuff is part of the agenda so we can address that later just a quick update on facility projects sometimes it's that hurry up and wait we're still waiting for some bids to come in and then I'll will meet with um Jamie and Jason again on to go over that so couple the projects that we're working on getting bids yet is uh addressing the swim locker rooms doing uh flooring tile in there and all new fixtures so we're Gathering those prices we're also looking at options to take care of the flooring and the Silver gym which might not happen this year we're just not quite sure what direction to go with that but we're still gathering information and prices so we have that available when we look at the budget piece of that we have the budget price for the ceiling tile replacement in the hallway at Lakeside but we're waiting for a price set on the Lakeside kitchen ceiling so once we have all that that'll kind of drop in so I'm waiting actually for those the rest of the prices on the swim locker rooms and then we'll be able to meet and figure out um where we want our ltfm budget to flow through working on the revised budget most of that is all done yet for 2425 starting to work with Trisha on some of that as well so once we have that kind of in place um we'll have a finance meeting so want to start prelim AR on the 20 uh 5 26 budget I've got most of that Revenue done at this point but we'll need to kind of move ahead on that so we get an idea to for the administrative team the cabinet team to focus on what changes might need to happen for next year uh the last thing we're working on actually working on with the technology department with Mike Mike keeps telling me that uh we got to start replacing iPads because we can't update them anymore so um it gets a little spendy when you've got what do we got Mike 400 49 no 400 somewhere there so knowing that that's going to be a spendy price when we bought those iPads originally you remember we did a lease with Apple so we've reached out to Apple again to see what that cost would be and what they would um what our lease costing would be compared to buying an outright so that just came in today I haven't had a chance to uh go through it with Mike and Jeff yet um cost for replacing those iPads we're looking at 10 uh just about $188,000 so we'll kind of look through those lease options we'll get back to an a recommendation of how to move forward with that so if we don't do anything with those iPads they can no longer be updated and then that gives mik a lot of big headaches on the in the iPad world so we'll keep working on that and uh go through that and get you that information so that's all I have for right now is that k6 again that was K well K5 right Mike we do Chrome books at the K or at grade six four just K4 okay K4 thank you Michelle um uh we're up to principal's reports Mr Butler thank you Jason and uh thank you Michelle good evening everyone I'll highlight some of the items on our Elementary report um starting at the top teachers had um a live session of the science of reading training last week on Wednesday the 8th um they completed unit three session two so we're making our way through on uh on our letters training which is the uh the science of reading um toward the middle I'll direct your attention to a couple of enclosures um you know if you ever have any questions on on RTI or multi-tiered systems of support how we intervene when when a teacher brings a student who's struggling to our attention you've got you've got that one sheet there for your review and um anytime you have something on that give us a call at at Lincoln or Lakeside and then there's a little little summary sheet thank you to Sarah blazinski for putting this together on character strong so we started that implementation in um in January and the the kids are pretty excited about that um I will move down toward uh toward the bottom um we'll have an update on curriculum and the MCAS in the coming months so I'll go down to um state and federal programs we um we have two Minnesota reading Corps members placed at our buildings I expect those applications for 2526 to um to open up here in February and we're still a couple of months away for our initial allocation for title programs so usually in April or May we will we will see that I'll skip to the back um at Lincoln we had an all School celebration on Tuesday the 7th um we reviewed our expectations for the year and we directed the kids to focus um we're going to focus on fairness for the month of January you can see some of the um some of the events coming up in our school Community Partnership um want to look toward the middle there you can see dates for Winterfest at both buildings I love to read and then we do have Kindergarten Roundup and registration scheduled for the 6th of March which will be the same as um prek open house and I will conclude um just want to do a shout out to both of the climate committees at at Lincoln and Lakeside they're always coming up with um some creative ways for staff to have fun so what um what questions do you have hey Bill hi Jamie so with regard to Kindergarten Roundup you know each each year one of my comments questions concerns is always the date of it with regard to our comp competition in the area and I I'm just kind of wondering you know it is set here March 6th or Yeah March 6th and you know I don't know exactly when the other competitors in the area are doing theirs and that means local competitors with regard to pario but also means I mean you know obviously we've got First Lutheran obviously now we're even having a little bit more maybe of Holy Trinity because of transportation and stuff um I would still always love to see our district move in the direction of being the absolute first in having our Kindergarten Roundup and registration and or open house so that we as a district are set the bar as far as anybody shopping and then you know either we have sold them by setting the bar and they're the first ones we're the first ones that they're visiting or if if we're the first ones that they're shopping and visiting and they go and visit the others that we have set the bar high that they loop back around and choose us with that being said I I hope that we can if we're not already with the the first ones that they're looking at and as they do their shopping I hope that we can get out ahead of this date and the date of the others if they are earlier than us to really and this is something just in general in education that we do not do enough of we don't toot our own horn we we don't as a classroom teacher toot our own horn enough we do the best that we can I think districts they do the best that they can too and when I say to our own horn I mean we have a lot here at GSL to be proud of and we know that because as board members were aware of it as staff members of GSL we're aware of it but we need to make sure that the public that is not having kids yet in our system are aware of that and so whatever that type of promotion looks like like you mentioned open house and stuff um I think another aspect and maybe it already is a part of it is really trying maybe get our PTO even involved with that and when I say that my thought process is um PTO being the cheerleaders of it and having some connections of and and it's already kind of organically happening but that PTO you know individuals that are involved with that currently that they kind of have some type of Outreach um or a a focus of Outreach to parents that are new to the district and or new to um having kids entering our district some of that is happening through ECFE the the um Cub program and stuff that's absolutely the direction that we need to go with more of that I think those connections and stuff so maybe more just comment than question but um just some more things to think about um one more last example that I'll give is um at Eden Prairie I know that they've got multiple roundups just due to the size of the district and stuff but as an example um last Friday already they had sort of a Roundup one of the one of the three or whatever sessions spread sporadically throughout the year um and they had sort of a movie night for incoming families and stuff and the movie night consisted of Simply um using one of the small gyms having a movie having having the families come in similar to what's happening in ECF and stuff too but you know it's just an opportunity for the kids to be excited to be coming to the big kid school if you will the elementary schools the big kid schools um to see a movie but then it also kind of freed up the parents a little bit um because the parents then were able to watch the movie with their child part of it but then also be able to talk to Administration and for administration to be able to touch BAS with a parent group for kind of a little mini Q&A also to be able to touch uh base with some staff members too um once again a little bit Q&A but also just building those early relationships and stuff as well as if the families needed a quick little tour of those areas and stuff like that another opportunity reunite with the child again watch you know conclude the movie and stuff and just kind of have fun but also a little bit of combination of everything so and I know that we do a lot of great things here at GSL and stuff and and we will continue to and just more food for thought and even once again having PTO involved too yeah I appreciate the conversations we've had about this Jamie and that that sounds like a really strong PTO type event so um your example for Eden Prairie um you know we've talked what is The Sweet Spot of that and we have moved it up you know a couple of weeks like compared to 8 10 years ago so um Kim has gotten the word out there in fact I was looking at her desk and I saw at least one registration that's come in already letting people know that yeah registration is always open and our big event will be on March 6th so yeah it is posted online already Yes okay and then it is she put it all over social media with the links English and Spanish okay and and I think you know another thought about it too is just with the newspaper industry changing and that being one of hour in the past main sources I think Trish you bring up a good point about the social media piece being very very important but also being aware that still not all families have access to or do it that way so to try to like you said Bill find that sweet spot of an everchanging world and trying to get the word out to families so that the registrations aren't coming in so late not that they're always not available but obviously it's important because of Staffing