##VIDEO ID:bP2Asjp7qtQ## [Music] good morning and happy 2025 this is the January 13th meeting of the Lakeville Library Board of Trustees um it is 9:00 a.m. and the meeting is called to order I'm Ruth gross the chairman of the trustees and I'm going to ask those here to introduce themselves Andrew would you start please uh Andrew sorth to administrator Jennifer Jones Library director of trustee catrick Marshall trustee PA facilities manager okay so um the trustees should have well everybody should have the minutes and if everyone has read them whenever you're ready I will entertain a motion to I will move to wait the reading of the minutes and approve the December 18th 2024 minutes second all those in favor right all right we are going to I move that we change the order of business to accommodate the two guests that we have this today to talk about Capital item discussion with the facilities manager and Town Administrator second all those in favor I I okay so I thought it would be nice to invite Paul and Andrew here to talk about um Capital items that are currently on the capital plan as well as thinking about the future and what may need to go on the capital plan in terms of facilities so in your packet is a copy of from last year's um budget planning process the capital plan which um we have two items on for facilities and then the second part of this was um the trustees had asked to think about if we might want to look at solar for the roof when we have the roof replacement done so I I um sent out a message to um other libraries in the Commonwealth and got some information back from them about solar and wanted to share that with you so as far as I know we are on for a roof replacement in FY 26 which is desperately needed we have sprung some more leaks um those leaks we are also on in FY 27 for $100,000 for a a library heating system replacement which I believe we have already gotten quotes from sish Supreme energy for replacing the boiler um and uh my thoughts were you know we don't have anything beyond that what are some of the things we need to look at and I know the HVAC has been giving us trouble for many many years the um mostly the bab boxes are starting to go there was that problem that we had with the part that Frank and Mike were able to fix when they were here but all of the VAV boxes have a similar part that is going to fail and we're kind of at the end of the VAV box lifespan and there are I think 21 or 22 VAV boxes in the library quite a few oh boy so that is going to be a large project if we decide to replace them all of them and that's not even including the idea of looking at the compressor and also the controls I know Frank got a quote for us Frank is from Advance air got a quote for us for replacing the controls updating them so they're not on a computer that is currently running on Windows 7 I think so we need to upgrade that as well I just wanted to start the discussion about it and ask if you the trustees have any questions questions about facilities and hopefully Paul or Andrew can answer some questions about when we can realistically put some of these things onto the capital plan well if I it's I know you've done and Jamie before you've looked at the building quite a bit I know Nancy and Ruth have been on the board for a while but I mean the building's what 20 20 years old 20 years old so a lot of the systems are just coming to their natural end of life and speaking from experience with other municipalities it would be really good to plan ahead and look at these things and do them properly so that we don't have to look at them again in our lifetime um and uh try to get these things planned out I'm sure other Town buildings are facing the same thing too so could could you share with us the solar thing because the roof is the thing that's going to be 26 okay so could you let us know just so that we all have the same face um so I asked libraries what their what their experience was with installing solar so it's all written out based on which Library responded to me on these pages so um MN sphere is in the middle of a a construction program so they are planning to install solar they are using a metal roof which eliminates the penetrations required for a solar on an asphalt roof um the next Library Hamilton winham had installed solar panels in 2022 through a green communities Grant um so they're renting the solar panels from the company um so it took a while they say it took a while to see the savings um then it was the power was out for longer than they had anticipated when they were connecting up to it they did provide also a link I haven't looked at the link yet for an overview of the project um another Library had solar panels installed a while ago in 2012 and at the time they were improperly installed they suggested that you use the roofing company to install because the Electrical Company didn't specialize or cause roof holes so they would recommend not using use the the roofing um company to help with the solar um and they mentioned that it's better West Hampton mentioned that it's better to install on the the single metal single seam metal roof so that's what I got back from responses not a whole lot in terms of solar panels so know Lakeville can always be the trend Setter yeah well we also have all day sun on a huge expanses of roof so it might be something that we need to look at what would actually cost and if we if they recommend metal as opposed to solar I don't know Paul about your experience I'm trying to figure out why why they wouldn't be uh penetration through any type of roof to hold brackets or yeah there would have to be unless they're already incorporated into the metal itself yeah I know CU how do you anchor it into you're going to have to puncture something to attach it that's how that's my thought too and then we need all the other thing would also be what is the life expy of the panels once you install them how long are they going to be there and then what would the plan for the future to if to replace them they're not obsolete or to remove the or whatever you know they by in another 20 years it could be a huge difference in how they're used cuz they were never even a consideration when we installed them in 2004 I think it was neither were USB plugs you're also locked into the technology of the day right so technolog is changing from year to year um so whatever we price out now would change in a very short period of time I would think as well it would be interesting to see if the rentals have any upgrade plan with them mhm that would be a good thing I mean I think we need to also talk to some solar companies a good resource would be mid Gas and Electric um they obviously the ones that have to approve solar project eventually um they've had experience when they built Minar High School Sol was on top of that roof I know Genie was instrumental and all that so that's another recent project so that would be another good contact as a middle new middleb high school and I know they have probably at least two or three people in a like renewable energy division over there okay so I know they're opening just showing up to meetings like middleberg gas and electric is our service so they also would be ones that we'd want to have contact with they might know any sort of funding mechanisms to tap into to pay for it too considering we're looking at $250,000 to replace the roof and I I for my when I worked in taunt we did a few solar projects there are federal incentives that cover 40% of a project but I'm just not an expert on the reporting on that I got and also things may change right with new Administration good this it does it sound like it's a good beginning yeah yeah so that we have a lot of a lot of questions I have a roofing company coming in this week to have a look at it uh to give me a quote I feel like the solar is worth at least looking into at this point yes doesn't cost anything to look into it right well sometimes we're finding it does yeah more and more often estimates nowadays estimates are no longer free but yeah Jennifer I did have a question um you said you had a quote from pray for the operating system yeah he sent it to us both I think I'll have to go back in my emails and look for it controls seeing that if it's there I think it was around 32,000 at the time that's when he came out with that gentleman from honey well I think and we looking at everything so it was a while back and then um the heating system replacement for next year I forget what the quote was was it over 100k yeah yeah so Supreme had given us a quote for two different two different systems one being oil and one being propane gas yeah and the oil or if we were going to replace the boilers with he thought it might would make more sense to do two smaller high efficiency units uh it it give a redundant system should one fail or or breakdown or um but one was 125,000 one was 115,000 was the 116 for propane uh the 115 was for propane yes and considering that you need to add the fact that we need to get propane tanks and all that I should have printed that yeah I included that in one of the recent packets yeah we got that last time we leing Smith Bo so the controls would not be included in the new system no controls are something that's a shame well this doesn't include like the VAV boxes and all that the the air handling units in the compressors that would be a separate thing did you see this you see this so when would we need to actually have information ready for the the 2026 so so Capital requests are