##VIDEO ID:XvZXppZXcLc## the pmbc meeting for Wednesday uh November 13th I'm going to try to share my screen and bring up the agenda where is that can people see the agenda yes yeah okay meeting call to order we have uh two invoices for the warrant I'll bring them up first one is for the uh well that's not the right one can we see this one no the war the agenda is still on how about that there it is yeah okay so this is for the senior center um we have I sent this out I don't know if anyone had a chance to look at it uh we have a number of invoices here uh for a total of uh 2 million 1, 743831 it's already been vetted through um through vertex Steve yes most of it's um commodor for the senior center so two million bucks so motion to approve the warrant article for 2,100,000 2, 174380 so I have a question go ahead um so the it seems uh the invoices for uh 36 King Street were very detailed with a a a line by line detail of uh everything the uh the construction contractor had done uh but but on this invoice I don't I don't see that not that we need it necessarily but I was just wondering why there's that difference right there well answer that if you'd like you want to talk to that Brian yeah no problem so uh the difference Tim is uh the King Street uh is a smaller job design bid build the requisition is about uh eight pages uh the Commodore requisition CM at risk is about 100 to 150 pages and that comes in a separate link because it's hard to download so that gets distributed to the town once we recommend it and go through the whole thing but pretty much the cover sheet is what accompanies the warrant and our invoice packet uh just to on the on because we're unable to email it uh and we don't want to have to print that every time so um yeah it it it's very there's it's very thick um and it breaks it down by each division in trade uh but we do have the link that we can send to you that has all of the backup with it um yeah no I'm I'm not saying I would go through it in detail or anything but I I was just curious if that was available to us s is there and in fact the uh the Commodore wreck is is actually much more uh broken down than the King Street uh invoice just based on the the level of uh subcontractors and level of uh involvement that went into their schedule of values okay uh all right that that being said I'll second the motion to approve the warrant okay roll call vote Bob Bob Ry yes Bartlett Bartlett yes Steve I mean Tim uh Tim Harvey yes and Steve Moore yes motion carries and we will uh go down to the senior center or King Street rather and um if I can share the screen here can you all see that y so the excuse me the King Street warrant is for a total of 343,000 23 um you all have the uh as Tim mentioned the breakdown on this are there any questions yeah I got one on it Steve we we voted to move the piano now they're going to start charging us a monthly fee on that yeah I mean I think Brian Brian has a a good response for that so the uh the piano company sent us an invoice to the school department that which we received uh for the first installment and that was to pick up the piano in storage for three months that got us through November I'm sorry through October and they have since submitted this invoice for the next three months uh I do anticipate them sending another one for probably another two to three months um but they send that to the school department and then we reviewed it uh and the accounting department asked if they if that can be charged to the job we do have a budgeted line item for moving uh and for this amount yes there is a monthly hold um I believe it's around 0 or $90 per month that they're that they're storing the the piano for um 255 per quarter I guess and we we're recommending it based solely on not having a piano on the construction site with the laborers around there uh I'd hate to see any damage get done to it a good piano needs to be in temperature controlled space too so very good point um any other questions on the piano is there a motion to approve the uh invoice for three or the warrant for 3 43,124 23 I'll make that motion roll call vote Bob Bob R yes Barlett parlett Harvey yes Tim Tim Harvey yes Steve Moore yes motion carries thank you and we will move back to the agenda if I can find it uh approve the meeting minutes uh we don't have any meeting minutes to approve based on a technical difficulty Shaker Lane feasibility study um we had a meeting at 6:00 uh this afternoon we voted to approve U option 3.2 which is the upper field uh we're going to move that along to the msba for their uh review and concurrence and then um we can proceed with feasibility study um we had an on-site meeting uh there were there was no public attendance which was disappointing and then uh they were going to have a tour of the school building uh at 6:30 and we'll move down to Senior Center update Brian Steve quick Steve sorry quick question uh why did he go with 3.2 as opposed to the other options it was the uh option that was um proposed by the selection committee and that's uh and it was scored on it was a very you know systematic scoring system um it was presented at tan meeting it was presented at the uh meeting this evening [Music] um and you know that's all I can say about it okay um