changes I have none I just passed on a couple minor things to Stacy hose already okay on the executive committee yes executive committee minutes are there any changes to the just at the very end um it under item five Newman Bale stated that the next board committee meeting is scheduled we just need to add in the word executive that was all oh that was it all right that's easy enough uh with that change um it can uh be posted with that with that minor change um no other comments on that we'll move on to board policy updates def to Dr Van Wagner okay so I'm going to go ahead and P this off to time yeah so obviously we have done the mass transition over to Children policy Services during that period of time when we were going through that initial transition we do get updates quarterly from TR and rather than muck up our process that was already underway we decided that we would wait till the policy transition was completed and then bring the revised policies to you guys incrementally so that we're not trying to tackle them all at one meaning so what you have for you in this packet that Kendall prepared are the ones that were asking for board consideration um this month most of them I'm going to argue all of them but for TR 3118 is technically a new policy generally revised policies we would put on the consent agenda so I thought I would walk you through what the changes are so you guys can understand that they're not significant and if you feel otherwise then we can certainly move them to discussion um most of them are based on technical changes so the first one under 2201 um now under the legal definition of parent it includes all legal Guardians so we're no longer required to delineate parent legal guardian so wherever we do that now it will just read parent the other provision that is now offered under Michigan um codified law 6 uh 91408 which is now under the legal Authority here that a deification not only extends to District employees some contractors but also board members so that's a good thing for everyone sitting around this table so that is under um B four we've added um identify it's employees and board members is that change sorry you were still in 2201 2201 yes board powers and general Powers so on those packets they're not marked in red but um has the ones they they do it differently than Neola does like the track changes there are two separate documents instead of just integrated in the platform since they you get the platform separately so that um the policies you have are reflecting the changes but they're not marked so that's why I'll walk you through them just so you can see that they're very minor changes so the first one was under you know on page two of 2201 the parent guardian and then in subsection 4 is that it was 2303 right not 2201 2201 board power and general Powers mhm sorry which where is the clause on the Guardians again um that would be that's under b s i don't B like little I think it's like [Music] B yeah ab7 A1 B mhm and then little Roman numeral seven adopt a parent involvement plan is what it says so yes so I used to read parent/guardian involvement plan now it just reads parent okay and then the capital B limitations on Powers Number Four that's correct the board will not award a high school diploma no I'm referencing um that's that's number four under there so it would be A4 just A4 yes oh okay okay A4 where it says the board May defend and indemnify its employees it also now says and board members to the extent authorized by law okay and what was the change from before it did not include board members I see so they have added board members okay okay so that's it for that one next change is a 2303 violation of board code of ethics um it's just some minor wording changes under B1 whether to publicly censored the board member it used to say through a formal board resolution reprimanding the board member it now says whether to publicly sensor the board member which action may include adopting a former board resolution reprimanding the board member and that's it that's the only change to that and these are statutory right correct sometimes they just clarify their wording because it previously had said um through which implied that it was mandatory is not mandatory the resolution so now it says it may include the adoption so they just wanted to clarify that it's not mandatory it was unclear on uh 23 or 3 a 1B do we still have that it says choose one still like highlighted yes so we had already elected um that would be the president so that's just what it's yeah okay yeah yeah the way they send their updates it doesn't reflect changes we've already made adopted okay yeah so I'm pointing out the changes that we didn't adopt through the the original TR we already did that through the original okay that's what I that's what I thought but then I because it still said choose one I was like yeah this next one is just kind of again wording 2401 elections um now rather than say at least one board member it says at least one Board office it's just a technical wording change still means board member used to say must be elected now it says must be on the ballot for each regular election of the district just semantics not sure why it's necessary but they were just I think try to reflect the language that's currently in 16832 but Board office board member same thing all right um 2405 board officers um it's now kind of breaks out the secret president or secretary and Treasurer into diff two different so it says if the office of vice president or secretary takes out treasur becomes vacant the board must promptly elect a board member to fill the vacancy and then under the section three it says the board we must for treasurer must promptly elect a board member to fill the vacancy the other option that was available we talked about this before being kind of silly is that you could technically appoint a non-board member to be the treasurer so we have elected that that you promptly appoint the treasurer from members of the board they just break those two out and then they just changed the numerics um so what was previously three is now four definitely a lot harder to track with the new which is why I'm walking that's fine because it becomes confusing like they're like oh do we have to make an election you guys already did obviously um next one being 251 meetings again um if