due on the 17th of January of January um but I'm fine with like an estimate like a placeholder type of number and then we can refine that number over the next few months so the first one's the roofs and that's the one we have to be on who's coming I think you said this week fall uh yes yeah so we should know more next this week about a well he's coming in this week whether he'll have actually an actual quote for me this week yeah I can ask um if we can just get an estimate exactly send it in so it meets the deadline yep and then have more information as it's available yeah 250 number that's on the that's on the capital plans that was a number that Nate came up with a couple of years ago um and thought at that time that it was a reasonable number to put towards the roof uh as we know everything's going up and it's never going down um so it's even that's still a good place to start from okay so the question is do we continue you with updating these little boxes that have that little plastic thing that's not going to work anymore or do we stop well that's two so far two of them are have been replaced out of the 21 22 how much did it cost roughly he said the part was about a hundred but then you pay labor and they are expensive right they're like $150 an hour or more yeah so the last finicky too it's small the last bill I got was close to $6,000 yeah that's for two or for one that was that's for diagnosing the problem okay changing out I think one of the motors too and then so is this and then to reprogram back into that yeah system programming system they spent a lot of they came about three different times at least yeah because they'd have to get the part and they'd have to come back and then they'd realize the part wasn't cooperating so they'd have to get another part and that's how they finally figured out it was that plastic piece I see so it should be faster with subsequent units but if they're doing a series of and they found a they did they found a workaround yeah because it was it was a it was a everything's metal except for the gear the gear is plastic so the belt wants to continue to spin the motor wants to continue to spin but once the plastic you how UV raay not that UV raay hair is what caused the problem but it's just the old plastic it gets brittle it wants to keep moving the pl and the teeth on the on the gares just strip off so they've figured out to work around about with that with the metal part instead of the the plastic part but there's no possibility of Sparks or anything from the metal property no so does this mean that the the rest of the whatever it is the boxes the box everything else is okay with it so that we just replacing the part makes sense as opposed to replacing the whole thing exactly in this case yes moving forward apparently the motor when it would bind up it would twist every time it twisted it basically deformed the housing box that the motor sits in M cuz every time it jolted the box would it cuz it's only a it's only made of U bent metal sheet metal so it's not heavy duty it's not heavy yeah it's not a heavy steel unit the insallation wasn't the greatest either because they left it kind of hanging so it's the installation right so these boxes hang off a metal strap it's not like it's hard wi or hard mounted into L brackets or anything like that so it's just a metal strap so the whole thing would float yeah above the ceiling oh lovely yeah well it would seem to me that we need to start looking at again being proactive looking at the replacement cuz it's coming to end of life anyways 20 years I mean we'll have to fix things as they break cuz I suppose they want heat here but yeah who was it that didn't have heat was it see yeah was for a few days it would seem to me we should start looking at and that way the town can plan easier too as far as Replacements and know what's going on as opposed to an emergency of oh we have this plan for Capital but now the library needs a new HVAC yes you know I talked to Frank about I asked him a question about replacing the VAV boxes and not replacing some Parts like the compressor and stuff and he said that's you know you really do the system but I mean right now everything seems to be okay oh God what that you know the compressors are fine still the air handling units are fine but I I know they've been an issue since the start because of the installation so it's probably some issues look at it from day one yeah with everything yeah so I don't know if it's better to put that as a whole package you know the air handling units everything all together the vi boxes that's I don't know what everybody's thoughts are on that all it's an interesting question I mean me I'm more of a conservative thinker um but I do see that you know i' personally I'd fix one at a time if they go yeah um providing all the parts are still available well that's the other thing right so so we buy the parts them say do you do you go through the expense of just buying the parts have them sit here and then just wait for the unit to break or just buy the parts and have them installed versus replacing the whole VAB I guess getting a quotes on that would be yeah yeah and also the manufacture um are they still making everything that's part of the thing is if systems are designed to work together you might get new VAV boxes they're not going to work with the controls and not going to work with right whatever because I know you have to worry about the particular pressure that's coming through with the air handling units and exact so it's not it's not just the the boiler or the furnace that creates the heat that's that's that's in this quote for $125,000 it's it's when the heat goes through the system the VAV box is what controls where the heat goes and how much actual heat you get versus AC and it's it's basically a window that it's a motor that just does this that's all it does it open opens up the box and and closes the Box um but it's not as simple as that it works with a computer system that Johnson and Johnson has that's 20year old technology yeah so we do have two VAB boxes currently not operating well there's not one in my office it got was removed to fix something else I remember that and I think over non-fiction there's one that's not operational so we could get a quote for two to see what it's like and what that process is like and then try to fix those up and if they work with the system or maybe run we run into issues with the controls and then we know we've got to put the controls that's going to be part of the bid too yeah okay so we still have some exploring missing in one nonfunctioning yeah if you look at the computer controls it one of them's just not showing up so I think it's just and it's probably been that way for a while and then I know they took it out of my office a long time ago yeah so we can I'll Paul I'll work with you on talking to Frank about that Absolutely I'll put in a work order okay anything else I mean the standard stuff like Carpeting and painting I I know power washing the outside of the building would be a great project to do too definitely and I don't know that that's necessarily going to reach the threshold of capital though would depend on how much it is do you have any idea Paul well I would say pressure washing and painting that would reach a just pressure washing the outside pressure washing the outside gently pressure washing gently but they do all soft scrub now anyway it's just it's not like yeah cuz it would be nice to get that done for the anniversary yes we have an anniversary in August and we're hoping to have things looking very good and working well pressure wash and paint or just pressure wash oh I'm happy with pressure washing for now yeah painting we can put off unless the pressure washing takes the paint off we never pressure wash we the outside I don't think so I think we did just around I don't know if it was pressure washed but it was washed around the just regular staff entrance because oh we had a problem with the door too yeah we had a problem with that door we had the door painted but I don't know if that was from pressure washing but okay so I guess we need to decide you know do we want want to start looking at FY 28 29 for some of these projects um what get some quotes and think about how much it's going to cost yes which carpet do you do the lobby yeah well the whole the whole being broadland you'd have to do pretty much the whole thing yeah well yeah that's why like where are we going to put it on the capital project plan so the capital plan as I'm sure you guys all know it's pretty flexible things move up they move back um I don't think laks really ever done this but so we're going to approve the capital plan for the June Town official annual town meeting we have a fall town meeting not that long afterwards if there's money left over we have more money free cash to get certified September I'm opening to like approving Capital again okay at this at the fall town meeting so if you say you put something in fisal 28 and all of a sudden we have the money and the needs there we can always push it up so yeah this when you classify it fiscal 28 but it could move up you know so I don't have any estimates of how much it would be to carpet anyway so I'd have to call get some when you're sitting here looking over the carpet right now that we get a lot of wear and tear in the lobby area yeah especially and we did do the squares in the meeting room before probably prudent to go with the squares everywhere yeah it's probably prudent