Senior Center Senior Center I can give a quick update uh we had another good productive month uh the exterior installations are still ongoing uh if you've driven by the sidewalks were poured this week siding has begun uh and is going up quickly um installation of roof fixtures and on the interior drywall has been going up Associated inspections has been happening the elevator is being installed uh electrical systems are being pulled uh we finally got our water service our permanent water service is now in the building the meter has been installed and inspected by Littleton water we anticipate uh permanent electricity by the end of the month um exterior painting uh the hope is we get this done weather permitting we're having a meeting with the painter to make sure that all specs are being followed uh when paint is being applied on the exterior um me see what else do we have here we've got um all overhead uh inspections are being done act ceiling tile grid will be installed within the next couple weeks um and the uh the the only update and I can share my screen we did distribute Matt was able to put the monthly reports together for this uh for this meeting we can go over any questions you have uh but the main reason for tonight's ask tonight is I wanted to show if you can see my screen y y uh this is the monthly report and I don't want to go through uh too much if you don't want to uh right now we're spent about 57% through the Construction contract 5 56% um as a whole on the entire project committed to 93% of the overall budget uh which is a very good sign uh as as we still have a healthy contingency uh Commodore still has a healthy contingency um but we wanted to bring today uh is approval for a purchase order for the FF package or the furniture package in the interior of the building this is something that's been working on for probably the past two and a half months uh llb's interior designer working with the end user uh working with our our department to make sure that it's in with within budget it's what the facility needs as well as seeing if there's any other choices or economy that we can get with the furniture package we finally locked in the price uh we confirm the schedule and we are recommending uh WB Mason uh for a total of 249,000 62 cents this is a itemized breakdown of everything here um I've requested from the architect we can get a a a breakdown um financially as well as having a small picture as what these are going to look like in the offices is this put your attention is this being purchased through combis yes so it's going on the it's from state bid uh State bid list I believe I forget the number that it's on but uh it' be purchased through them so it's on state contract there is a discount that's run through WB Mason uh this is a a snippet of our vendor invoice packet with our budget status update here's the line item that we are proposing to charge it to our initial initial budget was 285,000 so this quote is uh just under 250 uh keep in mind we still need to buy appliances for the small kitchenet which I anticipate being around $5,000 and this does not include any exterior Furniture um some Adera chairs and benches um that are going to go on the exterior of the building so we're right within Budget on this and um we uh we recommend uh proceeding with a purchase order we met with the accounting department today letting them know that we we'd be bringing this to the pmbc uh WB Mason being a a vendor that they've already worked with they won't need to get their W9 they'll be able to process the paperwork get the purchase order and we can get this released to make sure that we have this um after our substantial completion date um for turnover Ryan this doesn't include the kitchen um appliances right the kitchenet appliances so the the kitchen the the commercial kitchen appliances are covered under the Construction contract M um what wasn't covered was the refrigerator the dishwasher and the microwave that is in the staff kitchenet um we our office has reached out to State contract uh fc119 which has office supplies and furniture uh they actually have Home Depot and Low's on that contract as well so we've worked the town to see if they have that we're going to get pricing on that we're also going down the street to Hunter to get a quote to see if that will satisfy it um because it's going to be under a certain amount and um we want to we want to give the um give the opportunity to someone local as well if they can provide it yeah H H Hunter typically you know matches the uh competition and I think that's what we did at the fire station too on some of the uh the the fire uh the staff kitchen we we bought some of our stuff through Hunter so um that'd be nice yeah so overall uh another good progress month uh we're tracking ahead of schedule we're still looking at substantial completion the second week of March um that's without landscaping and without top coat of of pavement um we hope to have some progress on 31 shadic which is our construction trailer right now within the next week or two we should have a plan in place for tying in the sewer system as well as reestablishing the property lines uh that will go to the planning board so that the town can uh ultimately have the property set and and