attention to our new format on our agenda and you'll notice that we have a um comment at the bottom that the town clerk office sent us an an email about and requested that we um keep put this on our agenda at all times now okay you'll also notice on the agenda that up on um up by number two underneath open meeting law reminder it says this is a recorded meeting and we've been asked to always make a note of that and announce that to the public at the beginning of the meeting correct so and that's where all and where all of this came to and then they added a little bit more in at the top about the zoom and the details there okay so we are I think keeping the clerk's office very happy thank you Liz for doing that so okay announcements from the board members any I have an I have an announcement you do well announce it yes on Saturday at the Christmas bazaar the tread committee had their own table and we were lucky enough to have several members from the tread committee help out that day and several members from this board helped out that day and we had five raffle baskets that had been donated and we made $175 on Raffles and a total of $652 so the rest of the money went to from the bird houses and the little toys and the donations and one of the things that I saw happening was the little square note cards that um Amy had put together with a QR code people were picking them up and taking them and some people asked me what that QR code meant and so we explained hopefully more donations will come because of that and um I think everybody got along well and everything went fairly smooth it was really it was a great event I thought I and I noticed people would come by and they'd you know be kind of looking and if you spoke to them and said you know this is the tread table you know this do do you know what the tread program is and they'll say most of them said no and so it was a perfect opportunity to educate them yeah and they listened pictures look at the picture and they paid attention oh what a great picture my God AR we silly so yes it was it was a wonderful thing and it was a wonderful thing to witness because people were and then they reach in a couple of times you know we had a little basket for the cash donations and whatever and if they weren't interested the cars the little toy cars they went David oh my gosh those cars were so cute they were oh they were the little ones you know that were only like an inch and a half or two Ines were a dollar and the middle sized one was $2 and then the bigger biggest ones were three I mean what can you get a handmade they were beautifully because and the kids the little kids would come up and play where they could find so then the mom had to buy one you know because the kids were playing with them it was a wonderful a wonderful thing it really was in Anita strong armed Jim rero oh I wasn't there for that I just the last bird house yes what happened the only bribe was I will buy it as as long as you take a picture of all of you with me and the thing was he came over and he said what is tread yes I said let me explain and Jo Joe Ox is there and he said yes we need some time with you and then he said well that's really nice and I said well you could really help by buying a bird house and he did and he did he did that was It's a Wonderful event yeah yes I had a a funny P not the person wasn't funny but a funny incident a lady came up and she was trying to read our t-shirts but which said tax relief but tax was sort of around the corner so she reads it as relief for the elderly and disabled so she says to me how do you give relief to the when I told her what it really was she was interested in hearing but she said I really thought you were going to give me some relief if she could figure that out let to let us know right and early in the afternoon this little girl came over she must have been in high school and she walked over and she put $10 in the box and I said thank you so much and she said I've been reading your note on the ceiling and on the wall and she said that's a really good thing to do for people that was yes and I just and show KN says there are some golden people in this world at all ages just perfect the way you know all ages yeah it was a wonderful fair I thought you know it was um there was quite a crowd consistent crowd it was consistent yeah that was it was one man bought a bird house in the morning and had his son with him and his daughter came up and he said look what I bought for you guys for to take home and you could see the look on on her face she wasn't happy that cuz the boy was carrying it in the afternoon the father came back he came back oh did he and he said I need to buy another bird he bought another bird house for his daughter well so he must have got grief when he got home was cute NE stories from the so I have $652 to send over to Liz all right wow look at my goodness it's buling I like it it's bul around the table gosh thank you well thank you to Anita and to sue everybody board members the team the tread team it's um wonderful and I think we should lesson learn that's a great way to get the word out you know people really really listen I that was amazing to me you know if if you kind of they stood and listened they would stand there tell if you didn't say something you could see them reading and they would keep walking so you had to I felt compelled to speak to them to try to you know engage them somehow that was good so it was fun it was fun I liked it a lot okay okay another announcement I'm done only the U there's two of the food pantry boxes one at the Baptist Church and one out here in the courtyard they both need some help they both need need some filling with food that you can save no produce no meat no Frozen no perishable no perish that's what I couldn't think of the word no perishables but they both need it great thank you anyone else well I have a couple one I'd like to extend extreme thanks to the Rotary Club for that wonderful um friendsgiving event they put on I've heard wonderful stories I unfortunately had an appointment and I couldn't make it myself but people were wonderful and kind and oh my gole what I missed you know later on yeah it was over the top it was an O I heard food was fabulous and they they had a wonderful hand out a gift for people and so thank you Rotary Club you bet and rotary club's been great supporting our seniors and the tread program they supported that in the they did so yeah and and there weren't complaints about the food I was helping helping with the food I had green beans green beans but I didn't hear any complaints it's the first time I've ever done one of those that nobody has complained exactly the only the only complaint and it wasn't really a complaint was poor Claire with the seafood oh yeah and yeah isn't she allergic to se she's allergic to everything practically but they sent she had her own little seat with she and her husband and then the people we were able to give them but that was not a complaint that was just if I'd known the menu I might not have yeah it was I've heard great wonderful things about it so oh the food was fantastic it