to go with the squares everywhere yes I mean eventually in here too you're looking at about 150 this will be probably like 20 years from now because it's has less use and it's a dark color yeah and so we don't have a traffic issue and so when I did allive born in 201920 it was about 100 so yeah you're figuring it's probably about the same square footage the price is probably yeah that's why I say 152 I'm a little nervous to get it cleaned in case it starts bubbling up which I've had happen in some places dep on what time of year you have it clean too as far as like think well I see smoke when you said 150 200 that's per square foot no oh that was 150,000 got you gotta bne was like 95,000 it was off the state PID list and they did broadloom or squares we did squares yeah I would I wouldn't do broadloom yeah I think that we all figured out squares would be more sensible because you can Target one area and you don't have to do the whole thing and there's not a real big difference in color fade and stuff like that okay I'll work on car that's another thing to look at too I think even wear him the half that wasn't I mean you can also flood your building which you'll get it recarpeted but the half a building that I think I to say that was camera I want to say I I feel like the half of the building that they did because they had to when they did the half that was damage I want to say that was like 70 80 somewhere in there nowhere you know less arva than this old building but could always phase it too yeah cuz it's going to be a lot of moving stuff yeah a lot and we would definitely have to think about closing the doors for a little while if we do this 15,000 square ft right yeah well The Beauty with the carpet squares too is you don't have to you can move go around the shelves I mean born that's all we did cuz then when if you decide to move a permanent shelf then you have the squares and you put some more didn't even think about that yeah so like your non-fiction shelves your fiction shelves you just lift the bottom shelf up so that they can kind of tuck it yeah so if you want to um put a placeholder in okay do necessarily have to go in any of these fiscal years it can just be kind on the outside okay and then we can always determine at way of time when it's necessary I don't know if there's any other projects you can think of that we should attention to I just have roof is kind of the roof is the main thing critical but every I think you know we have some warp screens and some stuff like that but that's minor we do replacement of those but it's the the roof yeah Foundation is good oh the windows themselves I know that some of them are frosting over not frosting over we don't have any fogging doing no I haven't seen any fogging it was just the door that was fogging but the the windows themselves I I know there's a lot of cold air coming in my office from the windows I don't know if they it's not because you don't have a heating thing in your room maybe one step but I know there's a couple windows that need attention I'll put that work request to as it gets close to the spring because they just need like they're not looking like they're in there correctly so gotta well I will say the more windows in a room for all the glass there's no insulation in the wall so it's definitely going to create cold will always want to migrate to the warm areas so just that movement of air is going to create that draft um I'm trying to convince my wife how that science works because she says oh it's cold in this room I'm like Heat's at 68 but the heat upstairs is set at 65 so that hot air is going to want to go to the cold air and just the movement of air creates that draft so yeah I think we just need to have all of them windows looked at and to see how they're you know some of them don't stay open some of them look like they might fall some of them probably have never been Windows no I mean that's a frightening thing yeah so I know there's they've never been opened or are they all tiled Windows I'm not sure I'd have to look at that some of them might be off the tracks yeah I think a couple of them are off the tracks so it be good in the spring to yeah I'll do a spring workorder when it's nice and warm to come in and look but I can swing in just to make sure that they're all in the locked position yeah instead of like an open position yeah that' be good I fig how you guys are paying for it but you guys are doing like an upgrade in the uh conference room or the meeting room the for the audio Yeah so that's on my list I have I'm supposed to be getting reviews and that's still in progress okay I wasn't sure if that was a capital or just something else um we have some funding that was given by a family that we were looking at using oh okay as a big project and hopefully there will be grant money somewhere but or at least for the lighting oh the lighting I didn't even think about the lighting yeah yeah that's another thing we have to talk about when we were building this building there was a big discussion about because our architect liked the European look and we were coming out of sort of the Cave of the Old Stone library and it was all of this fiction stuff that we dealt with and there was some compromises made and part of the problem is that some of the P features are very expensive some of them are probably not being made anymore so there's certain things that we kind of agree we did agree to underest I guess I would say to balance things out so we do have some had some issues over the years with ballast and things like that especially in the center area yeah I know Green communities can cover that I just don't know if that's been studied by them or not let's see so we just need a company out here to give us a quote right for well it has become part of the audit I don't know what the history of the audits have been through that I can ask Nate on that there was an audit done and I don't think anything came of it and now the company doesn't even exist I found a saved document on my computer from a company that I think I think was bought up by another place and doesn't even exist anymore and they really didn't give a detailed audit it was just like a big did it say lights need to be done yeah it said something about um changing out I can send it to you um yeah it really didn't say much about the type of lighting they would put in it just says change out to LEDs and okay it's very basic yeah some of the lights in there now gas filled want to see Electric got to heat up and then right yeah that's an option I can look into definitely yeah I'll find the audit and send it to you but it was done several years ago and they just don't I checked to see if the company existed anymore and they just don't so do you know the name of the company ah T something I'd have to look it up again but they they were bought out by a larger company and I think the larger company is still doing business in the area but they're not around are they suppliers or installers or both um I think they were both um because they were talking about the lighting and I also think maybe the boiler I'll have to look at it again they did a multi audit generally g& will pay for an audit to be done in the town building and they give recommendations and you can use that to get funding through green communities yeah but generally the art has to be good enough to get accepted by the state I just don't know I'll send it to both of you but it's not yeah not very detailed well I know Nate Nate not DET hand it was like a one page I was like we'll do this this and this and it will cost you blank it didn't even give a cost estimate I don't think is green communities a source we could use for the solar panels it's possible it's possible um there's all sorts of different rules of green communities I'd have to talk to Nate to see what what we've done this past year and going forward and we assume that the structure above us would support all of that well that's another thing they have to look and see the thing you know that would be another consideration being soaked so many times we don't know what how spongy it might be anyway well it is amazing that you have that much space in the attic and no access to get there it's like you go up into the main section and it you have all the air conditioning air handles and everything but there's no door there's no catwalks in the Attic yeah is that something you think should be installed for for just for servicing right so for servicing that's that's why they that's why they did a drop sailing everywhere everything's accessible through the ceiling yeah on this side but not on the upside but then you have areas like this with the offet that make it difficult yeah but but even the offs are accessible from here yeah you just have to climb up there well when this was constructed the the different parts of the elements of the roof were done on site they weren't manufactured and brought so that is probably um one of the issues that we have there's a lot of trust work up there he always sideway walking on the have a good day thank you folks have a good one okay as if that was not a financial report we'll go on to the financial report actual financial report um so I made sure to add in the um money that was appropriated for us for the extra on the electricity so you'll see we're a little under half now based on the new number um water service yep it's it's the bills are getting better um in terms of City taunt we're not watering so it it should be back down to where it