make the decision on what they want to do with that property after the construction is complete so Brian any um concerns on Long Long lead items or like the uh wood panel ceilings or not the wood panel ceilings so my concern was the uh the solar the solar panels um we have we've gone back and forth for a few months now the the spec panels like on most of our projects once they actually go out to bid are outdated and they're no longer being produced and so there's been quite a effort between the um the solar vendor I'm sorry the solar consultant as well as the electrician they've gone back and forth on a few different options happy to say that we did something was submitted today these panels are available and in stock it actually produces a higher kilowatt per hour than the array that we were showing on the bid documents so the footprint will be a little bit smaller but still achieve the same amount of power that we're looking to perform with uh and it's not going to come at any cost so that was the um you know once we heard those that was uh music to our ears we're going to get the the okay from um our designer hopefully within the next day uh and get that ordered our concern was that we were doing landscaping improvements and we didn't want a crane to show up on site and be running over sidewalks and and new landscaped areas to put panel up on the roof but I think we're going to be able to avoid it Ryan is that the panels that they were concerned about the racking system so it's a different option so the other option that they were was a a new racking system that was so brand new they didn't have any data on it and uh the other option that they found that was going to come at at less cost utilizes uh a racking system that they have a lot more experience with so that's what they that's what they're proposing I how do the panels integrate with the roofing do they do they go first or no they they'll go last but however once this option is chosen the coordination needs to happen with the roofer the structural engineer needs to sign off on these how they're going to be fastened down to the substrate um then you know obviously we need to coordinate with the asphalt shingles that'll be going on there as well and and any type of flashing that needs to happen around the um around the stanions do they penet the asphalt shingles or sit on top somehow I don't believe they I I think and I have to double check the spec on this type of racking system but I believe that they penetrate the racking P there's only a few penetrations through the racking system and then the actual panel structure mounts to the rack itself so it it minimizes the amount of uh anchors that are going into the substrate okay Brian do we get a decision on the screen in the multi-purpose room and the way they were going to hang the projector yeah um we are very close to getting pricing from an AV vendor on this ultimately having the screen be bought by Commodore and then a projector by an AV consultant not knowing if they were going to be compatible we determined to just let the AV consultant give us a quote for what we have here we'll make Commodore install it bring the provision the power and the data that needs to go to both uh and then we'll install it there was a a walk through with lctv and there was a meeting today with our av vendor with some of the manufacturers to make sure what is the best choice for Littleton uh our pricing should be coming in within the next couple days and we can release them the hope is we have all the provisions in place um we've even uh We've even bolstered up some of the conduits that are going from uh cable TV to uh AV cabinet back to the MDF room so that once this equipment is installed they can run back all the wires back to the uh back to the rack yeah I think a single Source uh is the best way to go I agree I agree we did review the uh the proposed conduits that Brian just mentioned with Kirby dolak from lctv at the walk through this afternoon and uh he um approved of what was uh what was being proposed thanks mat last question I got for Brian is the um the sign lighting do we get a um a proposal on how we're going to do that exterior yes yes so the signage package has now been submitted uh reviewed and released the there will be back letters on the shat Street side on the face of the building on the canopy on the library side will be a pendant light that sits up on top of the of the canopy uh that has been approved signage interior signage um that package is almost approved uh Liz is still taking another look at that and we also may be uh coordinating with the same vendor for any type of um recognition signage uh for any donors that have been doning to the town so that we can use this we can kind of have that continuity of the same signage uh vendor and and they can they can make the themes match on how they want the um dedication room signage or anything that wants to go on any Furniture um but that did remind me of one other thing Bob is the dedication plaque that is owned per the contract that's part of the signage package it has not been proofed yet I I requested that the designer put together their first shot at what this dedication plaque would be and that we would distribute it to the committee as well