was really good the portions were yeah we're using that caterer again for an event in January nice great great we'll be there so and before I forget also I just want to say happy holidays to all of you and to all of our viewers and please extend it to the staff yes and to you people and to all of you to so we have a I hope a very not a very involved long meeting today too so that everybody can get a little break it's been a lot going on really a lot happening between the events and that are going on in this our four rooms here which are soon going to be many more rooms yes I I can't believe that we are entering the New Year where we're going to be having an expanded area for seniors yes yes um looking forward to 2025 from that perspective that's for sure truly okay finally any other announcements all right I jumped the gun and already we've done number three on the um on the agenda but I will go back and just call attention to the fact that we are missing only one board member today Joe Knox isn't feeling well and we hope that he feels better soon mhm we have a quorum we welcome Alicia and always Liz here we don't have anyone from the friends here that I see Sandra sent an email she couldn't make it she couldn't make it well that's unfortunate their December meeting is also cancelled oh that was to be tomorrow tomorrow yeah your craft class right yes tomorrow during craft class yeah okay and I now we have a new for the our audience um we do have a notation on our agenda that this is a recorded meeting and I'm going I want to verbally just let people know that we've been asked by the clerk's office to make sure everyone knows that this is a recorded meeting so I'm doing my job so okay next on the agenda if we have no more announcements is um our minutes from the November 4th meeting and you have a copy of them the procedure that we've been using is that Sue writes them up she will send them to me I usually sit down and watch a tape of the meeting the tape of the meeting and with a copy of what Sue sends me to make sure you know to go over the minutes I send them back to her and then you know we if we sometimes I I do some of these simple stenography editing I'll send it back to her and then we move on so let us know where you are I don't think there are any corrections but then again I'm not perfect I make mistakes so we're human we are all human as my daughter used to say pobody's nerfect pobody's Nerf that's cute Okay I uh move to approve the minutes as read by second thank you we have won the basket I'm like I wonder if that's Mary that's interesting though oh my gosh yeah very h I noticed that when I was looking at the minutes I'm like right okay all right oh I understand it's really me a small world yeah okay so we are bypassing skipping over the friends report we have no one here today that moves us right up to the director's report and L's got it already up there yep trying to be efficient here okay it's always starting with our statistics um for the first first time ever we had three months in a row where our event signin have been a thousand plus we just barely squeaked by in November but that wasn't even short month that's true we had couple holidays in their Veterans Day to Thanksgiving but we also know that not everyone who comes to event always signs in or checks in or yep so it could always be higher um so really proud of that thank you to the staff who make all of these wonderful things happen um 180 rides were given uh Outreach um again very busy I just want to give a congratulations to Alicia because she just finished open enrollments oh December 7th done you get my message maybe she didn't no from um when I was talking to Megan I said tell tell Alicia yes yes yeah so do you know how many open enrollment appointments you had yeah I was gonna so I do want me to tell you now sure come up to the microphone if you don't mind so people at home are people listening can hear you yeah thank you um I did I I did a little kind of brief just look at the whole open enrollment period which of course is October 15th it's a long time s yeah and so it looked like I had done about 30 visits in October um since the 15th on 47 in November and then that first week of December I talked to 23 trying to make sure everybody got what they needed before that deadline so that was just CRA buted mon yeah I really wanted to say I appreciate everybody's help and and patience and I know there was a lot of need Beyond um you know open enrollment but and a lot of things sort of went to the back burner for a little while that could um and so now I'm ready to catch up with everybody but um I appreciate everybody's help it was a great open enrollment did you want to tell the funny story about the woman who offered you oh I had um yes I had a resident call up and she needed help for her mother and her mother's plan and it was last week I think Thursday or Wednesday and I happened to have the time and I said yep let's do this's figure it all out I said but I'm going to have to call and get her information so I'm going to need her her social and you know her date of birth she said you can have anything you want you can have my soul you my husband you can have everything but not my Scotch right then and there we became best friends the priority she was wonderful and she came in the next day oh my gosh that's wonderful it was great love those stor so funny funny funny funny take deep breath oh wow yes I thought of you many times oh and it is so confusing I was trying to figure out my own situation because you just get bombarded all the time about yeah I'm always here for reminders or double checks or we so lucky to have you I mean right here you know how easy is that I've heard you are a brain person when it comes to this stuff you're really good I've heard cuz it's so confusing it is very confusing easy no TR my best to simplify it but some people walk out with their heads spinning and you know but thank you everybody happy holidays well thank you thank you all right so I have a couple more things on my director's report we just finished up the um first session go round of the senior tax workof program and Veterans tax workof program so this was July to November 30th um so in that time frame for the senior tax workof program we logged and entered in the town benefited from 4,427 hours of work which was $66,500 kept going and going and going I'm like wow that's why she said she was so busy it was a busy week entering them all in Veterans as well so the veterans tax workof program and you can do both programs so you can get the full 100 hours in senior tax and you can do the full 100 hours for vet you can do both and still be eligible for other exemptions right so they really want to um give veterans as many benefits as possible so veterans logged 315 hours for $4,725 and I noticed I got the whole list of the abatements that exemptions and it's much bigger than it was last year so I think something that we're saying about exemptions and putting it in the broadcaster and everything something's working cuz the numbers were bigger this year yeah so it's helped that it was an election year