ultimately but you know one of the things that I was super impressed with in the fall was the PTO uh fall uh party fall festival thing and so when I saw PTO be able to pull off something like that that attracted so many families of all ages and having parents and all types of family members grandparents siblings and so forth there that type of excitement and electricity we need to keep that going and throughout and and so that's why I kind of thought too having PTO somewhat or somehow involved with the uh Kindergarten Roundup would be valuable thank you very much this this might be a silly question but as having a parent having a kindergartener coming in what social media is it posted on because if you go to the Glen Co Silver Lake page there's been nothing posted since 2018 is there's different pages the um main page Kayla is is the Lincoln Elementary Facebook page okay that Kim that Kim has been managing is there any way to I mean how would we ever know that's Glen Cole right if a new person is moving into town how would I know that Lincoln Elementary is what I need to be looking up and why do we have separate social media Pages why isn't it just one districtwide social media page I know I know it's been growing fast since Kim put that out there at the the beginning of the year but yeah that's a good question for for I'll have a discussion with Kim yeah it it just would be I mean there must be a high school page separate page as well maybe no there has been a lot of pages from a lot of social media places and and ultimately what what's hard is when you when you have those comments of you know get them all in one the answer is yes that that is would be really nice but it seems like there's you know the FFA will have one then and then the um another organization they have one and then there's another uh group that would have it on Instagram and then another group has it on uh Snapchat because that's how you reach the kids and it just gets to be hard because we've we've had conversations for number of years of you know how do we make sure that the stuff that we're representing is appropriate and and those types of things and we have that conversation every year with our staff to make sure that when you're putting those things on that all that kind of stuff is is done correctly but um it there's just so much out there that how do you get It ultimately organized so to speak to have it all in one spot and have it all funneled um you know some of the communication that that I do uh through email through our school school information system that gets somewhat overwhelming because it's turned into a source of people calling me a lot of can you put this on can you put that on and we try to accommodate all that kind of stuff to get that out to to families but of course we're only reaching the families that are here not everybody and it would be nice to be able to get everybody right which is why we started you know our community schools Group which has over a hundred members in it we try to send information out to there but sometimes they're in the business world and they don't want want to know necessarily all about what's happening with preschool and that kind of stuff so trying to find that whole balance is is somewhat of a challenge um we do have information that's out there but you're right it would be nice to get it streamlined somehow I just don't necessarily know how to exactly do that I mean other school if you look at all the other area schools they have one page so I do think we could do it I think it would be better if we looked unified as a school and the high school had it the elementary school you know Lakeside was all onone and you're posting even when the basketball team wins a basketball game I mean that's that's kind of the world we live in now I think it would be a great idea and something we should look into um doing for sure to follow up what Kayla was saying having had children both at Central and at um GSL I still continue to follow Central's Facebook page um they do a lot of posting and they have a lot of information on their Facebook page which is very helpful um I don't have any students anymore and haven't for gosh now I don't know five years um there but they I still continue to follow it and they utilize it a lot and it is one Central um page for them I don't know how or who runs it I don't know who runs it I I have not reached out you know to see who runs runs it within their District but it does have a lot of information and and it kind of does bring you know they promote their different pep fests and things like that going on in the school for the community to know about it um and things like that so might be somebody to you know our neighboring District to reach out and just kind of inquire how they do theirs yeah it's it's a communication Channel unfortunately whether you like it or don't like it that's the world we live in but same thing I follow where I went to school and their um kindergarten registration is already open and so that's what got me Googling and thinking oh gosh my behind is is Glen Cole already open you know what's what's happening so you see those things and it's like okay why don't we have this maybe we should be doing some of the same things yeah it's on the front page of our website but then at the end of January as the Mars coordinator I pull a list of all kids that are kindergarten going to kindergarten next year and then Kim will send out a big huge packet with all the registration paperwork all the information you need so that usually comes out like the end of January so you get a personal one like to your are those kids that are already in preschool here or just kids that are in the entire in the entire District district y so not just preschool so when I pull the census I think it was 185 this year and then Kim will go through like okay those kids are already open enrolled you know or like the other siblings are open enrolled to other districts so more than likely they're probably not going to come to ours and then um in August July August about she'll calling families and emailing you know we haven't seen receive registration paperwork you know and a lot of them are like oh I totally forgot about it y we're coming or they let them know y we open en rolling to different District or going to first so Kim keeps track of that every year I know what my school it was a different person was designated at every single um level and they all had access to it so I do um I do think if you assign it to someone they def it definitely could be done and managed appropriately I think too following up on on Kay and Alicia's comment about streamlining it and and then the the the creation of it so that it's a One-Stop shop that you're directing things to I think is is a valuable point and I think one step further with that is then how do you get that out to people or how do you get it visible and perhaps two things that popped into my mind as they shared their ideas are our 4.0 school buses talking to them about some type of advertisement on the side of the bus just a magnetized sign saying follow GSL at blah blah blah I mean because you got school buses all over so there's your free advertisement spinning around the district and even across District as they're taking uh students to activities and athletic activities as well so it's getting other people following us and then another thing are the um Steven Seminary t-shirts um once again putting a follow GSL blah blah blah whatever the site or whatever is there because you've got bodies wearing them once again throughout the district and going to different events and different communities wearing them and that would be another way of kind of getting that OneStop shop Place created and then getting people knowing to go to it or knowing that it exists even as just two things that popped into my mind very rapidly as the conversation that I appreciate very much by everybody is occurring okay uh Matt I just want to pick on you while you're here is there anything you guys do in your with the ECFE or your younger group that is alerting the parents to kinderg Roundup or anything like that any of your communication um yes we will do email blast to our current families um and we do some Outreach like Chris has through our um email blast that we can send to our Curr families in the district and we do have social media p Pages for our ECF program and our CU program say those are both separate so we haven't streamlined that together um we did find then when it does come to streamlining it is a little more difficult if you have multiple page to streamline stream line it into one so in Tay s if we did do that you would probably have to essentially destroy the ones that you have kind of start fresh but then it's also just communicating to the current sure members you do that thank you uh moving on to U another principal report Mr Foss um I just want to touch a little bit on the social media thing too um I think it's a great idea and I think it's something we can continue to talk about but I do think it does this is just my perspective on it I think it becomes overwhelming when you try and put all of it in one page and the example I'll use for that is um I help with our our youth wrestling program and I make posts on youth wrestling program so um we had our home tournament uh the Saturday before Christmas break and I probably had um eight postings that went out in the course of one week that was specific just to Our Youth Tournament that if people are following a GSL Panthers page are not going to care about um the the Youth Tournament what they need to know um as far as a a high school page and I don't know if that's when you referenced Kayla when you said it hasn't been updated in in since 2018 yeah it's the Glen Co Silver Lake one like if you go search Glen Co Silver Lake it's public schools there's nothing that could be when I came here I never had access to it so I don't know how to destroy it I don't know how to update it I don't even know who the moderator of that is yeah but that's the year that I came here and I had conversations um when I was first hired with Paul um sparby who was the principal that I replaced and he said he didn't have access to it either so I think I think it's a conversation worth continuing and a conversation worth what does that look like but I do think it gets pretty overwhelming even at the high school level when you think about pep band has one that sends information about here's where we need you at this game tonight uh FFA has one and I can tell you FFA is is overwhelming by itself with with the FFA program we