as uh as well as the Town Administrator to to kind of bless it before we give the okay on that plaque so have we given them any any on that no just the names so I I told them to put something together and we'll take it and then we'll bleed all over it and Mark it up on how we want it to look well uh who's on there the uh select board and the pmbc yeah I believe that's what we did for the library too well selectboard wasn't on the library you're right you're you're right I might be thinking of the fire station as well but I there was a lot of conversation about the um the plaque in the fire station so yeah um and and maybe it's even a a pass after pmbc if you if if you guys want us to we can run that to the to the select board to give them their kind of the blessing is that's one the first I think we're GNA have to do that yeah when you walk in the lobby that'll be the first thing you see yeah um Brian that line for computers and technology is is that just for the staff computers or yeah what that's a that's kind of a placeholder that we had in there for um and I admit Tim good pickup because the line below it is security and that one that one's actually over budgeted as well so we may be taking a little bit out of that bucket and you'll see a budget transfer that we'll that we'll request on it but what that's going to cover is um our it manager uh purchasing wireless access points and a network switch uh and any type of guts that need to go into the into the MDF room everything else is going to be covered underneath the electrician scope uh and then I believe the actual physical computers of the staff are being brought over from their from their current location okay hey Brian is there any kind of a building management system with this so today good question we had there uh we had a commissioning meeting today with our uh commissioning agent as well as the mechanical uh subcontractor to go over uh startups prefunctional test list uh prefunctional testing as well as um uh conversation with the BMS consultant who's the subub of our HVAC contractor um they'll be coming in and and just doing the graphics and that package and our commissioning agent will be taking those once the network is up and doing point-to-point testing and making sure that it's uh communicating correctly okay anything else on the uh Senior Center and I would say I'm very impressed with our commissioning agent on this project I uh my hope is that we are not in a situation like the library where occupants have already moved in and we're still trying to figure out setbacks and themes and and how this building is going to be used we're trying to get ahead of that with some of these leadup meetings before the equipment's even on site the the building management system is pretty simple I guess it's just a pretty small building or it's actually it's very simple a lot of the units that are being installed are prepackaged units that actually don't have many points that that can be adjustable however there are readable points that will come to our our frontend Graphics um but it will also be able to give you alarms and we'll be able to let you understand you know what setbacks and what uh limits need to be put on for either outdo outdoor air temperatures filters that need to be changed things like that but yes Tim it's not it's not a extremely complicated system that maybe some other Public Safety buildings would have and where's that going to be located uh in the MDF room okay any anything else on Senior Center I don't know if you guys need is a vote needed to proceed with something that's have for that purchase order absolutely okay um Brian you want to uh frame the uh motion yes um authorizing vertex to issue uh I'm sorry authorizing vertex to work with the accounting department of Littleton to issue a purchase order to WB Mason uh in the amount of 249,000 and $62 for interior furniture at the senior center how much was that again Brian what's the toal 49,000 14949 49 oh 249 yep 340 yeah and 62 cents thank you you're welcome uh so moved is there second second all in favor uh Bob Bob rley yes uh Bartlett burlin Harvey yes Tim Tim Harvey yes and Steve Moore yes motion carries Brian will you send that report to or did you send that report to us the monthly report yeah yes I think I think Matt sent it out to everybody I did I sent it actually a first time and then I got a couple of Bounce backs indicating that the file size was too large and not everybody may have received it the first time so I made a a compressed version with a smaller file size and resent that so uh you all should have received that I didn't get any bounce backs indicating that that did not go through I got K Street but I don't know about the senior center I'll resend it to you to thank you okay let's move down to Indian Hill all right um the uh so we'll um we'll start with the building exterior uh we had the building primed and painted uh after the exterior uh prep from the uh that fox painting did last month a building was painted in a two-tone pattern with uh the blue and gray um highlights with the white trim uh additionally um as part of work that was previously authorized uh by the the building committee uh via change order to Classic uh new gutters were installed uh on the