that's where we mostly worked all the early voting hours that's true that's true yeah it's an election year so it was quite busy convenient to get your hours done yes that's right CU it is tricky to find spot yep yeah find work all right so next on my list I had to submit my budget for our department let me see if I can share screens and just give you a little idea what things are shaping up to look like get there um so the directive was this year that we had to do level funded budgets so no increases um from the prior year before um well not no increases but no um additions that was the recommendation suggestion to all of us from town administrator's office um still the budget I submitted was 24% increased over last year um just based solely on inflation and things what they're actually going to cost so calculating in the um like for our meal site for the food we purchase for different things um there was a USDA food inflation index of 3% so increasing our food costs um our cross town connect fee alone tripled in price um so we put an additional 10,000 in the operating budget and I'll take other 10,000 bless you from the state formula grant which is an allowable expense um this is just operating being um expenses not salaries that I'm showing you right now so all of that added up to be a 24% increase in our operating budget minus the salary but in an effort to um bring the cost down some more we're looking at alternate options for our mental health um referral service program so right now we use William James interface program which is well it used to be the sole um um largest expense in our budget used to be the most expensive thing the cost is going down this year coming up for FY 26 based on the usage um going down because the schools now have their own separate referral system but in addition to that Amy and I have been exploring other um Mental Health Service referral sources and we're looking at the one that the school uses and it is um I would say the interface is better um you more user friendly and it is a huge cost saving so if we do switch to that um our actual budget increase will be just 2.8% over last year for office expenses um rather than the 24% so we're looking at doing that um but huge drop our um contract years for our Mental Health Service starts in February uh so it's kind of this weird no man's land between between when our budget starts in July one so that's where the budget is right now and again our overall budget is like 2.6% of the town's overall budget we're just a teeny tiny pie slice yeah I guess you are but I always like to say at all of our budget meetings that we have I think probably one of the bigger impacts for the tiny tiny cost you know that we ask of the town I would say we are worth it um so in January I'll be going to finance committee and select board to present the the full budget this is just um my worksheet here this isn't the absolute final but that's where we stand for the budget is there any need do you think for um the board to write a letter or be at one of those meetings to Express how much you do for as so little that you have and sort of ask for more at this time no I'm not asking for an additional staff person I'm not asking for um an additional line item to be added with the I was telling I had to meet with the town administrator assistant Town Administrator and the whole like the finance team here to go review this initially I said this is probably the hardest but budget I've ever done because we're going to be moving right yeah right before July 1 and I don't know what I don't know for the new building yet right and I have done my best to predict the increases but I wasn't about to go in and say you the average unnown you don't know the average increase in participation is 30 to 40% based on other senior centers I can't go in on to the budget and saying I I need a 30% increase across the board a 40% increase because I just don't know yet so I think we're going to the plan is to live in it for FY 26 see what's needed and if we need more staff if we need more um additional line items or any particular budget program increases then I will come to the board asking for help for advocacy but yeah this was this was challenging don't know what I don't know right and you can't you can't you really can't so but you know as I reflect back it's but as long as they understand oh they have to that you know later on you might have a want say in October or November there may be a a want that you didn't expect and they didn't expect yeah you don't know no it's going to be awkward you know that's but exciting very exciting you know I think I I started to say you ref like back when I became involved it was like 201 or 12 and there were three staff people in this department in the Elder and human services department and they weren't even full-time no right three full-time people wow and if you think now to where this department is with the number of staff and such a short really short period of time and the amount of people that were helping day the numbers of contacts and they we know that's going to increase on people get AR coming in the back doors to events all the time you so it's just amazing to me and I think people have to realize that too and I'm sure the finance committee and other people will when they see the numbers that will be coming up we do have this you know secret Advantage where we have the huge senior tax workof program so if we need anything we have this huge pool of people that we can call on to kind of bridge the gap to fill in what we need in the meantime so I'm going to rely heavily on that as we transition um and you know what we have an amazing Town yeah we have just amazing support of people and I this is a little off but I was in Liz's office just today and this woman walked in and said are you still selling leaves for the senior center and yes I mean there's a tree for people that don't know going to be in the on the wall in the lobby put up by the friends and people can buy leaves for the tree and so it's just amazing to me that people are supporting and helping out too yeah we do have a wonderful time we do we do one critique I have on the tax senior right program is that um people who sign up for it their hours all have to be completed by the end of March and then it doesn't start until July that's true so your volunteerism from March to July could be lacking right unless I know a lot of seniors they continued their work regardless because they love they love what they do I do but that program is very limiting in the months that you can work it in y working on that the timeline changed and it wasn't my favorite thing that happened and I'm trying to see if we can alter it back or come up with some way where we're we're crossing years but we're staying in the calendar year it's very right yeah it's tricky at the end because you're crossing over but um yeah I hear that so often and I share that sentiment fully I don't like it um but if you are a critical employee if you are or a senior tax worker who has a critical position like running our blood pressure Clinic doing Meals on Wheels senior