should be normally and as we all know we're waiting just waiting for the the well to start and then 8898 over mhm like M I think it was the $1900 bill that did it in and the powers that be are aware of this number that keeps um I mean we're waiting for the point right the point I mean I think there was no our options would have been to just not water the lawn yeah rather than because they what was happening was was shutting down the whole system um and they had to keep resetting it so they just took us off and put us on City water but it it can be fixed why has it not been fixed we're talking months and months we need a well we need a well cuz I think we're just too far from the distance yeah pump house and it's just working too hard and shutting itself off initially we wanted it well yeah but they felt that it would be better to just ex expand what that was already existing at the Ted wavs Camp which right we're back to where we were 15 years so I mean well there's areas where I'm aware of that number and where I'll just be careful on spending and yeah but it of course you will be fiscally responsible that's not the question the question is how prudent are we spending tax dollars why why is this not being addressed well I thought this was address though came in address but it but it's not been fixed and it's been since what last June last May so they had to put us back so so they they came in they swapped us over to city water then they said you'll be back on but I think because it was causing so many problems they just I know I know yeah we were and going to be back on again so it's still yeah so we would hope that 2025 would bring a resolution to all this yeah and it's not it's probably going to be 2026 once the well is operational I'm not sure what the timeline on that is yet so we figure that out and appear under um Capital plan or anything like that no because it was using arpa funding I'm pretty sure so that so basically we'll have to see what we want to do in for this summer if it's any well isn't going to be operational M otherwise that account is going to be high again then once we get the well online what we're going to have to do is look at all the the sprinkler heads and the control boxes to make sure they're operational so that might require some extra money to get that system up to where it should be once the well is installed problem is we just have a lot of open space without shade and so that's both sites the historic townhouse and this site so I'm guessing that's going to be on the same yeah where is the water for the bathrooms over there going is that ta water there is water over there already but it's irrigation water they came in and put in a water line I thought I think it's going to be Town water because the bathroom would only be used occasionally and I would assume that the irrigation is going to be coming out of that but I don't know we could have asked Paul he probably knows yeah I think that from what I thought they said the well would cover I think both properties the well yeah for the irrigation for both for this property too this property and that okay so well for the library and the old I thought that's the historic town hall so do we cover the historic townhouse area now with watering or it's on the same we're on the same thing yeah so when we were covering from Lon Pond it was the same thing now that we've gone back onto town of um water from Taunton Lakeville water from Taunton we're back on the same they're both on the same thing they're same part of the same unit so is the Historic Society seeing a huge water B the commission or we don't get a water bill anymore we everything is on the townhouse which is under the um Building Commissioner now or the under the facilities manager so they must be seeing the same rise it's either that or we're paying for both sides well that's what I'm wondering I'm not sure I we used to when the historical commission was in charge of the site and the building with the financial part we would get a bill in and then at the end of the uh fiscal year so much of the money that had been appropriated for our oversight of that that property would then be transferred in to pay the bills that the library had already paid on a monthly basis I think that's how it so now we don't have any um now that's all under the facilities department so the question would be to Paul there he is right there now he's looking around um we need to ask just find out how that's being paid out because the commission historical commission oversees the building but doesn't oversee any of the paying of bills that's all through the town now we don't have that line item we just have the big $500 budget for the historical commission so that would be a good question that's like cuz I know the map includes that yes it does cuz so was all put in at the same time system but at one point when we had an allotment when we had a line item for the historic townhous water was part of that once they put in irrigation then they gave us money for water so then we would pay our share I think it's even heads on both properties so it's 50/50 and then at one point they were taking it out monthly and then they went to at the end of the year they took it out so we had to leave money in that account and couldn't spend for repairs because water was part of that budget and it was aligned in that budget it would be good to see if we're paying for that at least be a very good idea the town aware of it and then the other aspect would be if we're going to have to pay for it then I mean it sounds to me that I know it wasn't in the budget plan for FY 26 but it sounds to me like in the budget talk rway 26 we need a make make sure that because otherwise I mean I would say you don't water the lawn truly I mean I mean well then we're going to have to pay to rece it or well the other thing is that we're going to have water in the building because of the bathroom so then even though it's not used on a daily basis it would be used for like elections early voting and for night meetings or day meetings there for nonprofits Town groups and nonprofits so that's what the accessibility is for so we just have to find out I I think it may be coming under Paul's budget but I you might want to ask him I I have to wonder if we're just paying the whole thing it could be that we've been paying the whole thing for a while once that transfer went over which is a couple years now which would I don't think we ever questioned it because it was always high anyways you know yeah it's been up like there was one year where it was pretty normal so it was mostly like I think the highest was 48 for one month or two months um but they were all in we're not separate meters there's no separate meter on it it's just the one meter here at the built library but it's the same number of heads in both sites now they have because of um looking for the water line and putting in the canopy and all that sort of thing at Center Stage things have changed a little bit over there but nothing's hooked up inside the building other than electricity cuz there's stilling um On Demand air and um air conditioning but it should have a water meter and water line now I think the water meter is here oh so that's why there was this at the end that we would paid half of the water okay because the irrigation is different I mean what we use when we don't irrigate it's very small amount for the bathrooms here and On Demand use for uh fountains and stuff like that mhm so you're going to pay or the historic commission will pay 3300 out of their $500 budget well no that's why when irrigation well that's why the historical commission only has their budget of 500 we're trying to increase it um we we went back to less money at one point because everybody did a cut we took a cut too ours never got really reinstated but the thing is that the amount of money that we used to get for the townhouse the water would come out of that money which is that building in sight but now that is put into the facilities manager's budget so I would assume that the water but if it's not then then it needs to be remedied or something needs to be done we need either more money in our account if we're going to do both sides right I mean it's not if the water for if it had been 48 if it goes up to $50 a month that's a lot more reasonable within our budget than [Music] right the 1900 yeah I mean the town voted to pay for it at the special you know the fall time meeting but but I know it's like we want to stay on budget though we want to make it reasonable yeah and I mean yes it it irks people that Lakeville water is going to Taunton who then charges us to bring it back here you know I mean I think that bothers people I've not seen a normal this price it bothers me I don't even know what 750 is it still reasonable because there's no normal it's all well I've only seen it spiked up because of the if you go back into the um reports for the years that we actually did get Lun Pon water coming over from the Ted Williams Camp then you'd see what our our monthly usage is was on an average it would be the gallons rather than the amount but um that would make it give in a perspective of what it would have been and at that point it wasn't costing us anything except electricity to run the pumps which I still get that the electricity bill you still get electric bill from the park Department cuz I know we were on it briefly but so on once we have the well that will stop too so it will just be an increase in our own electric