have um you know I I think of our fax program and our fax has Instagram and the post that gets posted daily with Instagram it it adds up very quickly when you start talking um prek through 12th grade and then even beyond that when you start talking about 18 to 22 do we include our tap program do we include students with disabilities who you know are still students at GSL but are 20 years old and being serviced in a different you know maybe not here I I think again it's worth having the conversation but I think we'd have to pretty pretty pointed at what's on there and what's not on there and and I would be interested and I will I will reach out to Norwood and ask who runs the page and what what gets put on there because I do hear what you're saying of if I'm new to this district and I move in everybody's on social media now it's so easy to Google something and get answers um but what and where that looks like so yeah and and you're right all those pages are a lot I think it's getting the schools unified if you literally try and find GSL or Glen Glen Co Silver Lake schools you you'll find the booster club that's one of the first ones that come up but you're not finding anything about the school and what they have a lot of schools will share student of the month and all the different things so I think if at least the schools get unified you can keep the separate pages that are all that information you don't want to share publicly it's just right now there's nothing for the schools aside from the website the website right but the website too is really really hard to navigate and find things it's not my favorite yeah we've come a long way with our website um it it's certainly better than it has been in the past you know and one of the things that that we can do you know with my communication that I do I've had parents that have told me Mr Sanji would you quit communicating with me so much um because you're getting overwhelming with all the stuff because I do try to put a lot of stuff out there and they do get a lot of information not only from their teachers but also from me from a district perspective and I think what you're looking for is is the stuff that I send out to families if it can go into another realm such as a Facebook it might be exactly what you're you're thinking about um I haven't been on Facebook for quite some time yet but um if that's the the model we can do that I do have a Blog that I put my communication on that anyone can go to the blog you know how many people go to the blog probably not all that many but that same exact information that I put out on uh my email that I send out to families is also on the on the blog so that's where it's trying to check that box too anyone and everyone can get that information no matter where you're from it's just a matter of getting them to that blog but but we can certainly start looking into um taking that information that I get and the stuff that I do not only do I do my email post but then do I put it on Facebook and manage at Facebook I I think that's certainly doable good conversation um I'll move into my my board report I'll make it pretty quick here um we are starting the registration process um it says 2425 on there that's this year but the registration process is for next year so it' be for the 25 26 school year um we had our parent opportunity tonight to attend our course Fair in the comons um information was sent out last week via School messenger to all parents of ath 9th 10th and 11th grade students because they'll be in the high school next year um it was also a reminder sent today that that was available to them and then this week Tuesday through Friday during WP all of our 8th 9th 10th and 11th graders will be brought to the course Fair as well and what the course Fair is is we have um representatives from each one of our departments set up basically a booth it's a table and they talk about all of the offerings that they have so we have the courses you need to take like all nth graders have to take English n and all 10th graders have to take biology but there are electives in each one of those and what electives could you register for in the English Department what electives could you register for or that maybe interest you in the social studies Department um and all of it is is just knowledge for the students when they go into that registration process um after this week our counselors Whitney Peters and Britney Schmidt will be going into classrooms to help students complete their registration process on Infinite Campus so Infinite Campus allows for stud students to go in and basically build their schedule they want to register for next year um Britney and Whitney then will check and make sure they have all of the required criteria that they have all of their backup classes put in if they fill it's very similar to a College registration when the course is filled we can't offer you know 15 sections of welding as great as that would be that would be the only thing that our Rebecca pasit would do then so we have to look at how many register how many are filled and then how many we offer in that section um once they've had all their criteria of what they need to make for core content they have their backup courses in there with their electives um they basically hit submit and it builds itself it gives that data to our counselors and then um myself and Sarah Beckman and then the counselors would look at okay what has filled for next year and we start looking at building our Master grid for the fall so that process is going to be taking place here probably the last week in January and I should have registration numbers um pretty solidified by the first or second week in February so this is always a pretty exciting time of the school year for for us but also a wow the school year has gone really fast already um so that's where we are with registration Hamish Brewer um is an individual who uh is going to be coming to speak next week at GSL he's sorry not next week this Thursday he's coming in three days um and I'm going to tell a very short story as to how he's coming here I have followed Hamish Brewers since I got got into education probably 15 years ago is when I really started thinking that I wanted to go into Administration this is where I wanted to be um I aligned with what Hamish views as as important um building those up around you being your best self um and I got a flyer earlier this fall probably in September um for the Minnesota Schoolboard associations that came to me and the conference that's going on this week and heish Brewer is the keynote speaker on Friday night um in Minneapolis for the msba and I thought well there's no harm in asking so I went to his website um I found the contact Hamish Brewer uh button and I emailed him and I said you know this is who I am we're about 45 minutes west of Minneapolis um I know that you're going to be in town early is there any chance I can get you to come speak to our kids and our staff um next thing I know I fast forward and I'm on the phone with hes Brewer and we're having this convers um he is ridiculously expensive to come and speak um to the point where there's no chance that we would be able to afford him at this district and um I just said hey M here's where we're at um I've really kind of idolized you and and followed your your thing I know that you're going to be around um I worked with Dan sabota in our achievement integration and his budget we brought a speaker in the last two years based off of his budget and I said here's what we can afford and it's about a sixth of what he should be getting paid um and probably about a tenth of what he is getting paid to be at msba and he said I love it let's make it work I'll be there so he is coming out Thursday morning he'll be here at 8:30 he's offering two sessions um he'll speak to our seventh through nth graders um in the morning he wanted to be here over the lunch hour to meet some students and staff um and then he's giving another session at at uh 12:45 um in the afternoon so if you get to see Hamish this Friday um just know that he was at GSL the day before so I'm hoping he's actually going to be wearing a GSL shirt Friday when he's presenting that' be pretty cool all the school boards got to see how great we're doing things here as well um Winterfest is coming up next week um we have our typical dress up and D or dress up and activity days we are running an assembly schedule for that um so that no no um teacher loses an hour um each hour is shortened by about 5 minutes that way there's an assembly hour um everybody doesn't miss out on any instruction and then we have our dance on Saturday night um that something this is going to be the third year we've done that it's been received very very well by our students that is a 9th through 10th grade dance we'll have a Junior High dance coming up at February for Valentine's Day that'll be just for seventh and eighth graders um act planning is just getting started uh that kind of comes right after the registration process but we do know our date act will be held on April 8th this year um um we have played around a little bit with act being offered in the school and then not in the school I've done it both ways since I've been here as a principal um I do believe that we're going to look at trying to offer it offsite this year so we'll be contacting I think the Glenco City Center um to see they've always been very good to us in the past with offering us a pretty cheap uh deal to be there to have our kids test for for half the day um but more information will be coming up for that here in the next month and it'll be going out to to parents and students as well uh in the junior class and then I just want to take the opportunity right now to talk about our enrich challenge learn or E program that is something that still goes on every Tuesday Thursday at the 7th through 12th level uh with midt TR coming up here pretty shortly uh I know some students are starting to feel the the pinch of I got to get the things done I got to get things turned in um we do still offer our homework help program every Tuesday Thursday from 3:30 to 4:30 so lastly uh School Community Partnerships we did have career presentations on uh December 20th where we had former graduates from GSL come in this was put together through Chris's um Community Schools so just want to special thanks Jason grman from Delta Airlines Dan KY from in uh all of our students in grades 9 through 12 got the opportunity to go in a breakout session and hear their story about going through these Halls here at gleno what life looked like outside of GSL and