Diner work um elections things that absolutely need to be done we to come talk to me and I'll put you in a special category where you can do your hours in that no man's land right that's a good point though Jean yeah it is fully agree it's true I've worked that program myself in the past so it is interesting yeah yep if you are a board member you can participate can I participate in the COA I I can't it's the one thing yeah I'm like I can't help you I'm sorry no CU I I was I was doing it and then remember because I was yeah and they said oh but I can volunteer right yes but yeah okay but you can't for this right you can't work in earn the money as as a board member in the department of EHS when I get I work in the finance but I love the craft class we don't get anything for running a program either you can't be involved no so you don't get any money for doing that it's just being a volunteer and loving what we do right Sue yes yes and we will have another one tomorrow yes yeah but you're not doing January Laura is doing J I think Megan is working on getting Laura to come yeah does she have something planned already yes I think so I just want to confirm that you're not doing Jan I'm not doing January no she's taking a week a month off good all all of us need a month off that's true you need well it takes a lot to get a class prepared oh yeah you know go over everything okay so one last thing on my list speaking of Megan she gave me a list of things upcoming for January and then sneak peeks for the future so upcoming in January um we're doing a trip to the American Heritage Museum nice that was I asked about doing we have a welcome 2025 New Year celebration golden age of kuners where we're going to have hot appetizers and music performance and this a nice time to welcome the new year um Storyteller Todd Goodwin is coming back um Henry quinland favorite stories for 50 years in publishing we're having the RMV come in and do um a workshop on how to get a disability placard for your car how to get a what disability placard and then um Megan is holding a book club interest meeting Megan is a voracious reader and wants nice wants to connect with people she was sharing at that um at the you were at the breakfast with Meg last week it was that was a great event oh my gosh yeah I mean ideas were just yeah they flowing flowing yeah she she has a full list full notebook yeah um so upcoming later in the uh winter spring we have more things on fraud and scam workshops lunch and learns decluttering and downsizing another trip up to Parker's Maple bar house tour and breakfast um history of country classic country music um St Patrick's Day dinner with Irish Step dancers and um and we are pushing Megan oh yes Megan we are pushing her yes as a step dancer I said if you're going to if you took it all your life you're going to be dancing out think that would be cool she has a little bit about Irish in HT just a little bit just a little bit yeah wow and that's it from me that's L thank you that's a lot a lot yeah very much a lot and Alicia do you have anything else that you need to share with us that you want to share with us come I'll come up okay I should have just said this before but the other thing I just did write down was um that our holiday delivery from loes and fishes Pantry will be on December 19th and I just want to remind people that there is still time to get on that list if you're um unable to get to The Pantry yourself we can potentially help you um and then fuel assistance um heat assistance still in full effect until April I who needs help with that we're here that it thank you thanks continues to be amazing I think you if you look at their numbers in their report and what they do what they accomplish and the the amount of food that you deliver every two weeks that's incredible incredible well I think it was incredible I mean I was telling people you know at the fair that there are 18 I think people that tread is benefiting this year isn't that correct Y and people were saying how does that work you know they said well you know it's very confidential and they people have to apply and there are limitations on income etc etc have to call and get more information you know in that regard but so yeah but and people were amazed they didn't know about this exactly yeah and 18 people's a lot of people a lot of people to help okay I make a move to accept the director's report assistant director's report as given and I'll second oh it need is turn okay any further discussion if not all those in favor of accept accepting the director's report and the assistant director report and no while it was really the um Outreach report too micia today yes yes yes all those in favor yes yes any oppositions I think it's a unanimous vote thank you all okay L your back line again so update on the senior center things happening over there these are happening okay so on the five we look ahead um not sure if I mentioned this last time but permanent power is live in the building so when you drive by at night you can see the lights on um nice and we are hooked up with water as well um coming up let's see kitchen is being worked on the kitchen hood is all installed uh we're awaiting delivery of the duct work reducer to connect that um siding is in progress around the kitchen but most of the the building itself is complete the kitchen has vertical siding to contrast a little bit so it's a little slightly different M um interior priming and painting is in progress upper level and lower level and it looks so good inside it looks so nice um the roof and gutter installation is ongoing the roof above the front door canopy um is being installed U you could see the the framework for the the the canopy the pera pergola yes that's word I'm looking for uh so that looks really nice as well the exterior doors are being installed um I saw the um the front doors were delivered the other day and they are beautiful they are so pretty just the big um natural wood frame the glass it looks so nice um the acoustical ceilings are being installed and those are that um it's like wood decorative kind of like it's linear little slats it looks like and there's acoustic paneling above it to kind of dampen the noise um especially like above the pool tables and different areas around the senior center so that's being installed and the elevator work is ongoing um last week we did make a decision about uh the sidewalks in the The Patio area by The Botch Court that's up on the shatak street side it was originally going to be done last week and the week before but there was a delay with the roofers so it got pushed out and now we're in Frost time um so we made the decision that we'll put it off till the spring because we don't want any he heing cracks especially when it's going to be the nice we're going to spend a lot of time out there don't want to have to do it twice so that'll be done in the spring of 2025 instead well that's it haven't been too many changes that we've been aware of of anyway that occurred in the whole progress so I guess we can count our blessings Yes actually it was well planned out it very well planned out