building those are in place uh exterior work on the building is complete uh also at the building exterior um Eric uh dero from uh Littleton facilities worked with the school uh Department's facilities to replace the bulbs in the exterior lighting at the rear parking lot and we've confirmed that those are now uh operational they were getting power but I guess the um the bulbs were had burned out because the time clock had them on uh for a long time uh and uh and the bulbs uh exhausted their life expectancy uh so the building exterior is uh is completed uh and a punch list has been completed for uh the painting and I think that uh at this point uh classic and fox painting are are cleaning up uh areas where um around the trim where there was either a slight bit of overspray or somebody got a little splotch of paint on the glass um but that's in pretty good shape uh the roofing work uh was fully completed and the the skylights that were authorized as part of asi3 um changes uh were um were installed moving to the building uh interior uh we are um working on framing uh in um a variety of of locations uh primarily at this point it's in the basement or the lower level where there's some sort of unique framing conditions at the um at the game room that's being installed as well as the lower level um bathroom walls the uh Windows uh that we authorized uh last month the sort of side lights at the uh the game room entrance by the elevator uh as well as uh framing around the structural y columns uh that were put in uh at the in place of the old Granite Piers uh that were supporting the uh the foundation at the lower level those have a combination of Cubbies and bookshelves uh at around them and the uh the framing to support uh sort of that uh that woodwork uh in that location uh is in uh Larry's been working on that from classic um I guess um beyond that what we've been working on is largely uh administrative I will say um that we've been working on a couple of different things we've been working on FF and E uh and have for you tonight a um similar to what we've just discussed for the senior center a purchase order that we're recommending for the uh fixtures furniture and equipment for the um for the King Street property here uh We've also been working with the uh the town it Department uh for a uh a for a technology procurement and we have a series of quotes to present to you this evening for that uh those came back and are on budget uh from a security standpoint uh we've been discussing how to integrate security uh similar to the senior center we've brought on nishoba uh security uh under contract as a subcontractor to Classic who is our general uh and they uh are mobilized on site and are currently working on roughing in those systems uh additionally we're working to integrate their scope with the elevator uh vendor who's the town's vendor Associated elevator to uh get some order of magnitude pricing for the option of potentially adding fob functionality to the elevator so that is in their Court we're awaiting pricing and are hoping to have that by next week we're working on Hardware uh and uh and keying I think we discussed that at today's uh job meeting uh and are uh working on something for uh for pricing there let's see uh what have I not gotten into um so exterior work fully complete uh we did uh perform Diagnostic and repair work on the fire protection system with Classics Fender uh Excel fire protection uh and uh they were able to diagnose and repair uh leaks and now the compressor uh Cycles perhaps once a day uh instead of much more frequently uh and we believe that um we have resolved some uh some issues that uh that had been um reported with the fire protection system and is now holding pressure hey M when you say U repairs does that mean replacing pieces of pipe yeah they had identified particularly at the joints that there had been uh some uh previously unknown uh leaks in the system that were causing it to lose pressure and this is in the dry part of the system and and so the compressor was having to make up the uh the pressure pressure in that part of the system uh and so it was cycling on U much more frequently than it should have been uh so um they were able to to identify those and correct that and now it is holding pressure and it took them about a day and a half of of diagn diagnosis and repair of um of the plumbing you keep saying repair is is it replacement no so Steve what we found is all the branches that were in the system even though it's a dry system there there's obviously some water that's still in the system proper and these branches are back pitch to the mains and so there's been a residual small amount of water that's been sitting in these Mains on the first floor yeah I get I get all that but how you know I my my my perception was they were going tol some of the uh standpipe and it sounds like they're just repairing they replaced Maine so there's no stand pipe that that was replaced yeah I mean Ms yeah piece of metallic piping was replaced and so that and then was turn was tied back into the existing branches okay so that's what was done so replace and repair I guess is what we could say but the the main the main uh areas that were diagnosed that were leaking were replaced in kind thanks