Dr patinis come up so first I just want to thank our families for coming this evening and and um bringing your children here to celebrate them uh so for a few years now we've been doing summer reading and summer math and really trying to promote uh the love of math and literacy and and and whatnot in in the district so Dr patinis uh created this opportunity for our students and really makes it a competition um in terms of the amount of math that our students are doing and I'm sure that Dr ptin when she comes in will have she may have some statistics regarding that uh but this is just an opportunity to uh celebrate your students for the work that they're doing when they're on summer vacation uh doing their math facts and working on their math which really that you know we know that summer can be a time where there's a lot of of learning loss when kids aren't actively involved um in learning whether it's reading or or or math or whatnot so we really appreciate you taking the time and and supporting your kids through through that so when Dr patinis comes in uh she's passing out certificates now to all of the students and she'll talk about that we also have gift bags uh freckled gift bags with some swag in there for the kids that will pass out as they come up and they're getting in line right now I can see them coming to the door so in a moment Dr inis will come in um we will announce the students and Miss Badger and I will greet them at the beginning and we'll give them uh their gift bags and we'll and they'll go back to the seats with you and then we'll just say some closing remarks and uh let you go home for this evening okay congratulations I mean is Dr bettinis coming in is Dr batina coming in to say a few words okay no I mean it is a it's a great accomplishment for these students the number of hours that they spend doing this is really incredible I know for me I don't think as a kid I would have spent that kind of time doing math so good on them um and it's a just a wonderful program to be able to have and you know so congratulations to all of you here and your students we're so proud of them for taking the time to really get better at a subject that hopefully they love but hopefully they'll grow to love if they don't now all right dris I don't want to we're just filling the time I know if you want to say a few words about the program Craftsmen to complete building based projects and insurance costs are appro appropriately covered um the director meets with various Town committees and departments to present and manage future and ongoing projects and address concerns employee issues and disciplinary actions are managed by the director in close connection with the district's human resource department the director handles compliance standards with Department of envir Environmental Protection department of labor standards OSHA Ada Asbestos and more the director manages emergencies 247 365 days a year as needed and communicates the emergency status with School administration if needed Emergency Services the director works every day to maintain safety across the district ensure responsible Department spending and continues to generate a positive work environment for the purpose of this presentation I've compiled what we handle on a daily basis into three categories these are the three PS of the pus Public Schools facilities Department problems people preparedness [Applause] in facilities problems come with job every day it takes a team of problem solvers to make efficient repairs and keep the district functioning normally these pictures are a snapshot of some of the issues we Face North High sinkhole to the left one week before school opens for the year $18,000 for repair districtwide garbage Packer truck catches fire and we lose the the use of cab um funding required to cover the G garbage truck route um while that was being repaired um and a thank you for uh a few weeks of assistance from the DPW when that initially took place some of the department challenges Supply costs material and parts costs labor rate percentages outpacing our budget increases we're seeing HVAC rates from $165 an hour to uh $280 an hour aging HVAC systems and controls uh getting quality applicants for open positions securing funding for small projects at elementary schools which which do not have a robust building use fund here's what our facilities costs at a glance we have 1,424 795 gross square fet of building space if we total up what we spend on supplies repairs and Facilities Department salary we spend an average of $446 per square foot each year according to available data from the American school and University Massachusetts school building authority centers for cities and schools the average cost to maintain one square foot of a public school is around $2 to $6 per square foot each year depending on the school district building age and specific maintenance needs the school district's land size is 323 a.22 Acres we spend an average of $830 per acre per year the facility's people are the rock of our department it starts with our custodians who are the Bedrock of our organization every day our custodians first and second shift are in our buildings cleaning and repairing from the day's events to do it all over again the next day these School Employees are in constant communication with staff and community members at all hours of the day whether it is setting up for that night's event or help helping a staff member into the building our custodians provide a safe welcoming environment for our students to thrive our head custodians provide each school with an excellent level of safety and and procedural oversight while managing their school facility employees they are still extremely active in cleaning and making repairs as well as helping to schedule project projects from the facility's office the communication between the head custodians and the facility office is critical and our team does an excellent job of keeping those lines open and positive the skilled Craftsmen in the facilities Department provide the district with an unmatched level of In-House Professional Services Plumbing electrical HVAC carpentry are all services services that we manage our office has been working with the state's apprenticeship program to establish and grow these skilled positions within our organization these skilled Craftsmen work with our town inspectional services to obtain various uh building permits some of the projects skilled Craftsman complete increase uh increase staff and student workspaces within the building's current footprint this allows the district to increase student services and support without building additional structures our four groundskeepers work very hard to maintain the high schools and middle schools and will occasionally uh help out at elementary schools when the schedule allows