yeah Al uh toi the construction superintendent over there is just incredible he is meticulous with everything he does is there a projected finish date it's still March 11th March 11th March 11th they are still on site till mid April to do the Landscaping um in line striping and I think this includes now the um concrete for the upper sidewalk and upper Bachi court but yeah still on track for March 11th you will be in there on the 11th no I won't be in there no I might be walking around by myself with maybe the staff move boxes is that like the ribbon cutting date or something like that the 11 do we know I don't think so let's let's landcape it and make it look pretty yeah and then do some ribbon cutting that's okay I said I'll say this many times in the next few weeks it's a wonderful opportunity when you're thinking about a new year coming to have this happening in the New Year this is just a wonderful New Year to have at 2025 with our building being you know done and will get into it sometime during the year right will you be able to have a period with your department to be closed for the move have you talked about that a little bit that's going to be it's going to be tricky with Outreach so we might um that's hard I haven't come up with a plan for it yet but I'm thinking of it because we had anticipated a twoe window to the move to the library and that got extended to almost four weeks oh my goodness so total closure um yes service to the public yeah time so give you what I'm saying is give yourself time to move correctly and set up correctly right right I'm envisioning may but we'll see you never know what can happen between now and then and you can work out of here while you're setting up over there figuring out what goes where and what makes sense to have an office and with two Outreach people you can kind of have one in each place if you needed to you know yeah there's all kind to help with the move over there and stay here and do phones and well let's face it there's not a lot that has to be moved from this building over there because we don't have much space here anyway right no it's just the office yeah seven plus years of records and right right just setting it all up for use for the public when you open it's ready to go but that's exciting that we are even at that point we can talk about things like that so I find that exciting and it's just like a Wonder to me that so it's happening in this wonderful year of 2025 it's coming you got the questions for is okay good all right moving on to new business board member update anyone have board member update you want to ask now Liz about yes Liz did you call minute man yet for me I did not I don't think well I was telling her though with this time of year is a difficult time to do that I would didn't sound so good there's laughter out there y They're laughing okay they're not crying so that I would think you'd have to wait until the first of the year actually to have anything and don't anticipate anything until until January that's what I would suggest this is I know Su wants January to be her last meeting oh well it can be right still can be that's okay because it it can be if your last meeting it can be be fine and because yeah I don't see that being a problem okay do you at all yeah I don't either okay there's some towns who don't even have a representative correct there's quite a few towns that don't have yeah likey they have lon's been pretty reliable regular as far as what is this in relation to I'm sorry Minute Man uh oh minute man um the local Aging Services access points yeah the minute man and Meals on Wheels people and and you know supporting all of that and everything else so but they their meetings are held in Burlington now burlingon yeah they used to be in Bedford but you have yeah and are they on Zoom yeah yes they're hyrid still on zoom on hybrid both I've gone to the meetings when they went bed a couple and they tried the last two months to want to change to make it all in person and I kept screaming about it because because the towns that they don't have somebody from in in addition to others but is Harvard Littleton boxboro they're Stow they're all the outliers we're we're a lot further west than they think we are and I said you know it's just impossible for people to make that trip for 9 for 95 in the morning to ear with that traffic no no that's a nightmare yeah right yes were we were there this morning but that it's you know it so they've sort of dropped the push and they're they do it hybd they're set up to do it it's not like it's a problem I don't but I don't see a problem with you saying January is your last month at all okay okay yep I have another thing but I don't know if this is the right time to bring it up um a couple of people have hit me up and said would you please ask the board why they haven't brought back the they used to meet Monday mornings Social Club the social club yeah that's more of an operation decision yeah space all of that I just yeah yeah it's it's in the plans for okay moving but not until we have a more right that's a whole different space different type of program too yeah yeah yeah okay I just was it requires different staff we can't increase our budget right now and year but certainly for that yeah it's a great benefit to the town I'd love to bring it back just okay but I was asked to to bring it up but tell them it's in the in the future it's not forgotten I keep saying well it wouldn't be before we had were in the senior center anyway yeah that was just no that's a whole that's a whole another whole entity over um oh I talking about programming and you know everything it's a huge I know because they used to me across the hall when I volunteered at the thrift shop so I I knew you know a lot of what went on yeah but but I so it's on it's in the plan that's what just tell them it's in the plan but it's going to be a while because of the new building and the move and and U budget yeah well I just said it wouldn't be before we were in the new building any for sure and it's not going to be quick once we get in there either no he'll be down the road unfortunately but especially where we can't increase the budget right now you cuz it's a that's a skilled program Y what was the social club I'm sorry it was um a a program for people with demena and adult day like a social model of adult day Health strictly social no medical no handson but people that really needed oh and you need somebody that has we were dancing social no I couldn't figure that out why they did why they called it the social it's a different skill level for the person that's running it too with the people and they had a fantastic person running it until Marie Marie Marie was so good at it too oh she was fabulous with them she was so but but thanks for bringing that up it's a good point thank you yes for clarifying it too yeah and educating people to yes yeah yeah whereas anyone else us something over there um probably I do she's got to have something from an affordable housing trust uh from affordable housing trust I do um the property on to hadan um at our last meeting which was the 19th of November