how how' they find the leaks so they put it under pressure and they went around to where they started following the mains around on the first floor Tim and and started out as a little bit of a wild goose chase about where we're going to go identified where some leaks definitely were uh started doing replacement got a got a good chunk of these Mains that we're talking about being replaced pumped it back up to pressure and the compressor that was supplementing the pressure down in the base the system that was running every 10 minutes is now kicking on maybe once a day for a couple minutes just to supplement that pressure so we feel as though it's in a a much much better position than it was uh prior to no that's great we save a lot of money on the electric bill too agreed the wear and tear on the equipment so just before Matt jumps in and just gives you what we're what we're presenting tonight we meet with the town because this budget is really unique uh compared to the senior center where there's uh a lot more funds and a lot more funding buckets we'll say in the budget the budget's really tight on this project and we meet with uh Ryan the assistant Town Administrator and Eric the facilities manager to go through anything that's being proposed as a change uh and we're forecasting it toward the the end of the project about the amount of money that we're going to have because there's been a lot of requests and to see what we can accommodate what we can't before we even bring it to the building committee um so I I'll kick it over to Matt to show you what we're what we're proposing this time uh and then ultimately some of the things that we have placeholders for for the remaining budget that we have currently um but we're not we're not recommending anything to the building committee without thinking about what's coming down the line so uh we hope that we've exposed any type of unknowns now at this point things are going back in the building and and new new work is getting put in um but we don't have all of our pricing yet for a lot things too that we're keeping placeholders for so what we're recommending is uh stuff that is either necessary or that we're recommending based upon our view of the budget right now uh and then Matt also has another purchase order like we did at the senior center for the furniture that we're ready to purchase sure Brian you want me to put the PCO log up yeah Matt one question before you go y the fob for the elevator is that so only certain people can use it or why it was a request from the school department because I think is just generally trying to get away from the use of keys because if you lose a key you need to re redo the uh the cores um whereas fobs you can sort of deprogram or deactivate them um and it it's um I think there's a thought that that is more more secure and More in line with where they're trying to go yeah I have another question too uh sure I see a lot of it looks like there's a lot of stuff going on in the basically the basement of the building M I don't know what was there before but I see the walls Being Framed up against the foundation wall and I just uh you know I'm sure the architect was aware of moisture issues but I mean I wonder was is the slab being sealed at all and and what's the wall detail is there some kind of uh you know how will it be insulated is there some kind of vapor barrier or something yep there there was some mitigation work that was done on the exterior uh foundation wall some of it is like a field Stone some of it is a foundation wall uh so that has been done to mitigate it um and then I know some new ventilation is going to happen in down in the basement as well uh you are right though that they are they're building and framing up stud walls very close not touching but very close to that exterior wall down there um so that that's being outfitted for the new uh children's area uh so that'll have some new cub areas and and game rooms uh and things like that um I I will I will ask and get a more definitive explanation as to the moisture mitigation that we have down there over and above just the small amount of parging that we've done on the exterior wall uh as well as the ventilation we are there's another area of uh of crawl space um sort of at the lower level that uh currently is not conditioned that LLB has prepared a design for uh and specified a a product that is currently with uh with classic uh to review and for pricing that does include a a 15 mil Vapor Barrier product that we think will address the um the mo moisture issues in that area uh so LLB has also um put additional thought into that that's currently in the works in the design so sounds good sorry it's with classic for pricing we just received the design okay because yeah as you say one of the walls looks like Field Stone it's it's all grouted in I mean that just looks like a thing that would be perme you know permeable to water or vapor okay sure I'll put the uh the PCO log up here um so the one that is on this here is PCO number 25 um which was uh changes related to asi3 and this includes uh everything that is except for the electrical which was still under coordination this is for the uh the lower level bathroom uh as well as the um the balance of the skylights changes um