during the outdoor athletic season the ground keepers are busy assisting the athletic directors with directors with setups and other requests we have maintenance floaters that cover absences and assist skilled Craftsmen with projects these employees play an integral part of maintaining a smooth day-to-day School operation on this slide I've highlighted some of the ongoing tasks are department works on at this point I'd be happy to to take any questions you may have about the fac department so far does anybody have any questions no go go ahead we have a team approach in facilities our from our monthly head custodian meetings to our annual facility staff Training Day pictured here at PMA South Middle School a positive attitude and a willingness to work together is something we strive for every day with the potential problems we face in facilities on a daily basis it is our duty to plan for the worst and make decisions about the future that increase safety and decrease costs some examples of this practice are shown in these pictures raising the rooftop units at Indian Brook Federal furnace and West Elementary this was done in part of a three of of the three roof projects to ensure snow and water will not penetrate through uh where the new roof meets the metal of the rooftop units pcis FY 25 Capital plan added new luxury plank vinyl flooring to all the main hallways outside of the houses at pcis this flooring material does not require stripping and waxing of floors this this project will increase safety because floor stripping is no longer needed and decrease custodial Supply and material costs Mother Nature can throw a lot at us here in the Northeast the facilities Department completes snow and ice removal operations for all 13 of our schools using our vehicles and Equipment the assistant director of facilities and myself are out on the roads and at our facilities during weather events to provide our school superintendent timely updates and recommendations this process is done with the help of our great Partners at the DPW our office is in close communication with the DPW during weather events and be by working as a team we are able to keep our school buildings open in closing this presentation I would like to thank the Plymouth public school committee for your time and your support of our office I would also like to thank our Administration team for their support and teamwork I would especially like to thank um Dr Campbell Dr blazel and Mr Choi for their work with facilities this year thank you to the Plymouth building committee for their large project expertise and thank thank you to the town hall members who assist our department finally thank you very much to the facility department members who keep our schools open thank you thank you does anybody have any questions yes Mrs Jackson uh just more a comment I just wanted to say thank you for everything that you do um something that you didn't like really hone in on but that we hear a lot is about how proactive and creative you've been with trying to make sure that we're coming in under cost I mean like when you look at the cost that you were talking about with different school districts versus our school district you know I've heard a lot about you and your team and how you've come up with creative solutions for things like HVAC and it just you know it means a lot the commitment that everybody has well thank you very much and we highlight your comment it is a team it truly is a team here we're very fortunate to have the support and the passion in the facilities Department that we do so thank you anybody else Mr Pano yeah I can I can I can Venture a guess just based on working with you on this on the building committee annoying our Capital constraints about what keeps you up at night what keeps me up at night um emails and phone calls besides the data what wored you the most you know the B budget concerns you know um I think we're in a um I've been in other school districts um the Plymouth facilities department is so well structured in their support and I think that's imperative to keep a school system going currently and then moving into the future um so budget constraints definitely worry me um and then a close second would be HVAC that's fair thanks anybody else I I don't have a question but I just wanted to say I mean Mrs Jackson took most of the words out of my mouth but I just really being the creativity and the passion that you have and that your whole team I mean it's it's always wonderful to go into any of our schools and you you can see that the leadership that you bring to this and the leadership that just funnels down with positivity and everybody's part of that team so really thankful for you in in the way that you approach everything and the way that uh you create that team atmosphere and always looking forward and how we can do better and and thinking outside of the box as we've already said for solutions to be able to save money uh as you as you just said I mean Budget constraints are definitely a concern but our buildings are beautiful and um we're really lucky to have someone like you in charge and all the people within the department so thank you I really appreciate it thank you else right well I appreciate your time time and your support thank you Mr der all right and our next piece we have our superintendent report so Dr Campbell thank you um just related to facilities imagine we're in a building that was built in 1892 right right now too this is our oldest building we have two schools that are over 100 years old uh this building was built in 1892 we have um two two elementary schools that are over 70 years old and the rest of our buildings for the most part with the exception of our high schools and in one Middle School are 50 plus years old so to think that we're you know and it is the staff it's that structure it's that Teamwork because a dollar 11 per square foot with aging facilities doesn't go very far if you think about those who own an old home and how far that money would go so it really I think it speaks volumes to what this committee has said and what Mr derky emphasized regarding that the team that's there they do a remarkable job um few updates uh tomorrow's election day for those who didn't know um we have teacher professional development no school tomorrow our staff will be in professional development um all day across three campuses we'll be at South Middle School South High School and North High School just want to thank Dr Rogers our curriculum coordinators directors and many staff or teachers for the planning that goes into that it's a it's a enormous event uh um Miss butter Miss butters for her work too to help organize a whole host of people that I know that I'm probably forgetting the logistics behind that um and just thank our three principles too for those campuses that