it was stated that the sale of that property from the town to Habit tap for Humanity will take place in December well we'll see DEC um because they were still having some um negotiations over the wording of the contract and all of that but that's at least it's in the process and then there um there's a very detailed it's being called a grant agreement for what habitat will do um with what they propos to do with the property so it's out there um well you know we'll see um the um grant for the um small repairs for seniors does it have a name must have a name nothing catchy yet nothing catchy well okay catch so the nothing catchy Grant um the nothing catchy grant that is the um 75 $7500 to seniors to make repairs critical repairs in their homes that is all in the process of getting Flyers written and the application process written it's all going to be vetted by EHS so um that's underway way it's a um the money from the state has not obviously been received yet so it probably won't it obviously will not happen it's going to take a little time yeah until you know January but it's all in the process of working on the uh behind the scenes part of it uh jerky Farmhouse they um did have a site visit from an an historical expert to look at the house to see if the house had any historical um value and we're waiting for a report back on that and uh the trust trust will probably apply for some kind of a grant um for a Technical and feasibility study on the house and the barn and the chunk of property um it's the it's extremely complicated um especially since it was a donation to the trust so they own it and it's more complicated to figure fure out what to do with it um it's a a bigger project um I think that's all from affordable housing trust um well Mark Rucker has been doing a lot writing grants for that trust right oh he has been yeah I thought so right he's been doing a lot um a lot of work in that regard um and uh minum and Senior Services um I was supposed to and I read my notes the other day and realized I didn't do it but I will be sending out to everybody on the board a link um to for advocacy for the older Americans act um that's a federal program and it will be supposedly I haven't looked at it I apologize it's a very easy place to just click and let you send an an email message to your legisl legislators um and the same way uh not right away but pretty soon for the state budget too so I will be looking that up and seeing what the link is and getting out getting it out to everybody um and I think that's about it thank you thank you anyone else oh I have one little just one little comment I wanted to just educate the people too that um that we received a um a message from the select board chair Mark Rucker about a um there a committee for the exploration um regarding tax relief for seniors no for scratch that I'm I'm that's one of the groups that come the email so I'm sorry about that but it just came out from Mark and it says board chairs I wanted to thank everyone for serving on various boards throughout the town your support and dedication are greatly appreciated and make this town the Vibrant Community that it is during my time on the select board we have talked about having committees appear before the select board to give us an update on what you have been working on I would like to invite any board or committee who wishes to present something to the board to come to a future select board meeting this will be your opportunity to give us and the community updates on what you are hoping to accomplish and what the select board can do to help you accomplish those goals if your committee is interested in appearing at a select board meeting please reach out to me and Lisa and we have the email addresses and we can coordinate a time in schedule and schedule and if there are any budgetary requests Etc thank you for all you do please reach out if there is anything we can do for you wishing everyone a great holiday season and I just wanted the board to realize that's happening I Liz and Anita and I talked about this when we had met to put the agenda together and we feel that we go to the select board whenever we need them and we have a pretty good relationship and so I we don't need to ask for a special we have nothing special right now to go to them about but we're not uncomfortable about doing that either whenever we need to not you Mar so I just wanted you to know though it's going on and that's where we I think we all agreed and I just want did not want to let you all know about it and hope that you feel the same way and just I will write I'm going to respond if if you will will support me in doing that and just thank him you know and recognize that we re this and that we will continue certainly to come to the select Boog when we have a need yes it was very nice of him to reach out it was nice so I just wanted to get that out there can I make another comment sure out of context that just blew into my head um I would like to thank the um count administrator and the facilities manager for how quickly they got on the situation and got a light installed oh yes down in our patio area where it was very very dark and hard for people to see coming and going and that was the night of the Thanksgiving Bingo the Thanksgiving Bingo and um you're right it it's important that we get that lit up so that no injuries happen and it's a shame that an injury had to happen before this was looked at but um I think they responded very quickly and I as a member of the board appreciates that I do too I second that I think we all do we're all grateful and it was indeed an unfortunate thing and you know and it happened right soon after the change you know we have so many long daylight hours and we don't have a lot of night activities and so it was just it just was we were fortunate y very fortunate yes no one was really badly injured so grateful for that thank you I'm glad you brought that up okay they headed in the proper direction out there they're flood lights I no but I meant if the you know you see people it says stop do not enter you know how many people are going up no I'm not talking about the driveway I'm talking the Pao the patio itself because it's so it wasn't there were no lights the night of that Bingo and it was pitch dark well was pitch dark when Amy has her caregivers meeting there too won't be anymore no no they've got lights they've got all kinds of Lights now so good I'm just thanking them for doing that so quickly they it did it was done or like almost overnight I think it oh that's great we have we now have a facilities manager well yep so who's because George it was impossible for him to get everything done yeah okay I want to move on cuz I'm watching the clock so okay any other updates though all right now let's see if we can finally get these board rules and regulations completed do that that's why I want to move on yes where are they where are they it I sent out to you um Sue and I have been talking about this quite a bit over in the past few weeks and so um we decided to put together the update and actually date it today because we are in anticipating that