that we had done at the at the second floor office areas um that is in the amount of [Music] 83926 uh We've reviewed this with LLB and we felt that that was an appropriate recommendation to make to the pmbc anything to add to that Brian and this is for what so asi3 had multiple different uh things inside of it mostly was the Skylight changes that we had up on the on the second floor uh we removed some of the solar tubes we added some skylights um we also did some some reframing that needed to happen down downstairs in the basement as we did all of the demo work we um we exposed some of the existing Plumbing work therefore we had to do some softing that was going to come at an added cost because it was going to be a lot cheaper to sopit some of the existing Plumbing pipes rather than demo uh Plumbing Systems to try to raise up that plumbing system um even when we uh explored that that idea uh we were told that they may not still achieve the height that we need we brought the Building Commissioner downstairs with us he granted an existing conditions kind of variance that it was fine at the height that it was at I believe it's at like 67 or 68 in that certain area and that's going to be softened off um so that's encompassing all those those changes that needed to go in downstairs as well as some of the changes that we had Up on the Roof level with the Skylight okay any uh discussion is there a motion to approve the uh change order and I can't even read this it's too small sorry I'll zoom in that's people with old eyes how's that is that better Steve that's better okay great is there a motion to approve uh change order is it 25 yeah PCO 25 uh in the amount of 83926 so move I'll make that motion well it sounds like it was uh moved in second and in the same so anyway Po's favor Bob Bob romley yes uh Barlett Barlett Harvey yes Tim Tim Harvey yes Steve Moore yes motion carries okay thank you we just need to do a quick one or not a quick one but uh another furniture package that's roughly about half the size of the senior center uh LLB has recommended this this has also gone back and forth between the parks and wreck and School departments for the new Interior Furniture uh a majority of this is down in the new parks and wck Department uh we've gone back and forth we've actually cut some of the furniture that was that was uh originally proposed um to make sure that we're staying within budget that we have here um and uh make sure it's it's exactly what the the staff and departments need um so are the Departments bringing anything over with them I know school is yes so that's been inventoried as well and then reflected in this price as well okay and just for the exercise that we had done prior the the invoice packet that you have for King Street we had uh $180,000 uh budgeted for the Interior Furniture on here so this is under our number um I I'll I'll say it uh I'll be I'll be frank uh we're going to need all of the money that we can save on our FF budget and other areas so you know this savings is uh is well received and we'll be able to uh request a budget transfer if we need to have any overruns um in any other areas when we come back to uh propose any other changes so about 40,000 under budget correct is there a uh any discussion is there a motion to approve the uh furniture package in the amount of 138,000 $20.75 Steve I got one question before we does this include um the kitchenet stuff and everything Brian uh no not not here as well so that'll be another small purchase roughly around that $5,000 I actually don't know if we have a dishwasher on this one so it may be even a little slightly cheaper to approve I'll make a motion to approve second all in favor Bob Bob Ry yes Bartlett Bartlett Harvey yes Tim Tim Harvey yes and Steve Mo yes motion carries thanks great thank you did you want to get into the the technology quotes next uh the tech quotes so uh just so we can get the process down with the pmbc here Nancy Glen cross the it manager has sent us quotes on proposed um uh proposals for the it infrastructure in both projects both at the senior center and at King Street and this has to do with the it rack servers phone systems for the school department uh as as well as any wireless access points and so we have those they are within the budget that we show here Nancy would be the one that would be going out and procuring them we had them sent to us so that we can review them and make sure that they are within budget and can reflect them if that's something that the committee would like to see or like to show where we're we're charging them to the budgets we can um but they're they each project has about four or five different vendors uh that pertain to the it on on that that that Nancy has taken care of and who who obtained the quotes was it Kirby no these ones came from Nancy from from IT department y well I think I think if they came from the town we'd be okay with them yep and so we are within Budget on King Street we are able to utilize a budget line item we were carrying for fiber install in the building Littleton light was able to donate that to us due to a grant that they received uh so that work actually got done today the the fiber contractor pulled the fiber in off of King Street into the building and it's