I mentioned uh with the logistics particularly around voting will take place we work with the town clerk to make sure that um we support um the the voting process tomorrow particularly while we're in the building so there will be secured parking dedicated parking for our voters um we have details we have police that will be at in the voting sections of the building uh we've had multiple meetings with with the town clerk to go through that so we're confident that that that will go over very well it's going to be a beautiful sunny day as well so we look forward to tomorrow um we talked about this and how we're trying to get information out regarding School finances and school budget so today Dr blaz Dell and I recorded six short video sessions that will go out to the community over the next couple of months trying to further explain the budget process answer common questions that we receive and provide more information as to where people can find additional information either on our website contact information or other resources that that may exist um so want to thank Ed TV for helping us with that project um today so we look forward to and I don't think we did too bad didn't take us too long to do that we're getting better um uh learning walks we had two great learning walks um not too long ago I really appreciate um those who were able to to join those walks I hope you found it worthwhile um our next walk will be at South Middle School Wednesday November 20th approximately 8:30 I believe is the start of that so if you're available just let Dr Rogers and I know if you haven't already U but an opportunity to not only um go into the school and various classrooms and and and see the facilities and the staff and students but to see what we've been talking about in terms of uh those learning walks as a community um right before we met this evening for school committee we had our second uh volunteer and public school planning meeting so as I men mentioned previously we're working with the math service Alliance as well as fness uh VIPs program Volunteers in public schools which has been around for over 40 years trying to create structures to create a um a substantial volunteer program and process here in Plymouth so today we really focused on identifying potential roles for volunteers um how to develop A needs assessment and how to gather that data uh the next meeting uh we'll talk about recruitment strategy support and oversight and and how we cultivate resources in terms of Partnerships funding and all that so we're in we're in to get some good momentum was a great discussion um look forward to sharing more information regarding that um just one more thing regarding budget so we're at that time and it's hard to believe but we started our budget development process for next fiscal year FY 26 um really in September um early October so we're we've been working with the town to finalize our projected available Revenue to build our FY 26 operational budget again next fiscal year not this year but for next year so at this time we anticipate that there may be a shortfall um of funding in comparison to what our level service currently is able to provide again we don't have a definitive number yet though so um we hope to have a more definitive number soon most likely by the next school committee meeting um so but that being said we're exploring every Center we've had lots of conversations with our Administration about looking at every line item analyzing our current spendings uh evaluating our our needs and resources and prioritizing um everything in an equitable manner so I'll be sure to share more information regarding uh the details um at our next meeting which is scheduled for November 18th but just wanted to kind of put that on everyone's radar um and then this Friday Miss Badger and I will be taking part in a panel presentation the masc Mas joint conference at uh in in hyanis I almost at Falmouth but we're going to be in hyanis um on secure firearm storage so we'll be part of a panel with other communities that are either looking to create uh that resolution or have a resolution so we'll be joined by Framingham Public School stonum North Adams um and Grassroots uh for gun violence prevention which is the foral formerly known as mass Moms Demand Action of that organization has supported us not only at our health faires but also when we did the safe gun storage um workshops for you know in in the community at pcis in the past and then two things or one thing that was mentioned by I think it was Lily Mega two events this Thursday so they both this Thursday so the Mega Ball 3 pm at South High School wonderful uh unified basketball event great great turnout always so if you have the ability to go to that uh welcome to attend and then at 6 PM go down the street on on Long Pond at PCS their annual literacy night um so you're obviously welcome to go to that as well so and that's all I have this evening Miss pater awesome thank you so much uh I mean we I know we have our um reports but I just wanted to say to thank you for inviting us and be part of those learning walks I mean I know myself and a few others have been able to participate and it was you know just what we had I know I had imagined time but it was just nice to be a part of it and really to see our our our teachers engaging with students and and just to be in the building so I really appreciate that invitation and if you haven't been I really highly uh encourage you if you have time it's it's really a great opportunity just relate sorry to cut you off but so we have I mentioned the one in November we have others that are scheduled up through March or April this year so don't you know don't fret if you can't go to the next one we will have other opportunities at other schools this year as well no it is and then um if you have haven't been to the mega Bowl go it's if you can it's really just wonderful I mean not a dry eye it's just really wonderful Dr is something a school Committee Member ought to do yes in the classroom while it's running yep nope I agree NOP and get into that Mega Bowl I think is really important as well if you if you haven't been before no dry eyes will will happen um but thank you for that report anybody else have any questions no Perfect all right we are moving along to retirements Mr Ji yes good evening I have one retirement to share with you uh Christine frus who was a districtwide special education admin assistant uh she retired on October 24th 2024 after 24 years so we appreciate her time spent in the district Mr Bano on behalf of the committee in the district I'd like to thank M raus for her 24 years of service to the district thank you all right now we have reports and proposals from committee members does anybody have anything they wanted to share Mrs awood um earlier this month I had the