we are going to be voting and approving everything so Su got her fingers crossed over there so we made an assumption to across too yes well we made an assumption and actually Sue I want to I have to admit to you um the first she had did not have a um a computer copy of the rules and rs in her computer I now she does now and I sent her the copy and the copy do you know I still can't find my copy with the mission and the vision in there but I know I had a paper print out of it I know so but anyway so we had long discussion over that but I I fixed that and I relabeled the document now on the computer so I can find it because I don't know what I do so anyway take a look we made the changes the people we've talked about I need to explain to you I had a couple of chores that I was left with the last meeting and let me just clarify I did not talk to Diane Curry about the handicap parking for town events for like the school because the very next day after our last meeting when I went to vote all the signs were up so handy for the senior parking so there was no need to go to Diane and everything was there so I did notice it I was going to but I wasn't going to call her right before you know election day and then I when I went I'm like oh my goodness all the signs are here and they had put them up so that would takes care of that the other thing was I raised the issue about the M mo mo MOA um between the board of Selectmen and the Council on Aging when I was questioning what that said in regard to the duties of the director as far as the minutes of the meeting and so I looked and you all have this in your manuals this document probably might down the road need to be redone because this was dated March 11th 2013 and this came into a effect when this board's responsibilities was changed and it no longer was a supervisory board but in The Advisory Board and that's when these the mo this Moa was put together and written now if you look at it I think it's over on um the second page it says down under one number one C it's ensure the director it's talking about the director um responsibilities and it says that the director shall also Ensure the C that COA meeting notices and meeting minutes are filed with the town clerk it doesn't give a time frame so we're fine nothing has to be changed there there's no no conflict Liz I think said to us that we she would like to have a week after and I don't Liz can delegate it only says that she's going to ensure that this gets done she can give it to sue Raymond or she can give it to any of us she can give it to a board member M to actually do that and submit the minutes once they're approved like today's minutes MH and she had asked that it say a week after the me minutes are approved within a week after the minutes are approved then they will be submitted to the clerk's office or to wherever they have to get submitted to be posted they get posted Yep they're not submitted to the clerk's office actually you actually do the posting right you yeah so so we changed Su change the wording right right mhm in the in the rules and rs you want to read what it says now and then we can cuz that was I think the only other thing that we had a question about the well um the things that we changed in this copy and Marilyn just caught a a typo over here on 3.2 so I fix that I'll fix that in but that's okay um we had talked we on Art in article three under membership we've um shortened up that um ideas for the um ameritus ameritus situation and those were the ones that we've talked about the last time and the time before so there's no change there right in Article Five um the council me meetings we we shortened up 5.1 with the ideas of it's always on the second Monday unless unless you know and we basically we said unless we change the date I mean that's sort of what we said what we agreed on um and then in article this is the one about the minutes article six um on 6 S I guess it was the director the director of Elder and Human Services shall ensure that approved minutes are submitted to the clown Town Clerk and I added in there within one week because I think Liz had said that but the mo MOA just says they have to be submitted nobody no that's Diane wants it within a week within one week okay so those those are the only um and from the past can I ask a question now yes submitted to town clerk within a week right but you they're posted they're posted they don't go to Diane no I didn't C catch that when we go to the they will get posted that's all it has to say right I upload them through the website and I don't know if it goes through the town clerk or if it happens just straight through the I don't think it goes to her I just it used to hand Dian used to be before we had all this electronic stuff when I was doing minutes we had to take them physically to the town clerk's office it doesn't work and then she posted them wherever but that's old because now with all the electronic stuff I think this is right y I wouldn't change this because it's it's going to the town clerk it has to go be she's the one that monitors it so I don't think it hurts to have that submitted to her because it is actually she monitors it because she's going to contact us in a year or 6 months if she hasn't seen any minutes back back before this came back oh yeah after our previous the director then left I was notified that none of the minutes had been posted yep and I had to go find them all and take care of it and get yeah it was a it was a lot of work yes so we don't want to have that happen again so yeah but this takes care of it it does it does yeah yeah so I don't see that there's anything what was the typo that's that was in um 3.2 the mission of the of EHS COA is to be the F focal point of all aspects of healthy aging and then we got an to and oh oh yeah an should come out and no and an stays in and to enrich and enhance so this one and one and all you need to come out and a comma comes out yeah I'm I'm going to stick my neck out and say I make a motion to accept the Council on aging's rules and regulations as written on December 9th 20124 I second but there has to be there's a correction first as amend as as amended and actually because you how have a copy other than that one we can just send you we can take the end out yeah send the one page just send the one page or whatever to everybody so they can put this what you're getting today put your holes in it and get it in your manual so you have it yay great so but we haven't voted yet so oh yep we have we moved we moved in then I yes so I um yes but I haven't asked if there's any further discussion no are we ready to go okay we will have the vote now all those in favor I and anyone opposed unanimous vote thank you done deal thank you thank you thank you and we'll just make this one little thank for the typo I typed that in because I added the mission and vision so that was my error but that's right another pair of eyes is always welcome well this is true and actually I I ran the probably put that in the job description for the secretary because she can delegate to anybody and it it would boy are you going to have a lot to do