where they are now professionally so any questions for me that was a lot longer than I wanted it to be when I started thanks thanks Mr Foss you guys doesn't want to hear me talk anymore that's board members we used to be a part of Cooperative our lctn which is a local collaborative telecommunication Network it was part of our um internet basically in Southwest West Central now is providing that services for us there's still some stuff that's happening with this and loose ends and and things like that and there's some mediation that we're going to be going to I've always tried um got put sorry um there's some um stuff and I've every month I've tried to update you guys a little bit on what's going on and it looks like we will have some action happening here in March um where where there'll be some mediation and some finalization of that and then it'll be done um it'll hopefully be over so uh and then obviously had some of those shoutouts with the roof project we we've talked a necessarily have to do that so we're finding the compromise to to have those officially recognized on the board and so we put that as the first agenda every single uh month of the people that have donated so can you remind us what is Project Christmas again so that was the uh if Matt wants to jump in he can but that was the the project that Britney Schmidt our high school counselor does where um they're basically getting families uh from GSL uh there was a project Thanksgiving where they got the Thanksgiving meals and then there was a project Christmas where they went and got toys um she basically gets some the ideas from the kids and families and then you go and you pick the the different gifts and different people go out there and and try to um get those gifts so then those gifts get right back to the family directly to the family um and then there are some people that have donated to specifically that um that project and then uh Britney would go and buy those presents that the that the families have indicated that their children would like how' I do did a great job um staff staff has the ability to take anything they want purchase it it's usually um you know at my level when you talk 7 through 12 it's not necessarily toys so much now but it's more clothes things that they need gift cards gift cards is a big one um staff if there's and there's there's there's a lot right like it's not something that staff can can always cover so these donations go to cover what's left and then Britney goes out and gets it and then it goes back to the family so covers the cost of the food and then at Christmas the cost of the gifts that aren't covered okay we'll move on to Item B resolution awarding the sale of General obligation School building bonds action item superintendent Sanji recommends adopting the resolution awarding the sale of General obligation School building bonds Series 2025a in the original aggregate principal amount of 10,9 10, 900,000 fixing their form and specifications directing their execution and delivery and providing for their payment are we going to discuss this first or are we going to should I ask for a motion I think let Matthew we've got Matthew Hammer here tonight from Ellers take we've had Jeff cely in the past and he's somewhere else so Matthew stepping in so you might want to hear the information and the results of the sale report and then you can move ahead with the Motion sounds good thank you go ahead Matt yes thank you good evening M Matthew hammer fromers District's financial advisor um work alongside je with the district ands turn I thought it was just right there automatic when I when I saw it but the hole is for actually just holding it okay good evening everybody Matthew Hammer from Ellers uh District's financial adviser work closely along Jeff cely with the district as part of uh this project and other projects in the past um so we we sold the bonds for the district's voter approved uh um authorized that the voters authorized last November um and we have outstanding results um we ended up with a interest rate under 4% so it was 3.98% um that we were able to secure this morning with the competitive bid process uh those bids were received at 9:30 this morning and we received eight biders um the low bidder was bared and they purchased the bonds with a large Syndicate um offered the low rate at 398 um the high bidder was kyank at uh 4.10% so um we had about a 10 basis point spread between low and high the other thing we did receive is part of the bond sale process this morning um was a premium bid so if we go back to pre-election we are estimating about uh 10.6 million being deposited at the construction fund we're going to be just a little bit over 11 million north of 11 million deposited so almost 400,000 more than we were anticipated pre-election and we're able to do that with staying in the parameters that were approved by voters with the tax impacts um and um obviously staying within the principal amount at 10.9 million um so if we go back to what we were assuming last month in December um we were carrying about a 4.35% true interest cost estimate at that point we're about 40 basis points under that um and we were able to secure that premium as part of the bond sale as well um when we think of the tax impact uh we were estimating pre-election that we'd be about $69 on a $250,000 home um we did put an estimated levy on the district's Levy prior to issuance um that we needed to put in there to make that first payment um and we're we're uh us utilizing that first Levy and staying right within those parameters as we're moving forward so we're about three under what we were initially estimating and we're going to be right in line with that as we move forward over the life of the issu and so this will be repaid over 20 years um which is uh aligned exactly with what we were assuming as part of the election process when those estimates were put together um so there's several schedules align there I will also note that uh um as we pointed out as part of the process in December we were going to secure another underlying rating um so the district went through that rating process with S&P um Chris and um Michelle always do a great job as part of that process um and as part of that process the rating agency affirmed the district's uh a A3 rating which is a really outstanding rating for a school district and I always like to make a point to say that your District does a lot to control what you can control right there's a lot of factors you can't control as part of that rating process uh but they do know your credit strengths with your reserves and your financial stability over a long period of time um which is an important piece to to getting lower rates when you go to market like this right so um that Financial stability the districts had over that over the extended period of time is noted by the rating agency and it's also noted um when you go take bids um from Underwriters when they give you the rates they do um which is an important piece and you also see in there um some of your credit uh challenges are not unknown right declining enrollment and those things that districts out enrollment sort of are experiencing um as part of that process so with that uh there is a resolution that is noted that uh you guys will take action on tonight to award the low bid we're really pleased with the results uh that were received um this morning as part of this process um and excited to see um the projects that you guys are going to be able to partake that the voters approved here in November so I can answer any questions folks have we do have a closing date of February 6 so that's when the money will flow into the district so I'll be working with the um the investors uh with our bank to um we'll be taking a look at the draw down schedule and see how much we need this year how much we need the second year of the project to invest out as uh best we can to um earn some good interest on the the money that that's going in so and that'll go into that fund that we have specific it'll all go specifically F six yep same as what we used in the past so I'm looking at um utilizing a money market as well as a checking account for two of the to the investment tools that we'll use and then looking long-term at discussion I do have a couple questions um maybe it's more from a shell do you feel whether it's Trisha or someone else we are doing our due diligence and setting someone up for success by having you for six months prior to an audit do you think that is enough time to prepare her and let her go on her own before for the audit which is typically August correct yes the audit takes place in August we do a lot of audit work already June July August and then September but the Auditors are here in August um Trisha has been through the audit before so I'm not I'm not worried about that um Trisha has been very involved um for the past 10 months since she took over his business services from her and continuing to do her Mars coordinator so yeah I feel very strongly on the finance side that she's going to be able to pick things up there's a lot of things that it just takes time to learn um and by me being available if you approve that um I think we'll be able to work that out that she's going to learn that some things you just have to learn as you go it takes a long time to understand Levy documentations and or documents and to be able to present that we've got her signed up for some workshops coming up that's going to help with training mean she'll she'll build that Core group of other Finance directors that she can reach out to again I'm going to be available I'm not going anywhere so I think that's why we kind of one of the reasons went with the 5 and a half um and then to re-evaluate if things are working things aren't working we need to do some more look at some additional training then we've got that time to to explore that so that was going to be my other question how do we as a board know is there going to be a review process is there going to be something along the way to know you know that she is ready um that we should continue on you know we have to write a new contract potentially in five and a half months I think a lot of that will come from uh the superintendent because he he works very closely with this position he will have a good handle on how things are going other thing areas that might need more work on um things to work on or yep we've got this we're going to keep going um working with the cabinet team the rest of the administrators um you'll you'll have a good handle on on how things are going within that five months okay I feel anyway