opportunity uh to meet with the um cap cop collaborative um actually I I think I spent four of my five days that week um we are doing um interviews uh for a new executive director and then also um Dr blazel and I had the opportunity to meet with the um outgoing executive director just regarding um what this um partnership will uh look like um and also this past Friday I actually physically went to the school um and uh was with the executive director um outgoing um for a couple of hours and he brought me um just around um just to uh kind of um produce the school and have the ability to ask questions just regarding um uh not only the partnership but the programs themselves so awesome thank you for taking your time to do that I think it's it's exciting to be part of this so thank you really appreciate it anybody else no well I just wanted to um to say how how nice it was to be able to go to the Voyager in the Plymouth UK concert I don't think that's the right term Plymouth choir was that what it was Plymouth International chorus andal chorus I don't know why choir came in um but it was they did such a wonderful job and it was just really nice to see the students you know really really um working together and being part of it and to grow that relationship I think every year it's just it's really cool thing to see so um I enjoyed it thank you um anybody else I want to like skip around okay um all right now we have update for master planning Mr Morgan do you have um yeah we did have a meeting down P South Middle a few weeks ago um we we had good attendance we kind of concentrated on on finance aspect of it um went out to some breakout sessions so it was pretty good and um looking again the um the website we still have the survey you can do there that's still available and there'll be future meetings as well available for the public and then just meetings at Town Hall awesome thank you so much appreciate you being doing that for the committee all right Plymouth building committee report is that no we haven't met since our last Perfect all right um can I mention one thing um I know it was shared on the district website but there is a survey for special education parents or parents with IEPs um to fill out you can find that information on the district um website I know that it was important to the CPAC that we share that perfect thank you thank you for sharing that all right and now we have Personnel reports Mr Toopy yes um well this evening I can share with you we had one certificated appointment we did receive four resignations um we had some uh leaves we had parental leaves we had five you're going to see a large list under medical only because some of those were included back this summer when we transitioned over um she didn't had hadn't shared those ones yet so I wanted to get all those on there so there were 12 medical leaves not all at this time uh and then we had one personal leave perfect thank you so much for sharing that um and now we have our budget up up up I feel like I keep yeah I feel like I jumped the the gun there with the uh with the update but I can reiterate it if you I me you have any additional I mean yeah I mean not really anything it's really okay yeah we got the update I mean if you want to do it again you're more than welcome to blell that we could share at this time yeah no I think the only other thing that we might want to mention is just in regards to our transportation study that we're doing oh perfect um which ties into budget and future budgets um we won't necessarily see any impact for f26 but we're just conducting a study in regards to um looking at our Roots looking at what we spend um we're working with map which is master assetts Association of Pupil Transportation um and they're going to really analyze everything we do and and see does it make sense to to go out to bid in a couple years for our next contract or does it look at other options too so um that's really the only addition thank you anybody have any questions yes Mr bazano maybe Dr Campell if you could maybe uh remind the public of the timeline process obviously you and the administration are working on the um you know the budget now but when does the public first see it when do we approve it so that's a good includ so um while we've been talking about it since September and October and we're still waiting to get that final um available Revenue number we know that there'll be some shortfall uh we're building the budget now so our principals coordinators and directors are what we call Cost Center managers so they're building all the cost centers right now we have meetings set up over the next couple of weeks really finalizing that before the the Thanksgiving break so all of those budgets will be finalized and prepared for electronic School Board before the Thanksgiving break and those will be uploaded to electronic Schoolboard um so that will be available gosh to the community hopefully November 25th November around November 25th the first formal budget presentation will be December 2nd here um um at Central administration at 7 pm and then the the budget hearing will be two weeks later on the 16th so um again probably by the 19th we're hoping at the end of that week that we will s of finalize any budget cost centers for publication that will be uh brought forth to the school committee and again that will be available to the public right around the 25th of November thank you and I think it's also important to remind everybody that we have a budget subcommittee that is also going to meet during that process we be a part of it so that we you know have a school committee perspective and also just informed in that way and you know obviously keeping people updated as we move forward absolutely so thank Youk you anybody have any questions no thank you perfect thank you for that that was perfect um all right our next thing we have anybody have any unfinished or new business that they'd like to add to our next agenda all right perfect now we have the approval of the consent agenda do we have anything that people feel that need to be taken out of the consent agenda no all right then I will take a motion um to approve the consent agenda Mrs Haywood I'll second oh perfect all right we have a first we have we have a motion in a second and do you have any questions on the motion seeing none will we electronic School Board is still not working so we'll just do it like this so Mrs Shaw yes Mr Morgan yes Mrs yes Mrs Jackson yes Mr Bano yes Dr senson yes and I vote yes that's unanimous so our the consent agenda is approved and we don't have anything that we're pulling from the consent agenda so that is the um final piece of our agenda and we can I will call the meeting to close at 7:46 unless somebody has something burning to share awesome thank you all so much and have a great rest of your evening