you go all the way to g under minutes G3 it used to say meeting minutes will comply with the open E meetings act now it reads must comply with the open meetings act so will versus must under D there was just a grammatical correction board previously had been um lowercase now they've now board is uppercase B oh man yeah that's what I mean they're pretty they're pretty mild they did add a section um under uh what would be um now J so if you look down under recess it provides language for you to go when the board can re recess a meeting and when it has to be recalled or reconvened I let you just read through that that's statutory yeah that was already wasn't that already that it shows it as being new it's in red and my stuff so I don't think it was previously there but again so this would be like if there's an emergency we have to evacuate the building yes you just have to reconvene within 36 hours okay that is it for that one 3102 the smoking tobacco products drugs and alcohol um what they have done under Section A3 is to include a derived it reads tobacco products means any product made or derived from tobacco that used to be the old single now they have added or containing nicotine from any source so that's going to be your vaping juices those sorts of things that also contain nicotine that is the only change to that policy that's not already previously been adopted next one 3105 visitors and volunteers again only changes that we have um on the first page is that parent and guardian now is just reflected to read parent and that is in that very first paragraph there and also in A4 only changes so do they add a definition to tr policies the statutory definition of parent has been changed to reflect that it's it's either biological adoptive or legal legal guardian all falls under the right now and then um we have under D that same policy one addition it just says under um subsection D the last bullet point is uh it says for a private vehicle provide to the superintendent or doesn't need satisfaction of proof of insurance and proof of vehicle lawful registration They just added the language upon request no substantive changes there so really the beefy part of this update comes down to the 3115 previously 3115 was our general non-discrimination and non- retaliation Clause is the Title Nine regs that were embedded in 3118 have now been combined into this policy so the general non-discrimination non retal ration nonh harassment clause also includes the title 9 in Elliot Larson Civil Rights Act this is all statutory this was required to be adopted um as you know there are some districts who are under an injunction because they're part of a lawsuit no Traver City area public school building is part of that injunction and so we are we are required by law to adopt this policy as presented failure to do so could result in loss of funding froming in Department of Education so this um this is pretty much a big priority for us we are been in terms of our current Title 9 investigations we have been operating under the new RS um but we want our policies to reflect our practices obviously and that goes from 3115 3115 b c d [Music] e f it's G an h and then I think there's two forms in there too that just they included them just for Rober as a package and you certainly read them at your leisure there just I mean in terms of much of this information was already contained in our current policies there have been minor tweaks to Title 9 UM that really are not so impactful for our district because we're Michigan we the definitions and the things that changed were already covered by our Michigan Statute L lson civil rights act so in terms of definition who qualifies for protection is what we've been operating under based on Michigan Elliot Larson Civil Rights Act but there are some other things that have streamlined the processes the notices which we have found to be very helpful in terms of expediting some of these investigations and findings um based on the new RS obviously with new Administration it can all change back but for right now December this is a December meeting so yeah yep um so I had well let's finish off that one I have a technical question on the general presentation uh first but is there any questions on 3115 no and then the last one 3118 as i' mentioned before used to be our policy on um Title 9 and it was everything that was here is now into 3115 so we're deleting much of 3118 the only thing that is remaining is that first paragraph there and it talks about um non-discrimination and getting into contracts I don't think they have I don't see anything for 3118 it should just be one page is it not we can make copies of it but this is really what it looks like um it's it's just pulling that one paragraph that talks about we can't discriminate when entering into contracts with you know as a district and that was in the previous 318 it was part it was part of 3118 before and it's the only part that I think it's just out of order it might be oh oh I went back three pages and it was there oh yeah I see it I do see it oh yeah so technically it says it's a new policy it's in my opinion because gutted down to that one paragraph but that would language that previously existed I think they said no because it's a different number and name like they renamed it I don't know so when I guess my so I'm good with all of that but I guess my technical question is when they go in the board packet like there's a lot of the optional ones that we've already elected yeah we'll remove all of that for you so you so it'll be like correct all the names will be filled out put the logo at the top and remove those optional pieces and just update the what's in red and purse when it goes into a board packet and like all the offices and everything's fil filled out for the appr package for Monday yeah you'll see just the clean um versions of the changes from the previous policies we've already adopted okay and those were it I'm fine to put them on consent I have a strong feeling not just even from one that there may be it may get pulled to discussion and or an individual one or two or an individual one or two well I said I don't know that's the can you do that I mean unless you put them if you put them under consent each item yes if you put them under adopt the policies you can't just pull one out because you can't have a discussion