yeah and and just so you know the part of the the contract in theou is with Trisha um theou has to deal with her having her old job back if for whatever reason we think that we want to go a different direction so that's kind of why that's all together with the contract and theou and that was one of my questions is are we setting her up for Success if we're requiring ing her to do her current job plus be trained for a new position yes we're not asking her to do all of her other job no we're we're all in the offices are are stepping in and helping out um obviously letter G is important to uh our our answering your question um because that's going to be um having Michelle along with us and so the number of people in our office will basically stay the same um and we're all going to make sure that the job gets done but uh we think that that the plan is setting her up for success I think we have a very unique opportunity with Michelle retiring and not moving on to another District or so to speak just leaving this Glenco hi and dry or GSL I should say um you didn't have that did you when you I I did not have that right and I think you've mentioned a few other people I know you've talked about um other business administrators that you told me that we knew uh um mutual friends that you've been mentoring in other school districts also so um I think it's it's a great opportunity to use Michelle's Services hopefully and and under item G if she's so willing to and and I think it's uh it's a good plan I think the other piece of that is you know you get to like May and you really start looking how you're going to fill um the business service position and then you're going to have somebody right in house that will be able to train that next person as far as the Mars responsibility and some of the the duties right now that the business service person does so that's the the best of the world is you've got Trisha right there being able to training that next person in line for that position you're not going to be able to wait too many months um without filling that cuz Trisha will get overloaded if you don't look you know this spring to start getting that position advertised and that's the plan for that position is it's not to be permanently vacated it's going to get F so just a clarification question then so if if the if the plan is to if if this position work if if this person works out in this position we would then post the old position but you're now saying that that posting would maybe be may I suppose April June May somewhere right now and so in thinking about the process of posting it obviously it's not filled until you interview and offer but you're posting it early but you're not able to necessarily fill it until you decide whether this is working or not they'll be going hand in hand so well so my point just kind of being back to just even the evaluation period of knowing or not knowing it isn't really whether we know or not in 5 and 1 half months it's really sh down yeah shortened up so um in in doing so um you feel comfortable that you are able to do an evaluation of that position in that short period of Time how how can we post her position if we're guaranteeing she can have it back right you're saying we can pulse the position in May but we're writing in her contract that she can have it back if she so chooses or it doesn't work out or it doesn't work out right those will all be basically going hand in hand is that legal no yeah you can post and not fill that position you know if you don't have the right candidate or I mean I don't think you're going to go ahead and post if if you don't have a strong feeling that things are working out that would be a waste of you know everybody's time then you would post it in a you know looking for a uh you know a different position to fill I guess have we have we ever put in a contract before that someone has guaranteed their old job back yep yeah we've done that with athletic director and um K Wilson did that yeah y okay yeah we've had that different different times any more questions or discussion all right hearing none I have a motion by John second by Jason to approve the hire and interest's I check as Director of Finance for 5 a half month contract with a memorandum of understanding from January 20th 2025 to June 30th 2025 all in favor or she's going to have to do that until right y um so then if that position is posted um is it with new duties and responsibilities or is it that those duties and responsibilities are falling back to that position does that make sense what I'm saying yep um it's hard to say like this position that position so on so would fall back on if we would post fall back on to the new hire except for I think with um who take over my spot here at this table that might stay with jacine who's going to be doing it for the next five months that might just stay with um as being kind of administrative assistant and doing the policies already but everything else would move back to okay the newer okay yeah thanks that's what I was looking for and I think you you know as when we have any job opening we evaluate that job description what they're doing depending on your candidate you might uh Trisha might say I'm going to keep doing Mars and we'll let the new person do this because there are some Finance directors that are is the Mars coordinator so you can re-evaluate all that to see how things are going what she wants to stick with and what you would write up as a job description for that new person so you have some opportunities to evaluate all that is this also currently and perhaps in the future impacting Jacqueline's uh hours number of hours it could potentially it will it now yet or will it not until I don't think uh yet okay or not much okay yeah and she's 32 hours a week um and we thought that if there's ever some opportunities or if there's a need to have a little bit of you know like a a board meeting where that week she would have 34 hours let's say um you know we talk to her and she's willing to to do those things to help balance that um it's not anything that would be permanent at this time unless we see after a couple of months I'd like to move her to 36 hours a week and permanently make that um but you know every once in a while it's similar to every once in a while a pair of professional where they have they have to ride a bus for this situation or that situation they just have a couple of extra hours during that week um and and that's kind of how we kind of left it at and and she said that she'd be interested in that and then what's the trigger point of that coming to the board for approval we haven't really even discussed it yet yeah I mean I let me let me just clarify the trigger point of an additional hour here or there occasionally and or permanently that that is what I meant as far as if it gets to be permanent we would bring it to the board you know so that it's approved and that kind of stuff but um right now I you know if she starts doing like some of the board meetings she might leave early the next day so it's not an increase it's just a washer that's what the first attempt would be but again it's going to you know it's going to take a little time to you know sort things out for Trisha to get comfortable and where she needs some assistance those type of things I think in my mind I think the the wash or the shift of changing of the hour from this part of the day to this part of the day like not in the morning because now you're going to come to a board meeting I think a wash is a decision to be made by you guys and and not needing approval but if it is an increase in an hour even if it's occasionally here or there and or of course permanent but I think if it's an increase of an hour that's an increase of a pay and I think that that would have to come before the board yeah and we just like a per you'll see you're approving when we see that it's a permanent thing we bring that to the board because that affects benefits correct and that's why the permanent piece right CU it doesn't go through payroll unless it's board approved so if she's you know right now getting six 6 hours a day that affects her benefits of six hours of vacation or 6 hours a sick or whatever if you don't approve that 6 and a half she's being short changed as well that's why we make sure everything comes to the board so once it we've kind of time to filter things through it would come to the board that was that would be as a permanent what if it I mean is what is there ever a decision of a temporary like let's say oh this particular week more hours are needed yeah we we really haven't talked about it other than trying to keep it at a watch we always keep that a watch but it it has happened in the past where there's a support staff member for one time out of the nine months they've had an extra two hours in a week because they needed to stay for an IEP mediator and they needed to do a specific specific thing for the administration or whatever the case may be um they sometimes get clocked in with that it doesn't affect their benefits it doesn't affect anything like that it's pretty rare that that happens but we don't bring that situational thing to the board but isn't that clacking in and clacking out altered that it's still a wash I mean will they not like sort of clack in we try to do that as much as possible yes well the reason that I ask it is just from an auditing standpoint I mean from an auditing standpoint we got to continue to be clean and we always have been and I know that we will obviously more so but a wash is a wash and that makes sense but if it's anything else I think the Auditors would the Auditors know there's some flexibility there on some of that if they would see a a pattern every pay period it's like and then it's not connected to the board that's where you get if you see a once a week and they see something from this employee and it's just one time the whole year they're they're not going to this because of a situation or something like that that came up okay moving on item G director Finance consultant contract action item superintendent Sanju and school board negotiators lumy and lindaman recommend approving director Finance consultant contract with Michelle sander from February 1 2025 to June 30th 2025 go a motion I'll make the motion do I have a second I have a motion by Alicia and a second by Randy to approve the Director of Finance consultant contract with Michelle sander from February 1 2025 through June 30th 2025 do we have any questions or discussion on this item so basically the the contract calls for Michelle services for about two hours a week