bill as opposed to yeah usage okay okay any more discussion on the financial report go on to gifts or other funds um do you want to do the oh yes sais is up to 54 so can we use that this is all extendable yes oh this is all available spending yeah okay yeah it was once it got the invested money got to a certain level then we could take money and now it just reflects that's what we actually can access I know there's a special process that Erica has to do to get the money transferred over to be used right and you already agreed on the I have ordered the iPads and the stem supplies so I'll bring those once everything's come in I'll bring those in so you can sign off on them historically we've always tried to use the interest that we was available to us for programming for children yeah so the stem thing is a perfect example of a good way of using that money and and different programming um gifts we had um a donation in honor of um I believe it was family member for $40 Gallery we received a donation for $93 and we have Memorial donation of 30 to purchase a book and we've already decided on the book so did the money come out of our um Capital account for the um Center Stage yeah our contribution to that okay good so that's why it's at 1,636 it it came out of both the gift and the capital okay good y all righty anything else any other discussion questions on gifts then we will go on to the director's report I will keep it very brief and let you read most of it at your leisure um so we're going to do another large print order we had gotten a memorial donation um from John exam's passing in the fall we added 58 new titles I think we'll Target maybe around 30 this time um WAM and Phoenix at liar X I'll check around and see what new on the scene to maybe add when are you going to Phoenix um it's going to be next not not next week this 24 yeah going tomorrow to Arizona oh wow the business you and it's in the 70s so going to be a little bit of a shock little culture shock um we had a great run for Holiday story hours very steady attendance now there's a break until next week um and she will be doing the morning sessions Monday Tuesday and Thursday playing on purpose continues and it's going to be changed to um playing with purpose um the play group is scheduled for the third Saturday in December and then nobody really showed up to it because it was too close to the holiday but she wants to continue the third Saturday of each month alternating and then she'll alternate it with music time um Wednesday mornings for a six week session so the first Wednesday session for playing with purpose is March 2 6 and music's time starts in February and we had a great success for New Year's Eve 260 kids and adults so it was a they were cute that was the first one since after Co yes and we were thankful to all of our volunteers the friends and teen volunteers that made the event possible um Cindy and Christina worked on a great display for the mass center for the books 2025 reading challenge so this theme this month was to read a book published or about the year you were born which makes it very difficult to pull things but they managed to do it and they put out a list of titles and they put bookmarks in the titles on display so they did a great job with that um and then we are working with the Bristol County chapter for the Massachusetts Society of genealogists to visit their January meeting and then we're planning to host a meeting of theirs here in the fall um so membership is $30 and thinking I might um spend some state aid to join that and their membership um includes access to their resources as well as a journal um I think it's a journal that actually comes out three times a year um and it will be the start of the library's genealogy club that Cindy will be involved in obviously because she's the genealogy specialist we have a great number of upcoming programs Steven Manchester is here this week um genealogy Club this week Ana manogue is on the 23rd and creative card making with Tina is coming up in February um so I took the plans over to the DPW mailbox at town hall for the grounds um we still need to Mark the trees right that's my job um we have the new Wi-Fi access points and the network now has a password which we put on the front door as well as throughout the library Verizon is scheduled for Friday January 7 to add the new line and start service so we'll have speedier Wi-Fi as of next week hopefully um there I mentioned the new leaks in the roof um we are closed Monday January 20th for Martin Luther King Jr day I will travel next Friday um for live learn X and be back in the library on the 30th the transition to asbet has largely been going well and unnoticed by the public it seems a few people have called in not many problems at all I had to adjust some of the things that they look for um in terms of the cards but that's it and as we know budgets are due January 17th town meeting is scheduled for June 9th the friends met on January 6th for the upcoming tea fundraiser and mini golf event t-shirt and sweatshirt orders are um happening again and they need to be in by the end of the month and their next meeting is February 3rd and their Gathering is now February 5th um Sydney connell's exhibit went up on January 2nd she had a great meet and greet um and then the next show coming up will be the annual high school art show with a couple bookended um extra extra extra student shows we have a one- Day Middle School show and a one day um homeschool show and those are Library events rather than Gallery events because we don't want to jury them then I included [Applause] statistics tumble books is children's yeah I think we need to do a little more promotion of that to teachers and parents when she promotes it it gets a lot of use and then when you stop promoting it all of a sudden it drops down like everything else is is there a uh decline in December CU usually a decline starts in November goes through December we pick back up a little bit in circulations already yeah so makes sense it'll it'll look better next month okay we will go on to the FY 76 budget 26 26 sorry I need new glasses 26 budget with the discussion the possible vote so I've included a lot for this it's the cover letter the actual budget Pages the salary tables and they didn't ask for the management pages but they had done it last year and I wanted to make sure we highlighted our accomplishment so so with the mission statement yeah and on the second page is the accomplishments and what we're asking for in budget analysis So Jamie wrote really good language in the cover letters about the particulars regarding the regulations and how the budget um needs to reflect the increase that's expected from the state so I kept a lot of that language because Andrew is also new and and wanted to make sure he was familiar with all of that and then at the end of the cover letter I did put in that we'll need to start thinking about when we reach 15,000 and there's no no way to know when that will happen it could be 10 years from now it could be 5 years from now it could be I mean we're at 12,000 right now the likelihood of hitting it within 10 years maybe it depends on how much growth is what we've done over the years from the very beginning when we at the historic library is that we always tried to add hours prior to a need to add hours so that we did not hear this huge bump in the budget so that we would gradually add hours when it made sense over time so that may be something that we need to have you start looking at and make a recommendation how that would happen so that when we do hit 15 it's not going to be a major cultural budget shock and it's always been try to be proactive and ahead of the ball I mean there certain times things have hit us that we just had no way of knowing we're going to come down the pike but this is something that we've always it's been the Board of Trustees has always supported being ahead of the ball of coming so that it's not a big jump in our budget in terms of hours and staff if we need it I think right now we're at a we're finally at a place where we have enough coverage if there's a pandemic in the library we can do coverage and the director can do do the director's job and the staff will take care of the public and we need to keep that going forward because it makes a big difference on how we're perceived how efficient we are do you find that in your library too yeah I mean I agree with Jennifer there's just not cuz we're we change at 25,000 and we're at 22 and I mean there's just no way of knowing when that's when the zip is going to occur yeah and it's it's good to start thinking about it and up I've been looking at mocking up some schedules with the 50 hours just to whether or not that means we add people or if we expand ours or if we redefine job descriptions those have been the three things that we've um looked at over time yeah where just off the top of your head where would you want to expand ours probably Fridays it makes the most sense because we're completely closed to the public yeah I didn't know if Wednesday night would be I'm sure Town departments would love to have Wednesday night available for me meetings so that's another place look at adding two more hours on Wednesday that might be a good place to start for now but because it's only a 2hour increment as opposed to a whole it's going to require a lot of Staffing consideration that's the thing and Union so that'll be yeah Wednesday night maybe and then Friday I would say there is a potential