on it well we can number them then so I would number them we do have to have one of them under cons under discussion which is the new right the new one so they could just say move policy number da da da to the discussion policy they could they can if they're listed individually if they listed as so instead of bullets we just number we'll we'll we can do that A through five whatever yep yeah CU otherwise you can't have a discussion to decide which one to pull out until you put discuss we'll just go ahead and letter it you know all of them and if we run an alphabet we'll start double lettering well yeah we got the good we know how to do it I think we'll be okay think I don't think we'll make it to see but we we'll try yeah I said I just I I'm sure I mean there's been plenty of comments uh on the way that title 9 is what of the 38 we're good yeah and that's what I have for board policies unless there's additional questions all right the work it's fun we're moving our way through it's nice to be at the end are we got more have another three months because I don't want to bring more than 10 to 15 policies to you guys it becomes overwhelming and it's okay there's only a few of them that have dates that were required to adopt and we're already a little bit behind on the title 9 uh policies that were technically required to be adopted by July one but we were still in that transition period so this is our first board being post the transition said I'm sure we'll be back on the docket in February yes almost guarantee it um keeps me having a job I guess all right so U moving on any other questions about board policies then we will move on to a genda review def to Dr okay so that's a big part so our call to order our Pledge of Allegiance um we'll let you know with the snow days all that there's a little behind of he doesn't have a pledge of allegiance from a class right now so he's going to work on it hopefully we have a class to could even redo one earlier if we have to but we're going to figure something out there but just giving any heads up if not I nominate trustee humph the last one to lead all right fair enough so we're going to do our best but just know that might not happen so um and then we have recognition our next round of tcaps compass Award winners we have our first public comment legislative update um which should be right getting really interesting right about then for sure um District highlights uh County will review some ten years in the district um we have uh Central grade Architects we just thought we would go ahead and introduce um the central great architect team um we do not have yet an agreement on um a settlement on who will be the um the music uh Renovations one I know that Christin's still working through that uh with the all the parties um so we may have one and if we do um we would like to add that um you know for approval uh to the agenda um in you know the uh uh under the same one section we have there but I'll keep you updated on where that is if you're okay with that um John hold on a second I was just looking at because we missed Finance this morning with that being canceled I know there was something on our agenda at Finance this morning regarding the central grade school might move to discussion okay okay so we are at cor here okay sounds good yep so we'll just go ahead and we would put the other one with it you know from that'll be later on it if we get it worked out got okay and then um we just we're going to have there just say hi you know we know that those folks wanted to be there okay um and then we will recognize an outgoing trustee yep and then we I have again I have a request can we add her name to the agenda so instead of just outgoing trustee one my home that's only proper we just weren't we weren't sure if anybody else Chang their mind quick here well that would be a whole it Woulda item I just left it open in case somebody thought well that's a good idea but I doing not that we're inviting that you never know so yeah we can do that um and then we have our board committee reports uh curriculum um executive again we don't have Finance because we've added that into the agenda again that was scheduled at 8:15 this morning as people were trying to dig cars out and lots of things so appreciate the flexibility there um jie didn't get the chance to talk about the annual leadership conference so we do have that back on the agenda yeah um there for you to discuss with that do you want to put in the dates there it's the only report out we don't have dates for I know it kind of looks old but it's October 24th to 26th okay um then the sustainability committee that happened on November 7th um we'll have both uh Holly and Beth talk about that that was the one that was requested I there was one item I was trying to remember that aard member had asked to be added it was a report out I think that was it they've had a few meetings right one just one just one I think that was one yep after the holidays we'll pick up and we'll have them then they're every month for din so and that was Holly that had asked that um the request originally to me and I think Josie also did I think we had two so um and then we have our Board office our report out uh and then we'll announce our next one I know that was that was surprised I didn't know so currently under I had the report out yet tonight we have our Personnel recommendations we have a tcaps monor field trip uh to Chicago we have our course catalog amendments so that was forwarded and recommended for consent by the curriculum committee and then meeting minutes we will have always a schools as always a school safety update we do have a grant acceptance for the grand Trevor band of Ottawa and Chip chipa Indians 2% Grant um and then we do have the bids and services that were not able to be reviewed in financed today for the equipment list for The Innovation and Manufacturing centers um so you know just as a note those have been and um found satisfactory by both the teachers of those stem areas and the robotics mentors at both high schools that's great yep so there's a couple little pieces they'd like that I'm going to work on elose steel um is interested possibly doing a donation and so they're supposed to sometime soon set an appointment up with me to visit both of them and so there's a few metal working items they would like that