um that's what we kind of two hours hour I can do two days a week you want to renegotiate this cheaps I don't remember reading that two days a week uh for approximately 16 hours um getting paid at $60 an hour uh there's also some life insurance in there hopefully that all gets worked out um as well uh and then when we average all that in it gives the flexibility of of doing it this way so that there could be one week where she spends a three days a week as opposed to this um when we've set up the contract um you know her payroll work is basically um you know divided up so she's going to be getting equal pay each week but it allows her to have some flexibility in the weeks that um you know we need her to spend more time vers less time depending on the on the week uh she'll log that stuff with me in terms of of her hours um and um I I know that it goes kind of without saying I think we're going to get really good bang for our buck so and part of that schedule include uh overseeing the roof project so when we have um our project meetings I'll be attending those and and working closely with Jake and Brandon on that project as long as the as well as the investment of those funds so so with regard to the expectations and the role it would be that it would be continuing to Mentor teach and so on like that but nothing evaluate nothing evaluative is that correct she doesn't have to do any evaluative nope that would that would be my job correct thank you no continue just to work with Trisha and the training piece and TR teaching training yeah all right we have a motion by Alicia second item superintendent Sanju and business manager sander recommend approving the contract with hellberg engineering for HVAC and mechanical and electrical project uh Design Services uh helber H it's h is it h halberg excuse me halberg has been working with tremco for the engineering design scope for the mechanical and Electrical uh portions of the roof project halberg will be completing the drawings and details uh and all specifications related to the project along with attending the design team meetings engineering costs are based on 5% of the projected me cost of the project the fee will be $85,500 any reimbursable expenses are not part of this fee do I have a motion a motion by John do have a second second by Kayla to approve the contract from Hallberg engineering for the mechanical electrical engineering needs in relation to the ru project any yeah we've worked with halberg on our original building project yeah long history they're a great engineering firm for us so see we sell bonds we start spending money right away that's just kind of how it goes but um I've already worked or called and talked to halberg they know that our money doesn't come in till February so they won't even do an invoice to us till March so I've got that all worked out so they're they're aware that we don't have the funds to pay them yet this again will run through fund six through the construction account because it is part of the project so yeah the the guys at Hallberg know our building they know our system so they're they're great to work with they've been working really well with tremco so far so um yeah it's a we need them we need Engineers to design the the weight loads and all the mechanical for those uh rooftop units can you help me understand the last sentence of any reimbursable expenses are not part of this fee can you help me understand that you'll see that in any of the contracts um regarding a building project so if they uh one example is in our build in our big building project um like dumpster services that wasn't part that was a um they would charge us for those in addition to whatever the contract is in this case with Hallberg I don't see anything if they would have to draw up a lot of additional plans and make copies to give to the contractor that would be a cost to us you know it might be you know here's a $500 pill bill because we had to drop additional plans to um get out to the contractors for that so with halberg you're not going to see a lot of expenses it's usually coming from a contractor side but um it's just those type of things that aren't part part of their original scope and is this fee of $85,000 600 having any contingency in that dollar amount or is the contingency just in the overall project amount where's the the contingency safety net if you will of this project is it two locations or one location um this would be all the Glen right now is we're looking at the Glen Co location so it's based off of their anticipated work for the mechanical and electrical of 1.7 million a little more than that um so that's where that 5% they they take that off of what is projected now if the those costs come in at 1.5 million they will adjust that down a little bit possibly if it goes a little higher than that you know they'll probably leave it the same um once they draw the plans the plans are the plans in this situation it's if the project comes in a little higher a little lower it doesn't change what the plans what they had to do right okay so so it's going to be pretty close to that 85,000 thank you all right uh we have a of bond principle and interest as provided by the Minnesota statute 123 b02 subdivision 18 and for approval to have access to the bank safety deposit box at cor Trust Bank approval is also given to roof project so we want to make sh sure that was in there and then the new person um which would be the business services person so it might be a motion that you want to look at again in you know like July July August once things are you know you have people in place that you can adjust that and change that again but uh it is a motion that we have to have um the banks require a copy of this so they can see what people have access to make these things the other thing going along with this is we'll be doing um new signature cards with the bank so who's ever got those positions will be getting a call or an email from us that we need information to get that to the bank as well so again it's a little we've done this every year it's just for the last 18 years it said business manager sander yep so from a signature card standpoint and stuff you you will be listed on there as well at this point or not um only on the One account probably um because I'll have a consultant I could still have access to the bank stuff but on the signature card it's usually just the board members the signature is never numbers right so then access um when when access is gained is there a for system of checks and balances is is there a system of checks and balances meaning if you are gaining access to anything as a consultant will the now Director of Finance sort of need to be signing off since that's the real employee position and person we can do that so here's another you know what I'm saying because as a consultant we have a contract with you I don't know if that makes her a district employee perhaps or not I am a district employee okay will she is as a consultant is is that wherever Michelle had to sign off on now Trisha has to but we want to make sure that she also can be active within that process um but you're right when you're saying that in your thought process it would be Trisha so here's another example for you you know most of our money all flows through our um PMA account S State payments are flowing through that so when it comes time to pay bills and um meet payroll Trisha is right now is making those transfers and she'll continue to do that so she's transferring money from that PMA account to our local bank account I have to sign off on that sheet but so she gives me the sheet showing how much she did I also get a call that we've requested the bank has to call me and say you're receiving a rewire for $500,000 perfect it matches what she just gave me to show what she transferred so that's kind of an internal control piece we're going to continue that that format right now she'll be continuing to make those transfers so you got somebody else looking at it so she can't say well here's the sheet I transferred 500,000 the bank only got 200,000 what happened to the rest so part of the internal control process okay so we'll be reviewing all that y that's good and then like you said to review this again down the road when we've got things figured have any numbers on those as far as how much or is it just a what is it about I think it's around $3,000 a try somewhere right around there okay and and just to give you a little information every once in a while when you look at the high school schedule when they're all finished with their with their student driven schedule there every once in a while there's there's to balance the schedule uh in class sizes and those types of things um there could potentially be over loads some of the overloads could be a try some of them could be two tries some of them could be all year long if they do go all year long we approve them one try at a time just to kind of stay um as close to when they're going to happen as possible if that makes sense um honestly these we approved these in the in the first part of the Year back in August I believe uh and these are for second try they should have been done in November November um you'll see this exact same thing next month because these this the plan that they had was for these classes to run all year uh and then the next month they'll be on there for the third try and then that will be right before the third triy starts thank I don't know if you need further clarification on that or not but um it kind of goes into a scheduling issue as to why we do it which is what Mr Sanji was talking about to run our High schedule I have to have 21 or 22 elective courses otherwise the schedule won't work and last year when we ran our our numbers at the high school level we didn't have enough to fill business business wasn't going to be a 1.0 it was going to end up being like a point I don't remember the number right off hand I don't want to be quoted on it but it was like a 7 or a 65 so what we ended up doing was we eliminated the business position the business classes were then inherited by facts and social studies and then we ended up running overloads for these three individuals to make the schedule work so it it's a three-person three TR overload to cover the 1.0 FTE that was not brought back if that makes sense every year I give them marching orders to say run as many classes as you possibly can with a minimum number of students but at the same time try to keep it within the same FTE um and at the same time give the kids what they want want to have and trying to balance all of that there's