to to look at Saturday too yeah Saturday sufficient till 2:00 probably did Plymouth ever have um Sunday hours yes it was paid for by overtime so anything on Sunday was strictly overtime but they haven't been open on Sundays it got taken out of the budget I got so they're not I don't believe they are anymore did they find that there was a big concern for the change so it was taken away I think in the financial crash of' 08 um it was taken away for a long while but enough people were unhappy with the change that they talked to and we would tell talk to town hall because you know it's something that we have no control over and I guess enough of a stink was made at Town Hall so that they reinstated the Sunday hour for a while and then I don't recall when they I think in the pandemic times they went away went back it hasn't come back I don't believe it has I know some of the smaller libraries do have like a couple of hours on a Sunday or something like that but we've never been open on Sunday It's Tricky unless it was an event but I mean and from my experience in metap pois it was hard to get Staffing for Sunday regularly yeah for Sundays has weham ever been open on Sundays no no okay that's a so we would have to be picking up8 hours8 hours at 15,000 yes people population even at the very lease it's just good to in the budget process to just make that knowledge known to town officials so that as it comes up I mean but adding two hours to Wednesday would be an easy way to start yeah so that would just if us a 6 hours to find and that would be Friday right yeah yeah probably yeah so yeah okay all right and how many personnel more additional Personnel we would need to do that coverage I mean I'm not asking you for it now I mean it's it it might require shifting one staff member to another evening and then that throws off the balance of how many people rotation and what what the number of hours are yeah okay so it would definitely require some looking at and this is a calculation thing for yeah snow night okay so on the where are we on the budget part um on the actual budget sheet the first part part is all contractual for the salaries um and then in the expenses I've kept electricity the same heating fuel I want to take 800 from buildings and grounds because a lot of that is paid for by facilities right now um and shift that to our heating because the heating costs have risen um keeping the Water Service the same um so buildings in grounds minus 800 um r&m office equipment we've been finding there's some increased costs for our copier contracts so if you look at our budget report we're we're currently at the at the end of that money for this year yeah so I'm asking for a modest to $0000 to cover the current contracts so it is level service because it's keeping our our current contracts so this is to do with all our copers that we use for either for this library or for the public yeah and are any of them at the end of their warranty or do we need it to I have to look into when the warranties I know that one of them came out of lease I think but we still have the maintenance contract okay but they're functioning they're functioning we call them they send service people and they give us you know any any toner we purchase um from them so rubbish removal um also is increased right now I think it's at 150 per month roughly it was around 80 before for the budget so I'm asking for a $600 increase there to cover our contracts um I wanted to shift some from other contracted Services again Paul has taken on a lot with facilities budget in terms of our contracts so that um we shift 500 to office supplies and 500 to custodial because I'm finding that we have to pay more for supplies as well so that is another increased cost I left the postage and telephone alone added the 500 from other contracted services for the office supplies and custodial supplies and books I left at the $4,000 um audio is um bumped up by a thousand taking that from the video line because we're finding that DVDs are not produced in the way they used to be I think I mentioned that at previous meeting so it's harder to order them so I figure if we shift that up to audio which is still in pretty good use and I buy whatever DVDs I can find it should be enough budget to cover that and I can still take out DVDs oh yeah it's just that people keep asking us for series that are not going to DDD oh oh because they're not actually making that transition because they're on streaming services and they're just not you're getting it on your television it's opposed to or through your cable network yeah okay and then period periodical is the same and dues and subscriptions is the same and periodicals are still going out and the same yeah and there hasn't been an increase in our dues to sales or anything like that um we're still within it looks like the same amount we paid because of the population yeah I think we're we're still at the same we paid from the FY 26 estimate I got looks about the same to what I paid this year so it should be enough the other the the thing that you might want to discuss is whether I should bump up books audio video and periodicals just because we always have to spend more on those we had talked about it last year when I had put in an enhancement and I didn't prepare an enhancement this year if they might look at that as a well it's not really contractual the books putting books up say like two 1 or 2% from how much does the materials in the town budget cover for the requirements it's about so our requirement I think is around 65 or 67 what like 2/3 yeah I would just I mean I would just bump up to keep that balance the same you're not increasing I mean it is kind of a contract rule because you have to spend that much for certification but you kind of want to keep the Gap yeah of what you're getting from other places the same with the town so that you're not finding at some point to the Gap got huge and I really need to bump it up a lot now yeah we want to do it gradually if possible the only comment I would have on this is we're looking at with again going back to the water Bill to have a note somewhere I wouldn't necessarily have it in the budget but have a note that if we're not looking at the well being done that there's going to have to be an I mean you're going to need 4 or 5,000 for the water bill I could put that into this I can work it into the cover letter somehow because otherwise you're looking at a deficit again next year then and when it gets up into the the 800% it really bothers me when it gets over 100% so it's like maybe this needs to be said to the finance committee I imagine it has been before but maybe someone will remember it yeah yeah I can after the paragraph about the 15,000 I'll go to on to a third page and put a blur way well it just concerns me that I mean if you were to put in the water bill what you've spent the past two years because of this that that line item would be bigger than the majority of your line items here well they can see the actuals are written here so they can see the 4,5 to want to see and we need to make them want to see yeah like highlight yeah I'll mention as noted from actuals water has been at least 7 to 800% more than the budget so I can do that all right so I'll try to I'll look at a percentage for the books audio video and periodical to sort of get it up to the 2/3 based on because I think our current for FY 26 we're looking at 69,6 49 to spend on materials to do do you want to approve that with yeah the potential change and then I'll submit it once [Music] I so moved second all right all those in favor I post okay okay thank you so much I know this is like fun to do I I appreciate how Jamie left a lot of the work she did very well in keeping records and doing things like that so it's really been helpful to me and I have to commend her for that sort of record keeping she was very ordered and she always felt that her monthly reports made the year- end reports so much easier to write so there was to do that due diligence it was really good next month I hope to bring you the um annual report so okay so next we will have the policy list review for the tutoring policy so this is a um policy that I found a draft in my folder and also um trace and I looked at some other Library policies so we came up with this so this is up for just looking at and then um voting on at the next meeting if you want to read through it really quick it's a kind of a short one for looks good to me okay so we will vote on this so changes so it was kind of a new okay this is the first time we've seen this because from what I can see the other one was a draft I don't think it had been accepted or reviewed yet I don't know and I could find anything policy manual about tutoring check I I thought we had approved um because tutoring is sort of a it's a a wonderful service and space that we provide but it is is sort of a a unique thing so we're going to approve it um are any changes at our next meeting yes if you want to see any changes just let me know okay work on this all right so now we'll move on to business uh Library Expendable trust funds yes I have questions if if anybody may have answers we try and see how the M back so as you know we've mentioned the saice is an Expendable trust fund and that one in particular is labeled as services and it's primarily for children's services we have several 1 two 3 four five funds that are labeled books and my question is is do we recall if there are any restrictions on these funds I other than