I'm going to talk to them about possibly donating so so because we didn't have Finance this morning are we moving cons E from consent onto discussion e you have me confused here under consent we have the the band 2% that probably got discussed discuss you have yeah maybe think she has a new one for you here well under consent it is under discussion now okay it's B under discussion and C under discussion yep we talked about moving the board policies to consent other than the new one 3118 yep haven't gotten that far yet thank there you go with today we changed it because okay so yeah so we will have that and then we also have the architectural services for Central grade could possibly also have one for music if we have that in time we just talked about board policies on consent we'll letter those out see where that goes um we have our second public comment and then close session for superintendent quarterly final courter I mean I'm okay to leave them that's it is I mean I'm okay whatever the other instead of moving I mean it's up to you if we're gonna have to have one anyway we could do them as a group like that I would love to give a suggestion here you know we're going to have more and so many of these are technical changes that you know I I don't want to revie ones that the really I really don't want to waste everyone's time and I do think it's good that if we list them individually a board member can ask for one to be put on but do you really want to go over board and board there a capital letter change right I don't think so we by law do we have to to put the new one on discussion that's the only so I would recommend we just do the new on our under discussion everything else in consent y yeah and just be if it's so yep I think that's good and then um discussion um the board will have and then the board can has the opportunity to make some different decisions there that are listed um and then board president closing remarks and a soad well I was going to say I'm I'm not going to wins I'm trying to I'm trying to I'm not even going to bother like I was trying to judge the legislative session how long it's going to go and I just have a feeling that December 19th is going to be a bad day yeah like up but that's after that's 10 days after our board meeting no but I'm uh attending Board office hour now and I just I just feel that at I'm going to be sitting in laning but oh have to get just yeah putting on the because I feel little embarass at this point because I've like Ked it like five times but yeah we we both might be in Lancing in the L last lame duck days to see there's it will be floating of could be and none of it could be so including School mental health and and wellness money back on the table you know there's all sorts of conversations right now Landing so and that's pretty much the last day they can do it yeah which means that it probably will be that day y probably that was restored though half of it I thought half of it okay from the original budget remember it was about $39 million and they only restored 150 total it was it was actually just a small amount than they did the rest so yeah it was only half and when we met with John rth he said this is a key um uh prior priority for the Republican caucus even in lame do okay so we'll see so we want to be there to be able to have that conversation so I just have a question about nine under discussion school safety update that's a standing item for us just for expectations do we have much to report there or anything yeah we will y Patrick always puts that together for me okay okay Scott I'd be on standby for you on December 19th but I'll no longer be a board member you will actually you will you are until the the January like December through New Year's Eve 1159 PM I'm not planning on a special meeting but you never know yep that's why I was joking about calling the emergency New Year or New Year's Eve board meeting I actually think we have had a special meeting between the last meeting and the new year yeah yeah that was times some members were traveling couldn't attend yeah yeah so okay um so we good with that yeah it's going to be a long one long by Finance not happening this morning and that's that's okay it is what it is I just want to I want to ask you guys for input on this because um you know for the masb report out I don't want to prolong this already long meeting but I also don't want there to be any Mystique surrounding the presentation that we made um at the alc so um Scott and John have the the slides I would include the slides in the packet yeah that way everyone can look at it then you can just cover the yeah the yeah how it went and what the point of it was cuz I am going to push you know I one of the big things with the superintendent evaluation we are dealing with a new tool that I think it's actually going to be better and but it is the first time and so I would like to leave as much time as possible for that so I am going to be pressing everyone to be as quickly uh yeah as quickly as they can with with not rushing but as quickly as they can keep it short no brand standing y y keep it moving mhm so yeah so I would so I would include more in the packet then and I would include those slides in the packet yeah okay that sounds as well can't we do that has everyone all the board members taken the training uh we I believe we'll be shy one I believe we'll be shy one member do they still get to come and be part and just can't there's it's they canot participate in the evaluation itself I believe but they can technically be present they just can't comment gotta okay so there's no and there no more opportunities or no recording opportunities okay I was very surprised with how they yeah and did not do any sessions at the conference I was that was the most shocking part to me like why wouldn't you ever have something that everyone needs to have who's at the conference why wouldn't you have it at a conference than yeah um they did have a lot of opportunities though yeah but I said I I'm very surprised they didn't at least just haveth and I were all in the same one the day after the election I did mind with Ollie yes this week I don't know what day it is anymore this [Laughter] week okay um so yeah so then and then uh of note is one thing obviously as we learned now we have a mandatory midar one to add as well yeah I did a