there's just some of these U things that ultimately happen and the other thing that we we just can't do is you know say we're going to run it with the classes because if you have a point8 teacher and we say to them what we're we're only offering you a08 right um there there's seniority that comes into play there's those types of things um we want to keep everybody at a 1.0 as best as possible um because if they're you know hey we're going to give you a contract that's point8 they're probably going to go try to find a job that's a 1.0 and it's all part of the The Balancing Act when you have a student driven schedule and so um it's just part of the things that you'll see as we as we move forward uh we try to run things as efficiently as we possibly can uh we try to give the kids as many opportunities as they can and then we also try to make sure that um it fits within our budget thank you for all those explanations um one more explanation I think that's still needed perhaps as far as for me to vote in favor of this is sort of the exact overload of these three individuals and and I mean if if we know that and if we can put that in the motion in the second um but I think once again just from an auditing standpoint if if we as a board were to just approve it as its written here without what that overload is for each of them I don't think that that's good practice because what if the what if the we're kind of voting on a blank overload if we don't fill in what that overload is for each of them is what I feel I mean is the overload for one of these a 0.5 another one a 7 another one 1.5 I don't know right now as a board member do we know every overload is basically a e 87th they adjust contract yeah it's all per contract it's on their contract so the Auditors see that it's on the contract it's also on our base scheduling so I just don't have those dollar amounts right in front of me okay and I think that's important to include only only because um it just it looks too vague as it's written right now it it's one class is what you're approving is that what you're asking so it's a so the combination of these three are 1.0 I think I heard you say before no each of them is one additional class so okay one additional class so they would have six classes instead of five y that's what the overload represents typically a 1.0 teacher has five classes yeah these class these teachers have six okay and you have to per contract we're following the contract we have to have those approved um and then that sixth that is added equates to what you're saying on that um uh structure on the schedule I think and I understand that and and that's fine I think that that kind of needs to be within the motion um and then in the future as these come before us kind of imprint and the motion just so that we've got I think that documentation of it cuz I just don't remember it ever being this bar looking I think that's how has been every time yeah that's how it always we've never copy and past it year to yeah we've never put the amounts in there I thought we always put what the what the what the I think you're thinking of the Paras where it show that they they are they hours adjusted I think that's what yes because you're approving a 32h hour employee and they want to increase by .5 so then you're increasing these teachers are all 1.0 is it's just that they're not having five classes they're having six classes and then in the contract if they have that overload they get okay yeah additional yeah that clarification is helping because yeah I was I was definitely thinking of the um hourly the the 284 and not the uh teacher contract yeah we can send you those amounts it goes on their contract well that's all right I think that's kind of what I was looking for too when I asked the first question of Matt and I was actually looking for that 0.25 or that 0.5 but now that you say it the way you are that makes more sense it might be helpful to just still put it in print sometime in the future I mean with your cut and paste Moving on but that's it Al least you hit the nail on the head I was thinking a 284 and and hourly versus the salary are you looking more like to go forward like just adding additional class to their time or are you looking more 17th or could to say one 17th or they would be teaching six instead of seven they're teaching five add adding a six to the they have it's seven3 a day they have they're contracted to teach five and then they have one prep and one supervisory y um is how that all fits in these three here are not Tak prep they're taking a class no they're taking their their their supervisory yeah they still get their prep they still get their prep they still get the prep okay the super I think we hammered the heck out of that one so so and it's still it's CLE as M right for you we'll see what the subjects I think it'll just put additional one class would that work call E one additional class so that way if it for some item individuals are both currently under contract that expire in July or to to be renegotiated at that point um so this is in order to do anou we are reopening a contract that these individuals are currently under right so the purpose of that is to um recognize their additional duties and give them compensation for it is is my understanding and with that I think that we have given additional duties and responsibilities and or redistributed additional responsibilities and duties in the past within our district and we have not um reopened a contract to do that um I think it kind of falls under the category of managerial rights um or assignment of duties and responsibilities um we've had a round of negotiations within the past oh 6 months five months or so where we had a um redistribution of responsib I and duties within the district office staff as we had a retirement of an individual in the district office staff and when we redistributed responsibilities and duties there um we did not create M us for those contracts or individuals in those contract or those positions um we addressed the um additional duties and responsibilities um in um committing to where those positions and responsibilities are were placed and then they were addressed with regard to potential compensation with regard to the rest of that contract's negotiation or package of that negotiated contract um with no like I saidou or anything like that and that was about the same amount of time as well from an individual retiring and the redistribution of of the responsibilities and so forth to the point of those contracts being renewed as expiring and then made brand new so I think that's one example of past precedence just lately within like I said the last five or six months I think I also um having been on the board and negotiated other contracts with um other IND individuals and also groups we have had also um a if memory serves me correctly um some restructuring with at the high school level secondary level um with 284 and I think it was um when we had some attendance uh types of things at the at the high school office um I think it was Angela templin's position something like that some restructuring and um additional responsibilities and duties were given to some other individuals within that bargaining group within those contracts um there also was not anou or a reopening of a contract in that example either um I think that that was um addressed and or discussed um at the time of that negotiated contract as well um so with that I'm just going to pause and I'm going to say that that's my concerns about each of these uh two memorandums of understanding um that will be coming that are that R that's currently being discussed and S that is coming up um as the always have to be addressed in compensation and will it always have to be addressed in compensation with regard to anou now in moving forward is I guess kind of my concern or my wonderment in in thinking about how I as a board member will move forward as a negotiator which is one of our roles that we have as a board member when we will will have an individual and or a bargaining group across from us at the table asking sort of that question of here are my D duties and responsibilities and now the district and or my supervisor that works for the district is assigning wanting to give me additional duties and responsibilities and I don't know Jason if you have I don't want to put you on the spot I don't know if you have any I mean my point too I guess that my reason in voting no for it was if these you know I would like to see uh with these duties like I said you're Matt you have the managerial right to distribute these duties I don't feel that they need to come with a financial tag to them right away if we see in the future that yes they they are requiring overtime or the workloads are too high I soly feel that we can either provide overtime or maybe we look at hiring if it's that much extra work but I mean that's my I guess my reasoning for for my boat um I don't I don't see that we need to tag money to them right away with without even knowing if they're going to take extra I know they're going to take extra time whether that's more than 40 hours a week so be it and it's more than 40 hours a week and maybe we have to look at hiring uh for that position if it's two minutes time so I think I think one more thing and then go ahead Chris I think one more thing to piggyback Jason's comment is part of my thought too is just the the duration of time you know as a as a factor and what I mean by that is um right now here we are mid January and these individuals like I mentioned and I'll just re reiterate it one more time they're currently under contract they will continue to be under contract and those contracts are expiring uh June 30th so within about a 5 month or so period of time that they will then at that point regardless of this or not be renegotiated and could be perhaps addressed with regard to duties responsibilities and or compensation for those at that time and that's what some past practice has been like I said about 5 months ago when four of us board members were at this table a couple of us having negotiated some of those contracts and um when we voted on that it was unanimous at that point so that was that was it and go ahead Chris if you have anything else I I was just going to say I thank you for your your comments and your concerns Matt and I have had this exact conversation about this um when when when the dust settles in terms of of where we're at uh the resignation came in you know here just not all that long ago and um you know Matt worked to put a plan into place uh to make sure that the services