the fact that you cannot the it's the interest as opposed to the balance is that what you mean so are there any like Alice wanted money spent on fiction books or Trel books or what I think it was just books in all of these I think it's just books in general okay so that column available budget is similar to saice that is all the money that is is available to spend so w and this is why I am hesitant to okay so what we need to do is there's nothing you don't have any files to talk about any of these I haven't seen any okay so if if we had had files they would have been transferred when we left one building came to the next and I don't know that accounting has any either cuz Todd when I was talking to Todd about it before he left it would have been the treasure I think wouldn't it be well the only place would be normally would beend any minutes when trustees you all approve these yeah but some of these are like I think ancient yeah like might have passed away in the 20s or 30s yeah this is okay gish's Widow and he was the one that went and petitioned car to have the stone building after the friends had raised enough money to do the basement so um this is this is an ancient um there's a nice amount in there though yes very nice carry crane um some of them aren't very much right Mary Pierce is the one that's really 40,000 Judith Pierce and then the savus one is um yeah um the historical records okay so you and I are supposed to meet anyways to do something else be um do you want to do it after you get back yeah we could do that okay so why don't we plan on between the time that you and I I'm going to go back and look at Town reports I'll do all that for you okay and check and see when these things actually the years I mean I'm sure they're in historic records in financial records but at this point they may be in storage yeah and they probably never were online so there was no way easy way to access them so I'm going to check Town reports and go back and find out when these were actually we don't have a start date on any of these there's got to be records of it some yeah I just kind of looked people up to see if there was a connection to an obituary or and then you can't find them because they're not on paper they're not online yeah only one I found was Alice and I'm like oh so this has been a fun for a long time yeah and I mean it's a it's a potential Source instead of state A all the time well I think it's also good for us to to know um what the expectation was of the donut donor or the estate and then make sure that we are actually following it it could be that the fact that it says books was a notation put on by someone else not us right so yeah I will go back and go through the records and find it for you and I remember Todd saying well we could change it to Services yeah we can't if it's the family is you know not that there's a lot of people beating down the our doors to make sure we're using this money correctly the fact that we've just let it sit yeah is you know and I worry about how it looks if I'm going to ask for more money and we have money sitting here that we could probably access that has always been used against us even if it's a portion of it based on you know there's got to be sometimes you can't the capital amount like in the savis thing we could not touch that until it reached a certain level of of of value and then we could take the interest from that but we couldn't ever touch the original deposit I did have a report I didn't include it here I have to find it it's a report of what is the um intent well what is in the what's supposed to be in the non-expendable non-expendable yeah what the original original amount was yeah principal amount at the time of deposit yeah okay cuz these have all been sort of lumped together I think for a long time so the fact that they're split out is good and all they're giving me is the Expendable part as well I don't they print off the it says original creation does that mean that's from the previous year year I think okay because that's it wouldn't be it's usually it's a round figure could have been $500 it could have been $100 it could have been a th000 yeah so I have that report and I'll bring that to the next meeting okay so I'm going to look at um tell reports let see if I can find out any information usually um people who are writing Town reports who receive a gift would then explain why we were receiving it and if there were any limitations on it okay which might not transfer to the town office Treasures out all right and then I included Teresa's report for you to read through she has there was no December Library leaders in New England um meeting so that will happen um and they're happening on Wednesdays so she'll have that this month okay all right um our 20th anniversary is August 2025 which seems a long way away but we all know we'll be here very fast so what do you have in mind so I've already put in an application to have the gallery with a sort of retro prospective objects that we can put on display or we've done something similar to that at other photos and things yeah so doing that idea again so we've already got that set um I was kicking around some ideas for um potential programs so one of them was Team Trivia where we look at some of the history of the library and the town and use that in some trivia questions does it have to be teen team oh team T trivia yeah so you're going to win no no no but we you we and when we were doing like the different anniversaries of the town and the Library Ruth put together a thing that which is now at the museum that was remember you had questions and there were little pieces of um it up and was an answer there and we had it on some desks because we borrowed desks from the museum for that anniversary Town anniversary type thing um so we do have some stuff with we also did some anniversary of the historic library at one point in time so we we did do exhibits in the library and we have some material so um I will get it to you so that we can look at it between now and then and see if we want to repeat cuz we did some things where we had contests in here too at the 10 year anniversary where people got to either guesstimate or estimate or something like that and um it was a free drawing or something just need something early in the month that's Dynamic enough that people say oh I want to go to the next one maybe the trivia will be and then you know just a general party SL open house um could be on the date actual date you will open or it could be another day I also have the video of the um DVD of the actual Grand ribbon cutting opening oh nice here I have that and we'll have um people coming in and telling us how lovely the grounds look and that the brick walkway is great and yeah all these things that we're working on um collaborative mural on the bulletin board I thought maybe fun and then some sort of Time Capsule maybe that we could put together for opening in a future date sounds good and we have lots of um material this is one of the one probably the one town Department that has more archival stuff than anybody else has on the history we could put a water bill in it that big one the $1,900 one makes out the mural yeah mural we have also I have my still have my birthday cake pin that Ruth made all of us I think I found one of those the other day she made um a fabric for fifth anniversary it was a fifth one yeah and we all wore them yeah so I think this one the 20th anniversary is a good time to make a a small big deal but the 25th anniversary is going to be one we want to make a big big deal on oh okay quarter of a century it's only fifth fast these days don't they okay so um I have a lot of material okay so I will get my stuff together so when you come back we will look at what we've got all the different stuff and I can just keep putting this on the agenda as like a quick update at one point I think maybe it was the 10th we did a timeline around the gallery with tape and just put you know yes we put all sorts of things like and we also went through all of the different there were times when there were things that were not good that had happened yeah and we actually have um I have letter documentation of some of that so we actually framed those pieces and put them up so we do have and when we were desertified yeah and um there's things like that we also listed the all of the employees of the library from the directors which would we need to update and all of the people who were tech people and um custodians and trustees we listed all of them and what years they serve so we need to kind of continue that okay so that I have all of that sure when we do have a the biggest celebration to invite past Library directors mhm yeah and employees employees employees too so um and trustees there still Gordon Goodfellow was a trustee um Nancy Ry Nancy Ry a love your trustee I mean in since we've moved to this building most of those people are still in existence but the ones that were before um we've lost quite a few people like Pat Thorley was a library trustee um but there's a lot lot of people that have been served over the years so we have a whole listing of that all right so when we meet we can talk about and I'll show you what we've got yeah potential Gallery plans yeah for the exhibit maybe a little bit and we would invite former Library directors to come too so right what kind of budget we want to have for this we can start looking at 40,000 you know some of the Expendable trucks me and also the friends because the friends