uh put up on the DeMark line there so that the town it Department can take it from there build out their it rack and start building the the communications infrastructure in the building right right okay so we'll proceed with that and um if there are any changes to what Nancy has submitted to us or any any flags that we have in our it budget we'll make sure that it gets brought to your attention right thank you anything else on Indian Hill let's move over to the ongoing what go ahead Bob the police station the ongoing saga of the The Saga I've uh I finally got in touch with I think we have a call coming up within the next day or two and I'll I'll keep you Steve and Bob in the know um as what that's going to do we need need to define the scope of the actual contractor I'm trying to reduce that PO um and and keep keep Ryan on board with with moving along with this we have a consultant that the designer is recommending to create a report and recommendation with it um and you know we've worked on them as well to make sure that that invoice would be on a not to exceed so in the event that it's able to be done in one day that we're we're not stuck with the the full uh proposal that was sent to us so I assume there's uh you know weather permitting on all this stuff 100% yeah yeah so uh I hoped by the next pmbc meeting we have we will at least either had the the work performed or that it has been scheduled and is BEC coming up weather permitting I think we're going to end up pushing this off to Spring the way things are going yeah I think so and I I don't think the warping inside the building is a issue in the in the winter time I I agree so uh talking about the next uh pmbc meeting that was a good segue Brian thank you um the next schedule meeting is the day before Thanksgiving and I don't think that's gonna work so um you think we have we we have enough trouble getting for on a regular day but uh my my my um suggestion is we uh postpone since we don't have any other warrants or anything coming up we postpone our next meeting into to uh December 11th which is the second Wednesday in the month I have no problem with that as long as we have nothing that's got to be paid that we're holding a contractor up on now we fortunately we got the uh the two invoices in today so we voted on them so sorry which day did you say uh December 11th okay so uh member input Bob anything um just it's the problem that we're having trying to get a quorum fortunately tonight we got a quorum and um just to let the rest of the board know that we're looking into seeing if we can get two designes to approve the um the warrants it's um we've got a um Steve's got a email in with the um Town Council and we spoke to Brian about it and we're just waiting for a come back on it I attended a u one of these Municipal seminars a couple years ago and one of the uh seminars talked about um committees where they failed to have Forums on a regular basis and there was a work around that um if the whole committee voted uh to approve say two individuals say the chair and the vice chair to approve uh uh invoices and um so that's what we're looking into because it seems like we might especially when we get into um May of next year when we all have to meet in person we may have a problem getting a form so anyway that's where we're going with that okay I got one other thing here Kirby sent me a little text he says tell Marilyn happy birthday happy birthday Marilyn and he said the Stacy might be at the walkth through down at the the um shakane school well she wasn't at the meeting so I don't know she she might be down there okay and Marilyn he uh emailed you the URLs for the oh okay then I will look for his I didn't see it before I logged in okay so none of this has to go in the me meeting minutes no no none of that goes in the me that's it for me um any anything else Bob that's it for me um Barlett no I'm good thanks Tim I I just have a question uh can the can the building committee see the drawings you know if we wanted to look at a an architectural or a mechanical drawing set is that something I mean if if you if you have the capacity to go down to the job site and look at them certainly okay but but we don't have access to does does the does the town building department have a set oh yeah yep but we don't have online access to the the we have a an ongoing conform conform set that the contractor has it's uh not for record or anything that's what's being kind of the it's the original bid documents however it's being adjusted on an as built um form so they're not the actual uh submitted bid set the stamp set nor will it be the the uh stamp for record or as builts that are submitted at the end of the project but we do have something that we probably can can put together if you were looking for something specific do you have a link that you could send to yeah that'd be good yep again just out of curiosity you know once in a while I'm thinking oh I wonder how they're going to Build That Wall or something sure right sure okay um I don't have any uh anything so is there a motion to adjourn so move second okay everyone favor Bob Bob R yes Bartlett Bartlett yes Tim Tim Harvey yes Steve more yes well thank you everyone for your participation and we'll see you on the 11th