that we're providing our families didn't miss a beat um and and that has happened um and uh and so when he came to talk about like hey this is what I think can work because I think we can become efficient I think we can still provide a great service for our students um we had some of those exact same conversations that you guys are bringing up um and and when when you look at it through the perspective of here's the plan that's ultimately replacing a person that's in charge of this program and this is how I want to replace that person um my support and my recommendation to the board is to to give it a chance so that um we can see how it goes for the next 5 and a half months and because you look at it and all your points are spot on inv valid and I totally get it um but because it's not a replacement of a person by a person it's a couple people that doing their duties you know if you look at it from that perspective um they're worthy of a little compensation um that's obviously debatable um I totally get it um but but when he put this plan together and we had this this conversation um my support of this is to see how this goes and then um um you you know similar to how I want to see the Director of Finance go the consultant go and um you know to find a replacement I think we would have been you know probably a month into the process and we would have had to have somebody be taking this program anyhow and so um my support of this program and and recommendation for this has to deal with that that to ultimately support Matt and his plan and and um his vision of being able to do this and um but you're right um you you absolutely make good points um I do think there's some points to say that you know do they deserve some compensation because they're doing more duties and and and then at the same time we all have that um so trying to find that balance I guess um and in trying to find that balance um I'm willing to support the the plan for to see how it goes for the next uh few months but thank you for your comments yeah and and thank you for yours as well I guess I don't look at I guess one one clarification or one thing that I look at just a tad bit differently is I I look at this not as a trial and error or even necessarily as a um probationary period or a trial I guess I I look at it as my support of these two individuals my my support of Matt and what he's presenting as a um as a a an addressing of a retirement and a moving forward and his vision for the program is I see that or my feeling is that and and I'll kind of piggyback something Jason said I think that Matt with managerial rights as the term I'll use has every right to assign their duties and responsibilities to those these two individuals to do what he sees as a vision moving forward and I think that what I see in that Vision moving forward and the commitment to these two individuals would be to say that it's not necessarily a trial and error but it is a yes until June 30th 2025 with the intent of that the contract being negotiated would um further what is being assigned as duties and responsibil ities right now um and that I would hope would kind of help these two individuals to see that it's a commitment to the program and the vision it's a it's a commitment to what they are currently and will be or would be additionally assigned and that it's a commitment to the community and the program saying this is the direction that we're going um and I think that that's that's how I look at this my only issue is really this short period of time and compensation for those additional responsibilities and duties I think that those additional responsibilities and duties in my mind would with Matt's vision and his plan continue and stay moving forward and they would be these individuals would be compensated in the contract negotiation as that restructuring happened and would continue moving forward that's that's I guess how I look at it but once again we'll see what happens I guess June 30th 2025 but that's my level of support for the program the plan and these individuals on the paper and the individual that has put together the vision in the plan that has showed success continue continues to show success so it showed it in the past it's showing it currently and I've got faith that it will in the future and I'll just stop at that thank you all right there's just a couple of things um the first thing that I would like to do is just kind of officially thank our taxpayers I I I should have said this earlier um we have a very good Bond rating and a lot of that has to deal with the the the support that we have in our school district um and it's important to know in a roundabout sort of way that our support of our school district and the and the taxpayers that we have and them ultimately paying their bills has really helped um um the bond rating that we got and I think it was I think they gave us a number of almost $400,000 of of what um we are additionally getting because of the bond rating that allows us to potentially do some more things so um very grateful for not only having the support of our taxpayers with the November election um but also just having them uh be wonderful citizens because that certainly have helped um finally I have one item that I would like to do and and uh it's kind of a tradition here to to give the brass bell to somebody that is no longer with us uh in terms of the hat that she is wearing um but uh this is the last board meeting that Michelle will be with us in terms of her hat as the business manager for over 18 years here at GSL and um I I just I don't know how to say thank you um more because uh I got hired um and I'm grateful for that opportunity and the first order of business was probably the the spring of so I wasn't even officially the superintendent um still didn't even have a license um and they said you need to hire a business manager and oh by the way you superintendant business managers are really important so make sure you hire a good one and uh the very first we advertised this and um we we went through the process and and it was very similar to the process that we just finished and Michelle applied and I and I can specifically remember going through this process and again I I'm still in May of before July 1 of when I take over here back in 2007 and asking these questions have you ever done this yep have you ever done this yes you have ever done yes and and she wore so many hats um where she came from that um in the end it it certain certainly was a um I don't know if it was an easy because we had really good candidates but it was a decision that um was a really good decision and so on behalf of the school district on behalf of um everybody on behalf of myself that I'm going to miss um I'd like to present the brass belt to Michelle sander should be gold thank you thank you thank you there you go well the good thing is is because we had some earlier action that uh you will be around a little bit once in a while to report to the board but uh special thanks to the board newborn members as well all coming on but um worked with a lot of good board members over the last 18 years you've been very supportive so I appreciate and thank you all very much for that so it's been a a pleasure to uh work for GSL schools all these years and the things that we've accomplished we're very proud of Chris and I have done a lot of work on getting a lot of things passed and happened and built and um it's it's just been a joy to to watch the kids go through these hallways and support the teachers when you can and it's not easy to say no when you have to but we get through those those times as well so so thank you for all your support over the [Applause] years anybody else want to say anything I can't really sum it up in a nutshell um we've been together working you know I've been on the board for a long time um I think the taxpayers almost a also a debt of gratitude too because of what she's all done for this District um she wasn't just the number cruncher she uh had vision for the kids here um that was wonderful to see I was so impressed when I met with Michelle on so many occasions she wasn't thinking about the numbers she was thinking about the education of of these students and uh uh you want to call it bean counter whatever you want to call that the number but it was just uh I appreciate your time um I know we'll be speaking in the future but thank you for your service at in clino server lake so I think two two words that come to mind um that I think of that I've heard so much in the communities of GSL when Michelle is mentioned as um an individual that they have dealt with in our district is genuine and approachability that she's approachable and I think that th that combination of two things I I continued to hear over and over and each of those two traits or characteristics I think um has served this District so well but I think it's really made individuals that have had questions concerns thoughts ideas and whatever and either were directed to her and or stumbled upon her and or sought her out um whatever it was came encounter with her and their their encounter with her was that they walked away um smarter than how they came to her not always in agreement not always happy but I think many were um when they had time to maybe reflect on on what they came in um with and what she provided and what they left with but I think that um um you know once again um the the community um just really embrace you um and and to have six communities Embrace somebody is not an easy thing either um so thank you I just like to say um finishing up my sixth year here I don't have nearly what Jason has but um um I thank you for the mentorship the time that you took the hours and hours of conversations that we've had um whether it's in your office or over the telephone um and educating me uh even though you know I know we're in education business but um I personally need a lot of Education as far as how the business side of a Education Works um you took the time and had the patience and allowed me to ask really dumb with stupid questions and you never and you never once exactly just like you did right now you never once um rolled your eyes at me or says oh my gosh I can't believe you asked those questions once so um thank you for being a good friend also yeah I share the same sentiments that John and Jamie and Jason have all shared and I've definitely enjoyed my time um working with you as a board member thank you for making the you know world of school finance a bit more um easier to understand and yeah always being approachable and answering our questions and all that