were a really vital um before we left the historic built library site the friends were very very active in fact at one point in time the COA when Marilyn Mansfield was there and at before there was a new COA um and the library friends got together and they would have antique shows at Asam sit's old cafeteria and um they they work together they would produce certain things and they would split the proceeds this expense and then proceeds as fundraisers so there was always in couple years they had antique shows and then they always had um like people bring in antiques or they were vendors as well as things that you could bid on they had one time I went to a program that was for Morton hospital where they brought an antique specialist in from the cape and everyone brought in there who came was allowed it was like an Antique Road Show yeah um is it possible during this time to do something as a fundraiser usually what it is is when you do that there's you pay a fee like $5 or $10 or whatever the person charges for them to talk about that or you know have have a dinner the town has done that a couple of times over in past history we've done that but um not necessarily friends having a fundraiser something yeah yeah well we mentioned it at the meeting Capital Campaign Committee or or something I mean we did so many different things when we were building the library we had a an auction we had um Touch a Truck touch a touch a truck is always the absolute best fundraiser but we also did on dinners and Dan music at we never made a lot of money at those but it we kept the building project in people's minds right people were talking about this building yeah that's what I'm saying if we do something Dynamic people will pay attention and and possibly I mean August is still going to be August but you get a lot of people who have had a connection to Lakeville since the old library was there who are here for their summer so there's a lot of people who have not been in the the historic Library since it's been renovated and used by the Board of Health by The Building Commissioner and the Conservation Commission they haven't been inside to see what sensitive uh Renovations were done that can be reversed if if they ever decided to not use it as a town office building extension or Annex so there's a lot a lot of stuff like that okay and we still have a lot of Trustees who are still yeah we do present on Earth we do know they all go to heaven okay any so is there any like dates you want me to hold do you remember when the actual no um when when you come back we can talk about it okay that off the top of my head okay right AUD audio proposal still working on getting the review okay so I haven't heard from Tracy yet but um Lori had mentioned it at one of our department heads meetings because they're working on the food pantry at the CA and I thought that might be a good place for you know we collect food we send it over there she she thanked us for that proposal but I still haven't heard from Tracy about whether or not the select board has to get involved with this cuz it's re less less Revenue physical Revenue yes and we don't see that in it it goes into the general pot yeah well you know years ago that um the money from I'm trying to remember which thing used to come to live dog LIC dog licenses came to the LI they all said what that doesn't make any sense so they changed it at some point so they taught all the dogs how to read yeah and it made more sense we had reading ey dogs well we have read to a dog now there you go are you talking about food for fines year round or just for December but monthly period whenever makes sense okay my only suggestion would be cuz I know when we used to do it everyone thinks of the food pantry in December and November but nobody thinks of them in June or July and people still eat and people still eat yeah I wouldbe for the summer mon or whatever support Tracy's memory about yeah whether Trac there I think she's through October I want to oh okay so it's not the end of this month or anything okay it's before I know she told me that the recent holiday employee party was her last so she's going to be going before December okay so I have a question about legislative breakfast on the 7th of March yes do you need any food um norfol is paying for it the friends of the norfol public library are going they don't need any donations okay good well they they did ask we have asked for donations but it's not it's not um muffins they would prefer money well we're doing more promotional items like Post-its and folders and pens for the legislators so because the friends of Norfolk are taking care of the food and we have some money left over from last year so we've kind of been just if you wish to donate but you don't need food no you know you need fun oh and you know what I got I have to bring in excuse me for a second having fun please pause this is where Lake Camp can play some soothing elevator music with the old station break we could sing We have had had no calls for snow I mean so I want to say knock on wood things have been do you have one no did you get I don't think we did sent them out oh I haven't opened that envelope yet so that's the legislative agenda is on the back or the budget request is on the back so their legislative agenda is linked in the QR code okay 22 million libraries Lo this is our grant where our grant comes out of that okay all right okay so our next meeting before we do that could I just make one uh comment um when we get to January and February this is when we usually get snow so one of the things that we've always done is that the the um director and the chair would kind of figure out whether or not we were going to leave early if we have an icy situation or or snow um storm blizzard coming or something like that so we're still doing that we the two of you will be discussing the chair and the director would discuss this but we also look at what's happening with the town so sometimes the town will close early so that we would also close early but because they are not open on Saturdays that we need to remember that you need to talk about that just a reminder because we have had a mild winter last year and right now nothing really much is happening but in case we do get like the ice is the big thing the big big ice storm we want everybody to be safe okay and you will need to designate someone to take over that when you're away yes okay so would have you done a designation yet no okay if you would let us know that would be good so we know who the contact person is cuz we have I remember one year where we had like five snowstorms in 5 days and it was like the end of January 2015 it was it was like that yeah it was really weird one storm after another after another and who knows the weather has been mild in the fall and it's been really cold so it's like who knows what's going to happen with the weather yeah I mean the best choice would probably be Teresa for yeah for everything so as long as we know who the point person is and she knows who the chair is to talk to want to make sure I had on my phone list okay all right so next meeting the third Wednesday is the 19th or is there any sales stuff going on on that do we usually do the fourth or the third we usually do the fourth I think okay then that's the 26 26 well this is the third that we did this we did this to I mean it would have been we did the third because of holidays right right and CU Jennifer's going away because of the budget budget I had yeah which is do at the end of the week and then I think 26 is that good for everybody okay so we're going to go back to Wednesdays a Wednesday fine with me Monday is fine with me oh Wednesday would be better okay so the 26th which is the library Board of Trustees at 9:00 yeah if we need to change it it's just you can let us know we have plenty of time or if anybody needs to change for any reason okay I we just need to make sure we have that 48 hour yes unless they send an email and say got it in did you get any feedback um on the um the winter event the um snowman any in terms of anything because the on the 7th of February there's going to be a meeting at 10:00 10 to 11: just most people came in and said how lovely it was and I just want know if there was any feedback from the I didn't hear any particular feedback about their Jubilee event where they came on the 14th um I know it was hard to hear but now that they have an audio system should be better I don't think the audio system was operational at the time um I've just heard people say that they really enjoy looking at the snowmen they were kot through we liked yours well thank you we liked yours CH but it's mostly was just you know people coming in and saying how nice it was and asking who did it if it was us and we said no it was a fundraiser and so for the and then they got a matching fund so they had a lot of money to give to the animal shelter that was now are they into the animal shelter again or is it something I don't know I think that's what the media is on the 7th so I'm going to be attending that meeting okay and if you have anything that comes up between now and the 7th of February before you leave or anything just let me know shot me an email yeah I don't I don't there was no problem with where they place them I didn't nobody seemed to be in danger when they were walking around them although we always worry about the giant pits as long as they're not snow covered you can pretty much plan on not walking into one so if you back up but well