mandatory what mid superintend it's not a it's a I can't know what the wording is but it's a basically a more formal check-in we have you have to do it in a particular way and there has to be report out of certain stuff so um but we'll worry about that next year you won't have to worry about that you're good it's already watch us okay all right um okay so no other changes to the meeting agenda then we will move on to information items HR to phone to con Tang yeah pretty briefly for you today you know under Staffing we continue to hire in our our shortage areas that I highlighted every meeting we are continuing to have our um open interviews and they're generally with exception maybe this week because of the weather pretty well attended so we're still getting some quality candidates but we encourage people to look at our website for all of our current vacancies because they cross the gamut from all of our areas across the organization part-time full-time um so we encourage folks to look at those one thing I wanted to highlight though is that we are in the season where we offer the incentive for early retirement notification the first which is the largest comes up on the Friday before we leave for the winter break so at this juncture we've already received official notification from 15 not just tcea members other groups as well but the tcea members uh 15 confirmed and five are met started the process and we anticipate getting formal notice on those so 20 at this stage of the school year is is is relatively large obviously as we're looking at budget um you know some concerns that we have there the more that we can you know cut through attrition knowing which areas we need to fill and not fill is really helpful not only from a hiring standpoint for what what areas might we be able to look at U for cost savings so um it will continue to keep you updated on the number of teachers little concerned about the number of special ed staff that we're losing um to retirement uh those are hard to find and hard to fill but um Tiffany is the best of the best so we're working with her and and recruiting strategies there as well and then the other I think idea that I or item that I had was tenure we have one individual as Dr Van rer referenced um Tom Shephard who has met the probationary period requirements who will be recommended for year 10 okay did I hear correctly in curriculum committee earlier this week that mson has 800 job openings is that was that yeah isn't that crazy really glad we're not I was just about to say that copy right yeah you start looking at Nur I know for nurses they started a program to bring um Filipino nurses and and looking to find a housing ability to do so yeah do we know what their total work force I mean I know they're bigger than number larger than us I want to say 3,000 that's still two almost is that crazy yeah that is um I mean that whole industry is start looking around Everything's Relative right right we have I mean we have a fairly large group of nurses who travel into the Inn uh and they they they come from far so yeah crazy yeah all right um well at least it makes us look our problems look a little bit better yeah uh okay communication update deferring to Ginger Smith yeah thank you uh real quick actually uh two things just to highlight today first we did have our light parade on November 23 in downtown Trevor City many thanks to all of the CED elementary students families and staff that participated we had a very successful looking bus this year it was looking great yeah and um you didn't blow any electrical circuits this year no we we uh had an entire team of staff from our transportation department uh working in advance to cover all of our basis with power and all the things needed for electricity so we are all set with that and uh it was very successful successful we had a lot of fun we did receive some donations we handed out little bells with SSN QR codes and uh started receiving uh some donations already that evening so that was a a great uh outcome for that event uh second I just want to H highlight that overall uh we as a team with SSN are gearing up for the holidays and also for winter break ensuring that um needs are met for all of students for for uh food uh personal products to cover them for the duration of time that they are off from school and also working with our local agencies to ensure holiday meals are provided and gifts if they uh participate in any type of um Christmas or what have you so working to um align with our buildings our buildings are uh leading at the building level and in terms of whether they have um a Giving Tree or a Sign Up Genius those are all being shared out with their families this week uh they are then also shared with us uh for SSN to keep an overview of to ensure that all the needs are met and that all the students who qualify for SSN mckin vento services that their uh families are included in those counts so we've got a pretty good system in place to ensure that uh we've got coverage um and we will do our best to ensure that everything is covered by the time we break for uh winter winter break so yeah um does the SSN accept or need like the smaller like shampoo conditioners mik the toilet the travel size we we do make um little um intake kits we call them when uh we have a student who qualifies under mckin vento and uh we sign them up we give them an intake kit it does have some of those basic needs kind of like a little bathroom bag so to speak and so we do put some of those products in there someone just asked me about the smaller the smaller ones so I will't pass that on yeah I just went to the dentist today you know they always give you the toothbrush toothpaste floss like do they take those little pouches with that's the basic we take everything yeah okay we we cannot give out chaps uh we cannot give out sunblock I mean there are some things that we will still accept and then if a parent requests it we can hand it to the parent uh but there are some of those things that strange enough we are not allowed to provide to students okay even if it's sealed even if it's sealed interesting okay it could be an allergy or something okay um any other items okay then the next board executive committee meeting is Thursday January 9th um at 400 p.m. and with that without uh any other questions we can adjin the meeting so thanks