as the secretary yeah but it much easier for her to do it when she leaves a me you know know I wouldn't put it in in as a description though because because if God forbid we lose Liz and the ne and she doesn't the new person doesn't want to have the secretary do it you got to change thing again another vote I think we can all this has to ensure it gets done so this is and if we can take that burden off your shoulders that's except she already did away from pile sometimes it's slow is myass okay so we're done with this we're good right our last item on the agenda is to review the mo MOA with the select board document and that's what I was doing when I didn't go through the whole document but I would encourage you all to make sure you read it it's I don't think we need to we Sue and I looked at it and no you and and I looked at it at when we were writing the agenda and what we decided was very clear it's fine don't change things that aren't messed up leave alone and this is that would be a bigger thing because it would mean getting involved with the select board and the Town Administrator and all of that and we don't need that right now there nothing in is that's a problem leave it alone so that's but double check read it for yourself and if any of you have questions bring them back mhm all right okay just wanted to be sure everybody was clear on that because they're kind of important things yep thank you hey how about comment and I I've been trying to get the word out to people I mentioned it at the fair um I when I was having a medical test this past week I had a weight period for an hour and I was sitting there next to a lady who I found out lived in Littleton and so I kind of met her I this is terrible to say but I forgotten her I never did hear her last name but I know this much about her she moved to Littleton about two and a half three years ago well during Co so I don't know when exactly when but anyway and because she live was on the west coast her daughter is the town planner in conquer is what the town planner in conquer and she moved here to be closer to her daughter and she lives um in a condo on Hannah ddge uh Road right so we can find her I can't remember her first name I think it's Megan or something like that lovely lady but she can't drive because she her vision is poor and she has other problems but she was just a delightful lady and she's I've never seen her down here so and here's an example of another and I said I know somebody else that recently moved to littleon and you know there are people that older people that are moving and it's new and so so if I can remember or I thought I can always call her daughter I spoke to her daughter when I was leaving cuz I was ready to leave ahead of her and her daughter was waiting for her and doing a working on a puzzle crosswood puzzle I mean a table table puzzle so when I walked out I said you know you have a delightful mother Etc so I wouldn't hesitate to call her at her office in conquer and ask her her name so because they just it just struck me there's so many even new older people that are coming and it's hard for an older person with they don't know oh I no so may me think of me too Mary cuz you're fairly new to town so absolutely and I can't say enough once I discovered that this existed and it's helped me tremendously well that's good you're helping us well I Rave about about what we have to off ready I think the new center is going to bring a lot of absolutely seniors living in Littleton active seniors to want to be over there oh I hope so too I think it will too and you know what if what happens has happened in other places where they have built a new building happens here it definitely will be happening the participation has what more than doubled was in other towns when they had new building 30 to 40% typically I'm waiting for that gy I've been waiting for it for a long time okay all right that up a good point though when somebody new moves into town and and especially an elderly person how do we find out how do we find out how do we find out that somebody new has moved in how come remember that there used to be the welcome years years and years ago I I was going to date myself it was a I remember the Welcome Wagon from 197 from the real estate brokers yeah real estate BR real estate but if they're moving in well condo you'd have a real estate progam it it would just seem like there should be a way to get notification or something to find out about especially elderly because then you can be sure they get on the broadcaster mailing list or you know and and have can you link up link up with the Realtors and have a welcome packet whether it be we do have um a welcome folder so if somebody calls us for the first time we have a but we got to find out when they come in how wonder how we can do that have some suggestions about that every year um from the town cleric we get a listing of residents over 60 um but with you know the age of privacy and all of that yeah I don't know how the tacal way to do it is something we'd have to really think on how to tra people down when we had new neighbors move in and it was in the fall the first thing I did was I came down here got a broadcaster went to visit the new neighbors with the broadcaster in hand and gave it to them right but you can do that as an individual neighbor but you can't as a as a the Privacy right yeah it would be interesting to find out how we could how might be I I I'm going to call I'm going to call Diane cro she might have some ideas and thoughts about it because she's you know it's kind of her you know and privacy certainly is she's very the I would think also the assessor's office because they've have the tax well that wouldn't if it's a if it's like people committ in apartments you'd never get that yeah that's true I even rental rental but you would get or like the other thing too you see people moving in with their children yeah you know have know that you were there nobody would have known that kind of a thing might be time to go back to we used to send the broadcaster to every household in Littleton one time a year um instead of just our mailing list so it might be time to revisit that it might might be got too expensive she was she said she got the broadcaster I asked her about that oh so and I don't know her daughter hooked her up I can't remember she I never did hear her last name so and I remember when I left thinking well I I'm not shy I I I would find the town planner I can certainly get her number and you know call her and talk to her yeah if you have a census book the latest census book you can look at the Hanah George and you find look for the first that's the nosy book we call it the nosy book okay oh really yeah I have it next to my phone be a way to but you can find out explore that if you have any idea as long as they're a a voter yeah yeah you have to fill the census thing out whether you're a voter or not and so she put when you get that new census when you see when that's done you can just look up Dodge I will I'll check that out good because you knew the first name so that would well if I saw it I would know it on
